The successful candidate will be responsible for processing conventional and government loan requests, ensuring compliance with product, underwriting, state-specific, and investor guidelines. Primary Responsibilities: Maintain effective communication with all parties involved in a new loan application, including customers, brokers, correspondents, loan officers, and co-workers, to ensure a smooth and positive application process. Collaborate with internal departments and external organizations to gather necessary documentation, such as Verification of Employment, IRS Transcripts, title searches, appraisals, and bank statements. Notify relevant parties immediately of any irregularities related to standard mortgage guidelines. Monitor and update credit reports, appraisals, income documentation, and verifications to meet all underwriting conditions. Work closely with underwriting to resolve any issues promptly. Perform administrative duties to support the origination department, including preparing and mailing commitment letters, reviewing title and homeowners insurance, mailing loan suspend notices, updating loan conditions, and providing documentation to closing attorneys. Ensure adherence to all regulatory requirements and guidelines. Evaluate changes required to regulatory documents with a strong analytical background. Understand and adhere to the Company's risk and regulatory standards, policies, and controls. Identify and escalate risk-related issues to management. Promote a diverse and inclusive environment that reflects the Company's brand. Maintain internal control standards, including timely implementation of audit points and addressing issues raised by external regulators. Complete other related duties as assigned. Scope of Responsibilities: Engage closely with internal and external customers, including co-workers, borrowers, and loan officers, to facilitate loan processing. Education and Experience Required: Associate's degree with a minimum of one year of mortgage industry experience or two years of equivalent work experience. Alternatively, three years of equivalent work experience, including at least one year in the mortgage industry. OR Six months of specific M&T Bank mortgage processing experience plus an additional 6-12 months of experience in customer service, operations, or the financial services industry. Proficiency in PC skills with strong knowledge of spreadsheet, word processing, email, and PDF software. Education and Experience Preferred: Ability to make sound decisions based on available information. Knowledge of product, investor, and compliance requirements. Versatility and flexibility in a fast-paced mortgage environment. Adaptability to new policies and procedures to improve processes and workflows. Capability to function independently within time constraints. Excellent verbal and written communication skills. Highly organized with strong multitasking abilities and attention to detail. Ability to prioritize daily workload effectively. Strong work ethic, reliability, and dependability. Job Title: Commercial Loans Coordinator Reports to: Vice President of Commercial Loans FLSA Status: Non-Exempt Salary Grade: NE12 Supervisory Responsibility: No SUMMARY: Under the direct supervision of the Commercial Loans Manager and Senior Officers, this position provides administrative support for the Commercial Loans Department. In addition to typing, filing, scheduling, performs duties such as coordination with outside vendors, monitors email communications, and works on special projects. The Commercial Loans Coordinator will review and track each commercial loans application to ensure adherence to the current Commercial Loans Lending policies and to comply with all appropriate regulations. ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned by supervisor and/or Trustco Bank's Board of Directors. * Maintain, copy, and distribute reports for officers daily and weekly to track delinquency, timing exceptions and maturity reports. * Prepare production reports including coordinating the gathering of accurate information from loan officers in a timely fashion. * Review customer files to determine what financial or other information is needed and/or required and prepare necessary correspondence to customers requesting such. This also includes directly reaching out to the customer via telephone and/or in person to collect such information. Work as liaison to other departments to ensure all departments are in receipt of needed information and vice versa. * Review customer files to determine compliance to timing standards, as well as review CRA and HMDA information for adherence to regulatory standards. Work directly with Loan Officers to correct or obtain sufficient information to maintain fully compliant loan files. * Maintain accurate logs for reporting directly to the Vice President on a weekly/monthly basis regarding Problem Loan Actions Plans having been completed, tracking violations and subsequent enforcement of Loan Covenants, receipt of updated financial information vs. what is "stale", forced placed insurance and any other items needed for review. * Assist Commercial Loan Officers by providing administrative support as assigned for all aspects of the commercial lending program involving file maintenance and subsequent servicing. * Daily and weekly filing as needed and provide support to other departments that request commercial loan files and document/track the files when they are signed out. * Serve as a secondary contact point for present and potential customers. Coordinate correspondence and follow up activities, both verbal and written, between clients and loan officers. * Order supplies weekly as needed for the Loan Officers, as well as facilitate any e-tickets needed for Maintenance and PC issues, or follow up via telephone for escalated issues. REQUIRED EDUCATION/EXPERIENCE: * High School Diploma or equivalent education or experience. * Effective verbal and written communication skills. * Well organized with the ability to manage multiple tasks and work to time sensitive deadlines. * Ability to work well independently and in groups. * Working knowledge with Microsoft Office Programs; Excel and Word.
