A Logistics Coordinator is an essential role that helps a company get their product into the consumers' hands in a timely manner. Their responsibilities include overseeing aspects of dispatching, warehouse operations, and providing excellent customer service to our customers. Responsibilities: Coordinating transportation providers to ensure prompt and proper movement of shipments. Responding to customer inquiries and referring clients to the proper channels. Reviewing purchase orders and shipping documents to ensure accuracy. Notify clients well in advance of potential late deliveries. Making special shipping arrangements as necessary. Build routes and reoccurring orders in TMS. Tracking and fixing shipping errors. Ensuring that the quality of all services provided meets the required standards. Developing processes that make the supply chain more efficient and organized. Monitor driver electronic logs, driver scorecards, and E-log hardware. Cover routes if needed. Other responsibilities as assigned by management. Schedule: Monday-Friday: 10:00 AM - 7:00 PM Weekends: Occasional Saturday and Sunday coverage as needed (typically every 4-6 weeks; details will be reviewed during the interview) Please note: Hours may vary based on business needs. Additional scheduling information will be discussed during the interview process. Compensation: $50,000-$55,000 annually (salaried position) Requirements Skills Required: Intermediate proficiency in Microsoft Suite applications. Excellent communication skills to collaborate with others under any type of condition. Excellent clerical and organizational skills to keep track of schedules, routes and personnel. Knowledge of computers for scheduling and other dispatching duties. Ability to multitask with different, and sometimes conflicting, events happening at the same time. Able to work under stress in a fast-paced work environment. Keen attention to detail. Travel & Work Conditions: Primarily sedentary. Occasionally required to lift up to 50 pounds. Possible exposure to weather elements when outside or driving. Education and Experience: At least 21 years of age. High school diploma or higher required. 2+ years of experience in an administrative role required. 2+ years of customer service experience required. Has a valid driver's license with no more than 2 moving violations or at fault accidents in the previous 3 years. JOB RESPONSIBILITIES • Must be able to learn to operate the SkyBitz route management system and other systems as needed. • Provides administrative and backup support for the Logistics Specialist with driver schedule, including delivery times and route management. • Learns to create schedules, prioritizes, and manages customer orders and shipments. • Supports the process for customer and internal facility tank supply inventories of bulk gasoline, diesel fuel and biodiesel. • Learn how to source all order deliveries with our contract supply partners. • Assist in preparing communication to drivers, sales, customers, and management to ensure all stakeholders are fully informed and proper expectations are set for all aspects of Transport Logistics. • Learn to reconcile every Bill of Lading to ensure accuracy in gross and net gallon deliveries in our SkyBitz Dispatch Planner and Inventory Work Bench real-time during every shift. • Assist in coordinating and monitoring all equipment to ensure that all required tests and inspections are current and active in all fuel supplier terminal locations. • Learn the logistics process I order to collaborate with logistics team members to ensure efficient operation of our daily business. • Must possess the ability to communicate effectively with people at all levels, to always maintain the highest levels of professionalism in a dynamic and evolving environment. • Must be able to perform all duties as assigned. QUALIFICATIONS • Bachelor's degree or equivalent business experience, degree preferred. • Previous logistics dispatch/scheduling experience in multi-compartment fuel tanker transportation preferred. • Ability to solve problems in pressure situations, using independent judgement and discretion. • Attention to detail and accuracy is required. • Positive and professional demeanor in an office setting. • Excellent oral and written communication skills, bilingual (Spanish & English) is a plus. • Proficient in Microsoft Suite and logistics application software. • Ability to work the defined schedule as required. PHYSICAL REQUIREMENTS • Exposure to extreme temperature changes, intense heat, noisy/loud environments and severe weather. • Cognitive demands include the ability to perform tasks, often in distractive conditions. • Must be able to communicate orally with direct reports, customers, management, and other internal co-workers, both individually and in front of a group is crucial. • Sitting for extended periods as needed. Hearing and vision within normal ranges for conversations, to receive ordinary information and to prepare or inspect documents. • No heavy lifting expected; occasional exertion of up to 15 lbs. of force may be required. • Good manual dexterity for the use of common office equipment such as computer terminals, calculators, copiers, and fax machines and for car travel up to 100+ miles. • Good reasoning ability is required to solve a wide range of business problems. Able to understand and utilize financial reports and legal documents to conduct business. • Executes tasks independently, learns and memorizes tasks, performs tasks in a small or restrictive space and works in or with large crowds. • Must travel if needed.
