Policy Operations Coordinator The Policy Operations Coordinator is a highly organized and detail-oriented team player who provides critical administrative and operational support to the Policy team. Key Responsibilities Budget & Administrative Support Serve as the team's primary resource for questions about the internal procurement processes. Assist team members with navigating operational systems, troubleshooting issues, and clearing administrative roadblocks. Process invoices for designated vendors and ensure timely submission through appropriate channels. Maintain accurate records of vendor payments and track invoicing status. Assist with budget tracking by updating the internal budget spreadsheet. Support budget forecasting activities by compiling spending data and preparing reports for leadership. Establish strong cross-functional relationships with the procurement, accounting, and legal teams as needed to execute contracts and procurement efficiently. Event Sponsorship & Social Impact Support Oversee the internal process to request, approve, and generate "ride codes" for third party event sponsorship and social impact. Maintain a centralized tracking system for ridecode requests and usage across the Policy team. Monitor ridecode implementation to ensure consistency, proper utilization, and execution of best practices. Support ongoing process improvements by gathering feedback and updating documentation. Administrative Project Support As needed, provide project coordination support for policy initiatives across local, state, federal, and international teams. Assist project leads by scheduling meetings, preparing agendas, taking detailed notes, and distributing meeting summaries. Track action items and deadlines using shared project management tools; send reminders to team members to ensure timely completion. Respond flexibly to shifting priorities and provide hands-on support where needed.
