The Senior Executive Assistant (EA) provides advanced, high-level administrative, project, and operational support to the Chief Medical Officer (CMO) and additional Clinical Officers (e.g., Associate Medical Directors, Behavioral Health Director. This role functions as a strategic partner and extension of clinical leadership. Anticipates needs, managing sensitive information, ensuring smooth operations, and supporting initiatives that advance quality, access, and regulatory compliance across the FQHC. The Senior EA is expected to exercise exceptional judgment, deep understanding of healthcare operations, and strong knowledge of FQHC regulatory and reporting requirements. The role requires independent decision-making, initiative, and the ability to coordinate complex projects with cross-functional teams. This position is on-site, not a hybrid or remote position. Responsibilities Responsibilities: Executive Support Provides high-level administrative support to the CMO and designated Clinical Officers, including complex calendar management, prioritization of requests, and proactive schedule planning. Coordinates internal and external meetings, ensuring that agendas, materials, and follow-up actions are prepared and completed. Screens and prioritize emails, calls, and inquiries on behalf of clinical leadership; drafts professional correspondence and communications. Prepares presentations, reports, and briefing documents for Board meetings, clinical committees, funders, accreditation agencies, and executive leadership. Clinical Operations & Project Coordination Supports major clinical initiatives, including quality improvement programs, operational redesign, population health efforts, and regulatory readiness. Tracks progress on key deliverables and proactively follows up with stakeholders to ensure timely completion. Coordinates cross-departmental meetings such as Quality Improvement Committees, Medical Leadership Meetings, Credentialing Committees, and operational workgroups. Assists with implementation of new clinical workflows, policies, and compliance processes. Regulatory & Compliance Support Ensures clinical leadership is prepared for HRSA Operational Site Visits, Joint Commission activities (if applicable), state audits, and payer compliance reviews. Helps maintain documentation for credentialing, privileging, scope of practice, and provider onboarding. Supports data collection and reporting for UDS, QI dashboards, and clinical performance measures. Confidentiality & Information Management Handles sensitive information regarding patients, providers, staff, and organizational strategy with the highest level of confidentiality and discretion. Develops and maintains systems to organize, archive, and track documents, contracts, and compliance materials. Ensures communication flow between departments is timely, accurate, and aligned with organizational values. Provider Workforce & Staffing Support Coordinates schedules, onboarding activities, and orientation for new medical providers. Manages the provider time-off calendars, CME tracking, licensure renewals, and credentialing documentation in collaboration with HR and Credentialing. Works with physician leaders to ensure adequate clinic coverage during provider absences. Operational & Administrative Leadership Serves as a thought partner to clinical executives, helping to anticipate needs and challenges. Recommends workflow improvements to enhance efficiency, communication, and decision-making. Supports budget development processes, invoice approvals, and vendor contracting related to clinical operations. Supervisory Responsibilities May supervise administrative support staff or coordinate administrative processes across clinical departments. Qualifications Education and Experience Bachelor's degree in business, healthcare administration, public health, or related field (or equivalent experience) preferred. At least 5-7 years of experience supporting senior executives; healthcare or FQHC experience strongly preferred. Deep understanding of FQHC operations, clinical workflows, compliance requirements, and medical terminology. Advanced experience proficiency with Microsoft Office Suite (Excel, PowerPoint, Word), scheduling tools, and collaboration platforms (Teams, SharePoint, Zoom). Experience working directly with clinical executives, medical providers, or quality/improvement teams preferred. Familiarity with HRSA compliance, The Joint Commission, UDS reporting, credentialing systems, and healthcare quality frameworks preferred. The Associate Site Medical Director partners with and reports to the Site Medical Director to support the delivery of high-quality, patient-centered care at a specified clinical site(s) or for a specified provider group and/or patient population. The Dental Assistant and/or Registered Dental Assistant supports MCC's Dental Clinics with a wide range of duties, and supports Dentists at all times and focuses on delivering excellent customer service to our patients. Hiring Bonus: Employees who work 24 hours a week or more are eligible to receive a $1,000 hiring bonus. Work Schedules Available: Work Schedule 1 - Mondays, Wednesdays, Thursdays, Fridays, and Saturdays from 8:00am - 5:00pm or Work Schedule 2 - Mondays from 5:30pm - 9:30pm and Saturdays from 8:00am - 5:00pm We can tailor your schedule to fit your needs, with morning, afternoon, evening, and weekend shifts available, as well as part-time and full-time options. Prepares dental units for Dentist, stocks units and ensures that units are clean at all times. Oversees cleanliness of treatment room according to sterilization procedures. Disinfects treatment rooms according to OSHA regulations. Sterilizes all instruments and headpieces according to OSHA regulations. Provides maintenance on autoclave machines. Provides weekly maintenance for water lines and changing traps in operatories. Organizes trays, instruments and treatment room drawers at all times. Ensures that office sterilization procedures are documented and posted at all times. Promptly sends out and monitor all dental laboratory cases. Implements a preventative maintenance/cleaning schedule for dental equipment. Maintains dental office emergency kits and nitrous oxygen tanks. Follows laboratory procedures according to office protocols. Uses appropriate electronic charting techniques for maintaining and updating dental records. Tracks cases and referral to and from other doctors. Sees that records are stored securely per HIPPA guidelines. Assists in the administration of the recall system. In charge of entering patient insurance information and posting fees on computer for all completed procedures. Ensures RDA license remains active through continued education. Qualifications Education and Experience: Will consider a Dental Assistant, with certification, working toward their RDA License. Minimum of six months of experience as a Dental Assistant. The medical scribe is not a direct patient care role. Responsibilities Scribe-Specific Tasks and Duties: The primary role of the scribe is to assist the provider with documentation of each patient's clearly recording each patient's symptoms, history, physical exam, and documenting the diagnosis as well as treatment plans in the medical record during a clinic visit. At the start of the visits scribes checks the “document scribed” checkbox on the intake template at the top center. Accompanies the clinician into the patient examination area, or joins the appointment remotely by telephone, in order to transcribe a history and physical examination as given by the patient and provider. Under the direction of the provider, transcribes and places patient orders, including laboratory tests, radiology tests, referrals, etc. Documents any procedures performed by the provider or nurses in the EHR. Transcribes any consultation or discussions with family and/or the provider. Completes the patient's chart by transcribing results of any labs, x-rays, or other evaluations. In doing so, the scribe continuously checks on the progress of this data in order to get the patient's workup complete so that the provider is able to make his/her decisions regarding that patient. Scribe lists all proper diagnoses as well as any follow up instructions and prescriptions, as dictated by the provider. Scribe does not directly assist with patient care. The scribe documents orders generated by the provider. Scribe assists the provider and support staff with paperwork, telephone calls, faxing, and chart abstraction and may facilitate communication among the care team. Scribe is able to process portal communications and either task to appropriate member of the care team or get information from the provider to respond to the patient in a timely way. The Medical Scribe does not perform the following: Medications: A scribe cannot prescribe medications. Scribes cannot stop, start, or make any manipulation to any medications in the "medication module”. Orders: A scribe cannot order any in-house medications that are injected, ingested, or inhaled into the body including nebulizer treatments. Document Sign Off: The provider should always review the record and attest to its correctness and completeness. At the end of the day or shift, the provider should review the scribed documentation to ensure all events were recorded accurately. The provider generates the document, creating the completed "Master IM." The scribe does not. Patient Care: The scribe is not directly involved with patient care; can't touch the patient; can't handle bodily fluids; can't act independently without direct clinical oversight; conduct other duties while acting as the medical scribe; however, he/she may be asked to give patient paperwork during visit or discuss discharge instructions with a patient. The scribe can't give orders to Registered Nurses. They interact with patients on a limited level. For exceptions to this section, please see the “Optional Trainable Skills” section below. General Documentation: A scribe cannot document any of his/her personal objective findings or be involved in any of the medical decision-making. A scribe cannot act independently; instead, he/she must simply document the provider's dictation and or/activities during the visit. Optional Trainable Skills: With the permission of medical/operational leadership and participation in an in-house training/competency program, a Scribe can be trained to perform vitals, room patients. Provides input in the development and maintenance of the Electronic Health Record (EHR) and EDR systems in regards to HIMS activity. Performs quality control inspections regularly to ensure image quality and correct indexing location. Ensures that medical records release requests are performed in a timely manner. Ensures that paper and electronic faxes to be filtered and distributed or scanned as necessary. Closes electronic orders and update Health Maintenance protocols based on documentation received within the clinic. Re-files and/or rescan documents as requested per the clinical and business staff. Protects the security of medical records to ensure that confidentiality is maintained. Ensures Care Team Responsibilities as outlined in the Care Team Patient Center Medical Home procedures. Maintains appropriate staff levels and participating in recruitment. This includes working collaboratively with HR Recruiters and may involve dispositioning candidates utilizing our electronic platform ATS (ICIMS), interviewing and checking references. Onboards, trains and supports continued development of staff. Manage semployee performance, effectively communicate expectations and goals and provide performance feedback and evaluation in a thorough and timely manner. Completes time and attendance requirements for team, approving timesheets, time off requests, and ensure accurate and timely completion for payroll. Ensures a safe, secure and ethical work environment by upholding MCC's policies and procedures. Other duties as assigned by Manager. Qualifications Education and Experience: High School Deiploma or Equvalent (GED) required. College degree preferred. Health Information Management Certificate strongly preferred Minimum of 5 years' experience in Medical Records/Clinical environment. One-two years of supervisory experience. Experience with EPIC Electronic Health Records preferred. Required Skills and Abilities: Ability to use Microsoft Office. Must be able to effectively use a computer. Must be able to effectively communicate in English both verbally and in writing. Excellent teamwork and customer service skills. Must have high attention to detail and the ability to identify errors and correct them. High level of initiative and ability to follow through on assignments. Ability to recognize problems and seek help when necessary. Ability to organize and prioritize duties, projects, assignments and deadlines as required. Must be able to work well independently and/or in groups. Must have reliable transportation. Physical Requirements and Working Conditions: Fulfill immunization and fit for duty regulatory requirements. Prolonged periods of sitting at a desk and working on a computer. Use of mouse, keyboard and headset. Moderate to loud noise and intermittent interruptions. Must be able to lift up to 15 pounds at times.
