SUMMARY: The Manager, Sampling Operations in our Commercial Operations organization has responsibility for managing the sample operations function within the Commercial Operations team for all Lundbeck US sampling operations- and supporting alliance partner direct-to-practitioner sample programs along with additional commercial operations. This individual works closely with key personnel including, but not limited to Compliance, Sales, Marketing, Analytics and Alliance Partners to support sample operations. Responsible for sampling activities related to onboarding and offboarding field personnel, sample warehouse inventory levels, sample orders, reporting, and communications. In addition, this individual will provide support related to vendor management, contracting, applicable SOPs and budget management. ESSENTIAL FUNCTIONS: * Close collaboration with the Associate Director Commercial Operations and the Sample Management vendor to ensure the field remains compliant with all applicable standard operating procedures (SOPS), laws and regulations that govern sample programs. * Strong customer focus when working with field personnel to identify and resolve issues with Lundbeck applications (e.g., Veeva CRM, customer master etc.) as it relates to sampling activities. * Ensure all new home office and field personnel have completed necessary training and are certified and eligible to receive samples or offer samples during the onboarding process. * Ensure proper steps are taken in accordance with SOPS to off-board field personnel and close-out sample storage units. * Partner with internal teams, alliance partners and third-party vendors on all sampling initiatives and projects. Take steps to adapt to changing needs, conditions, priorities, or opportunities. * Coordinate cross-functional activities for sample allocations during sample order cycles including and monitor sample inventory levels. * Provide quarterly sample program reports to the Associate Director Commercial Operations. * Investigate and/or provide guidance on Commercial Operations and Commercial Operations initiatives. * A strong foundation for all aspects of program and process implementation-including business rules and requirements documentation, project management skills, budget adherence and user acceptance testing for Commercial Operations applications. * Management of sample operations budget to capitalize on project opportunities with vendors, while also improving cost-savings. * Maintains an understanding and awareness of all Sample Operations processes to effectively support phone and email inquiries from field representatives to provide guidance according to policies/procedures and facilitate resolution of sample issues. * Partners with Associate Director Commercial Operations to monitor, conduct follow up, and closure of transactional issues and appropriate documentation/tracking. * Responsible for supporting Direct to Physician (DTP) sampling programs including review and monitoring of monthly data uploads, collaboration with alliance partner team members and escalating data verification issues to internal teams as necessary to update sample eligibility status. * Closely monitor and manage third party vendors for compliance with SOP's, procedures, and quality of output while meeting agreed upon deliverables and KPI's. * Continuously identify opportunities to streamline or enhance processes and applications to support sampling operations. * Monitor inventory levels at vendor warehouse, sample activity and SRF order volume to ensure all activity is within defined budgetary and inventory level restrictions as appropriate. * Maintain sample shipment schedules for different field forces, collaborating with field management to verify quantities/field sample needs. * Collaborate with the analytics and marketing teams to construct forecasts for bi-monthly and annual allocations for sample shipments based on sales objectives to minimize product destruction costs. * Represent Sample Operations at stakeholder meetings for ongoing and prospective activities to establish and influence strategies and deliverables (i.e. label updates, sales force optimization, etc). REQUIRED EDUCATION, EXPERIENCE, AND SKILLS: * Accredited Bachelor's degree. * 3+ years of sampling operations/sample compliance experience in the pharmaceutical or biopharmaceutical industry. * 2+ years of Veeva/salesforce.com (or similar systems) sample administration experience. * Proficient in Excel and Microsoft Word. * Proven ability to take initiative and manage multiple projects simultaneously. * Strong verbal and written communication skills, with an ability to effectively communicate with both technical and non-technical subject matter experts. PREFERRED EDUCATION, EXPERIENCE, AND SKILLS: * 2+ years of experience supporting a remote sales force and onboarding new sales forces. * 2+ years leading cross-functional teams. * 2+ years managing/coordinating vendor activities. * Experience with contracting processes. TRAVEL: * Some domestic travel may be required. Summary: The Commercial Operations Specialist is responsible for specific Commercial Operations support including managing end-to-end process of promotional material inventory, fulfillment, and compliance, FDA 2253 submissions and field operations day to day support.
