Qualifications:
3 - 5 years of relevant experience in Commercial Banking
Bachelor's degree preferred; Business Administration, Finance or Marketing preferred.
Experience with the commercial loan due diligence and closing process
Experience working with Relationship Managers and Portfolio Managers
Experience in collecting and reviewing client financial statements, including year end statements, tax returns, personal financial statements
Experience with Letters of Credit.
Must be well-versed in Excel, Adobe and managing PDF Documents.

Your role at Baxter
The File Resolution Specialist is responsible for providing direct support to the Revenue Cycle Management Department, which includes Reimbursement Services, Medicare, Billing and Collections Teams. This position requires use of data analysis tools and reporting, along with comprehensive understanding of the revenue cycle, to analyze and resolve patient files that did not follow the standard reimbursement process. Additionally, this position will work with the management team to identify process and procedure gaps, to ensure maximum reimbursement potential.
What you'll be doing
Develop a plan and/or strategy to get patient accounts back into the reimbursement process flow, either through obtaining prior authorization, performing change of insurance, and/or obtaining payment on claims.
Complete complex research on patient accounts from intake, through billing and collections, to identify the gaps preventing reimbursement, and provide a summary for resolution.
Utilize various investigational tools such as Lexus Nexus, or Google to locate patient contact info, including use of classified and confidential database.
Identify trends and opportunities for improvement in various processes, to increase profitability and cash flow, along with recommended solutions to the RCM Management Team.
Identify files that need reactivation when escalated payer issues are resolved, and triage files to the appropriate departments, and provide direction regarding actions to take for reimbursement.
Maintain a standard review and audit process for all files entering a suspended/inactive status to ensure appropriate steps have been taken before exhausting reimbursement efforts.
Analyze and work various revenue reports, including, but not limited to “claim validation”, “return billing report”, to ensure all reimbursement procedures were followed, and claims can be released to payers or funneled back into the reimbursement process or accounts are closed out in the appropriate manner.
Contact patients/families/caregivers as needed to obtain current demographics, insurance, physician, and device usage, to ensure appropriate insurance reimbursement.
Obtain appropriate documentation such as medical records, Medicare Advanced Beneficiary Notice (ABN), Terms Conditions Responsibility Form (TCR), and Patient Waiver Form as needed for reimbursement.
Participate in various continuous improvement projects as assigned.

LEVEL I
Importing loans into software
Responsible for accurate input of loan data/information and disbursement into the commercial lending computer software system. This includes collateral, ticklers, contact information, insurance, property tax verification, UCC filings, etc.
Adding appropriate tickler tracking into software system
Create Loan Servicing File and Guarantor File and place documents in predetermined electronic order, using internal naming conventions.
Scan, rename and upload signed documents to the website or secure software portal for Credit Union access, using internal naming conventions.
Securing Servicing Agreements for each loan serviced and having signed by Chief Credit Officer
Obtaining Signatures from Lenders on documentation as needed
Fielding a variety of telephone or email correspondence from lenders and/or borrowers daily
Obtain, sort, deliver mail to appropriate parties within department and internal accounting department.
Obtain proof of adequate insurance for new loan files and enter into servicing software for tracking.
Property Tax Verification on new loans and enter into servicing software for tracking.

ESSENTIAL RESPONSIBILITIES & DUTIES:
LEVEL I
Importing loans into software
Responsible for accurate input of loan data/information and disbursement into the commercial lending computer software system. This includes collateral, ticklers, contact information, insurance, property tax verification, UCC filings, etc.
Adding appropriate tickler tracking into software system
Create Loan Servicing File and Guarantor File and place documents in predetermined electronic order, using internal naming conventions.
Scan, rename and upload signed documents to the website or secure software portal for Credit Union access, using internal naming conventions.
Securing Servicing Agreements for each loan serviced and having signed by Chief Credit Officer
Obtaining Signatures from Lenders on documentation as needed
Fielding a variety of telephone or email correspondence from lenders and/or borrowers daily
Obtain, sort, deliver mail to appropriate parties within department and internal accounting department.
Obtain proof of adequate insurance for new loan files and enter into servicing software for tracking.
Property Tax Verification on new loans and enter into servicing software for tracking.

Secure Website (SFTP) Monitoring & File creation

Coordinate and Prepare Tickler letters for bi-annual mailing.
Email and phone calls to borrowers/guarantors between bi-annual mailings and document in servicing software.
Coordinate and Prepare Default letters for specified lenders as required.
Sending Documents to appropriate Title Division for recording if applicable
One-Time Tickler Reports for Credit Unions managed on a weekly basis.
Obtaining Recorded Documents and/or Final Title Policy to process and save for all necessary parties.
Make Review Changes (Risk Ratings and/or Code Changes) in software system and any necessary reports.
Ensure UCC filings are correct for new loans and filed in a timely manner. Also includes accurate entries into servicing software for continuous tracking.
Assist with tracking, requesting, and reporting on annual insurance requirements.
Assist with tracking, requesting, and reporting on annual property tax requirements.
Accurately process mailed, emailed, faxed, dropped off financials and accurately enter into servicing software.
Add new county information into servicing software.
Tracking of lender maturity dates and notify lenders each month.

LEVEL III (all of Levels I & II plus)
Tracking and adjusting of interest rate changes in servicing software.
Post-close UCC tracking and filing of continuations, amendments, and terminations.
Document work processes by assisting in the creation of new and existing established procedures.
Updating monthly balances in software system via import (as back up to Payment Processing team)
Able to Train Others on all Level Items.
Able and willing to provide assistance on all Level Items.
Coordinate and lead necessary and/or requested meetings with lenders.
Create and maintain working relationships with all servicing lenders.
Drafting of release documents (as back up to Documentation team)
Track, process and enter paid in full loans in servicing software and all saved directories (internal and external)
Able to answer basic payment processing questions from incoming telephone calls.
Add new user information into servicing software.
Create and implement import configurations into servicing software for various projects (i.e., Lender acquisitions)
The ability to manage a large workload, critical thinking skills, follow-through and development of efficiencies are necessary at this level.

Facilitates the client journey through the processing of new PCA loans, including all aspects of product delivery before, during and after closing. Serves as the Deal Champion on all submitted loans by having a broad working knowledge of Association processes and policy.
Assists in following Territorial Concurrence procedures, ensuring compliance with regulations.

Duties include, but are not limited to, efficient pipeline management, issuance of closing disclosures to Borrowers in accordance with TRID Regulatory and ONB guidelines, working closely with title companies to balance closing disclosures, delivery of the final closing documents and funding via wire transfers. Mortgage Closing Processors must be able to work in a fast-spaced environment and be able to pivot as needed to address closing problems or last-minute changes timely and professionally.
Key Accountabilities
Provide Exceptional Customer Service:
Contact internal customers or other 3

parties as needed to resolve closing issues or discrepancies with clear and concise communication.
Respond promptly and professionally to all internal and external customers
Accuracy and Attention to Detail:
Review all documentation in the file for accuracy. Request updated documentation as needed.
Accurate preparation of the initial and final closing disclosure to include balancing the closing disclosure with the title company.
Accurate preparation of closing documents in accordance with loan product requirements, established compliance and regulatory guidelines and internal policies and procedures.
Manage last minute closing changes or problems timely, accurately and professionally.
Exceptional Pipeline Management and Organizational Skills:
Effectively manage pipeline to ensure initial closing disclosures, redisclosures and final closing documents are delivered within established SLA's and regulatory timing requirements.
Organization in this role is critical to ensure closing documents and wire funds are delivered timely to title companies and attorneys to avoid closing delays.

Qualifications and Education Requirements
High School Diploma or GED
1-3 years first lien mortgage experience with first lien mortgage loan closing experience preferred
Operate standard office equipment
Ability to multi-task and work in a fast-paced environment while maintaining a positive attitude
