ROLE of the POSITION The Special Assistant to the Vice President is essential for ensuring the strategic objectives and seamless operations of the Office of the Vice President for Integrated Marketing & Branding. This pivotal role provides high-level support to the vice president (VP), the VP's direct reports, and the entire division. Responsibilities include serving as the primary operational lead and point of contact with a great deal of autonomy to ensure the office is running smoothly day-to-day related to both operations and administrative functions. Provide project management for the vice president on various assignments from the President's Office and/or assigned to direct reports, especially those with tight timelines. This position requires a high degree of trust and impeccable judgement, frequently managing sensitive and confidential information for both internal university stakeholders and external partners. The Special Assistant acts as a key liaison, providing discreet, diplomatic, and effective responses and resolutions to complex problems encountered by faculty, staff, student leadership, NSHE, and external stakeholders such as business leaders and elected officials. This position is a resource for the President's and Provost's offices. This position is instrumental in campus governance by organizing and managing meetings and agendas for Communicators Council, which unifies marketing and communications staff across campus, and by serving as co-chair of the UNLV Campus Signage Committee, which plays an important role in creating and maintaining university branding and visual standards across campus. MINIMUM QUALIFICATIONS This position requires a bachelor's degree from an accredited college or university as recognized by the United States Department of Education and/or the Council on Higher Education Accreditation (CHEA) and 3-5 years of experience. Credentials must be obtained prior to the employment start date. ACCEPTED EQUIVALENCIES FOR DEGREE REQUIREMENT In lieu of a bachelor's degree, applicants may qualify with four additional years of relevant experience, or with an associate's degree plus two additional years of relevant experience. Core Responsibilities: * Manage and coordinate workflow by planning, communicating, and implementing processes and procedures for project requests and ordering marketing collateral, promotional items, and office products, including requesting vendor quotes, processing orders, and coordinating art/proof approval. * Perform a variety of administrative support duties such as scheduling meetings and coordinating travel for the Vice President, coordinating meetings for the Office of Marketing & Events as well as the University foundation board. * Prepare, track, and monitor transaction in the Workday System, such as procurement card reconciliations, purchase requisitions, and invoice payments. * Participate in planning, organizing, and developing promotional and informational activities, such as portal/info screen announcements. * Maintain calendars, reserve rooms, and coordinate agendas, reports and other materials for weekly team meetings and other meetings. Required Qualifications: * Graduation from high school or equivalent education and four years of progressively responsible relevant work experience which included experience in one or more of the following areas: providing administrative/program support to professional staff and management; performing secretarial duties in support of a manager; coordinating communications between the manager, staff and program clientele; supervision of subordinate staff; researching information from internal and external sources; OR one year of experience as an Administrative Assistant 3 in Nevada State service; OR an equivalent combination of education and experience as described above. * Eligibility to work in the United States without sponsorship (Nevada State does not sponsor employment-related visas). Salary & Benefits Budgeted salary for this position is $50,153.76.
