    The Administrator, Administrative Services supports the daily operations and overall effectiveness of Mazda North American Operations (MNAO) headquarters in Irvine. This role is responsible for coordinating administrative, office, and facility functions to ensure a professional, efficient, and safe work environment. Key responsibilities include managing front desk and office services, coordinating facility maintenance and vendor relationships, and overseeing executive and courtesy vehicle programs. The position also provides administrative support to Human Resources (HR) for onboarding, offboarding, and employee engagement activities, while assisting with site-level events and communications. The Administrator serves as the central point of contact for employees, visitors, and vendors, working closely with Administrative Services, Facilities, HR, and Corporate Operations to maintain a high standard of service, organization, and operational consistency across the Irvine site. Major Responsibilities * (45%) Office & Facility Administration * Support receptionist services, visitor management, and hospitality protocols. * Coordinate workspace assignments, hoteling, and accommodations in partnership with HR. * Maintain office supplies inventory and distribution across Irvine facilities (HQ, North Campus, etc.). * Coordinate janitorial/maintenance services with Facilities to ensure timely response to issues. * Conduct regular safety and facility condition checks (First Aid, AEDs, PPE, hazards). * Coordinate office moves, space planning, lockers, and name plates. * Support site events and executive visits, including meeting set-up and hospitality needs. * Provide mail and delivery services across Irvine facilities. * (20%) Company Vehicle Program * Handle executive and courtesy vehicle services, including fueling, washing, service scheduling, and assignment logs. * Ensure vehicles are maintained, compliant, and available to executives and senior leaders. * (25%) HR & Employee Support * Coordinate executive onboarding logistics (workspace set-up, access credentials, welcome gifts). * Support distribution of employee recognition items and HR materials. * Provide administrative reporting and site-level HR program support. * Serve as local point of contact for vendors (supplies, janitorial, hospitality, shipping). * Monitor vendor service levels and escalate issues to management. * (10%) Events & Engagement * Assist with planning and coordination of site-level events (employee engagement, company events, executive visits). * Coordinate hospitality services for site-level events (catering, beverages, AV, conference set-up). * Perform other duties as assigned * Comply with all policies and standards * The preceding functions have been provided as examples of the types of work performed by employees assigned to this job classification.
