Role Description This is a full-time on-site role located at St. Ignatius of Loyola Parish in Cincinnati, OH. The Parish Executive Secretary will manage the day-to-day clerical and administrative duties required to support parish operations. Responsibilities include maintaining records and schedules, preparing correspondence and reports, coordinating meetings, and providing general administrative support to the parish leadership. The Executive Secretary will also serve as a point of contact for parish communications and assist with addressing inquiries from parishioners and the public. This person will work very closely with the Pastor managing his schedule, events, and ministries. Qualifications Proficiency in Clerical Skills, including managing schedules, handling documents, and maintaining records Strong Communication and interpersonal abilities, including written and verbal exchanges Experience with Company Secretarial Work or similar, including composing correspondence and organizing meeting agendas Expertise in Executive Administrative Assistance, such as supporting leadership tasks and managing resources effectively Customer Service skills, demonstrating professionalism and courtesy in responding to inquiries and interacting with parishioners Familiarity with office software programs such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) Ability to multitask, manage priorities, and work independently Bachelor's Degree in related field is preferred (Business, Communications, Management, HR, etc.) Experience: A minimum of 5 years of office experience in a similar administrative or executive support role is required. · I. Job Summary: Under general supervision, performs varied and increasingly responsible clerical work, which includes typing and/or keyboarding, and performs related duties as required with a focused attention to Medicaid clients of the agency. Qualifications: 1. High school graduate and two years of general clerical experience; or 2. A combination of training, education, and experience that is equivalent to the employment standard listed below that provides the required knowledge and abilities. 3. Reasonably proficient use of Microsoft Office and other design programs, and advance computer skills. Standard: The tasks performed require training and experience in office work, and skill in applying knowledge of rules, regulations, and instructions to individual cases.     Assistant Project Manager/Project Manager The Assistant (APM)/Project Manager (PM) provides leadership to the Development Team and recommends design improvements, construction techniques, schedules and construction economies for projects. The APM/PM monitors development of the projects, payment to contractors, changes, claims and inspection for conformance to design requirements. The APM/PM provides current cost and progress information as the work proceeds. The APM/PM has responsibility for the projects during construction with support from the Director of Design and Construction. Key Responsibilities: Design, Bidding & Award Phase: Drive the project schedule and provide input with support of Director of Design and Construction during the project design phase. Manage and Assist third-party consultants. Review and qualify general contractor bids and provide analysis for team approval. Perform quantity take-offs including all attic stock for all Owner supplied items and ensure quantities are submitted to the Director in a timely fashion. Contract Administration & Construction: Review of all change orders and advise Director. Review Contractor payment applications with Director. Ensure all release of liens accompany all pay applications, signed, sealed, notarized. Maintain Owner Buyout logs with Director's assistance. Review of RBHD's monthly project cost reports with Director. Set up testing and special inspection agencies (concrete, steel, soil, asbestos, etc.). Assist Architects and Contractors with obtaining building permits. Manage, coordinate and inspect the work of contractors. Maintain job diaries, drawing and special logs. Prepare and maintain field reports and schedules (RFI logs, RFP logs, change order logs, submittal logs, document logs, FF&E tracking logs). Continuously compile contract close-out and acceptance documents (contractors as-built drawings, O&M manuals, warranties, owner's sign off). Supervise General Contractor and owner vendors during project. Assist with building code related issues. Issue Field Directives as necessary and as approved by Director for minor modifications to work or Quality Control issues. Obtain all necessary Certificates of Insurance (prior to start). Maintain and update task schedule. Assist Director with controlling and monitoring project budget. Ensure contracts are returned and signed from each contractor prior to start of work, ensure all insurance requirements have been met. Monitor environmental procedures. Submit personnel time sheets and expense reports to the Director weekly. Inspections - maintain current file for all sign offs (Federal, State and Local). Testing - maintain current reports. Punch List - provide punch procedures, ensure that acceptance forms have been signed off by Operator, Contractor and RBHD. Resolve all FF&E problems (late deliveries, missing or damaged goods).Monitor contractor weather days for conformance with contract requirements. Collaborate with operator to insure a seamless handover. Systems Start-Up and Final Close-out: System validation, testing and startup with the Operator (fire alarm, plumbing, heating, electrical, fire protection and special equipment). Final close-out and final acceptance (as-built drawings, O&M manuals, warranties, owner's sign off). Obtain all final inspections and signoffs. Assist Operator in obtaining special permits and licenses, i.e. health and liquor. Legal Considerations: Claims and back charges (maintain current files). Legal responsibilities (maintain quality control reports, logs, inspections). Ensure that RBHD has copies of all accident or incident reports. Misc.: Assist the Head of Facilities in managing the corporate offices.
