The MedicalAssistant performs clinical and administrative duties in an ambulatory care setting under the supervision of a physician/provider and/or a registered nurse. Duties may include venipuncture medication and vaccine administration measurement and documentation of vital signs and assisting providers with patient exams and telephone and clerical support. Position may float to other sites/locations within the system.
Primary Duties and Responsibilities
Contributes to the achievement of established department goals and objectives and adheres to department policies procedures quality and safety standards. Complies with governmental regulations and accreditation standards.
Assists providers with patient preparation for the examination minor office procedures and with the examination and education of patients. Supports other members of the clinical care team assuring optimal best-practice patient flow; manages variable and unpredictable patient volume throughout the workday. Provides clerical support and serves as backup for the Patient Services Coordinator or other team members as needed.
Participates in daily team huddles to review and prepare for scheduled patient visits. Screens all patients regardless of visit type for preventative care needs ongoing support barriers to care safety concerns and potential fall risk. Conducts surveillance for transitions of care urgent/emergent care or follow up tasks such as retrieval of documents associated with referrals/testing.
Conducts motivational interviews that include patient screening and/or coaching on disease management ability motivation to change learning care needs and community outreach needs. Identifies potential behavioral health needs of patients using appropriate screening tools and notifies provider of findings.
As part of a High-Reliability Organization reports actual and potential problems concerning patients families and associates using established reporting protocols for MedStar Health and/or work location. Participates in performance improvement initiatives to improve care quality and safety.
Ensures ongoing compliance with regulatory accreditation and quality/safety standards by maintaining and auditing temperature logs ensuring medication supplies are current/unexpired checking and maintaining emergency equipment area free of clutter and other related tasks.
Participates in population management activities including an awareness of the populations served and engages the patient in self-management support care/health goal setting pre-visit planning and the capturing of information that leads to health care improvement activities.
Performs selected patient and laboratory testing consistent with the scope of the practice including but not limited to Point of Care Testing tuberculosis skin testing electrocardiography pulmonary function tests and vision and hearing testing (dependent upon provider and site requirements). Removes sutures/staples after the provider has examined the patient and written the appropriate order. Documents these activities in the patient's electronic medical record (EMR) or other venues based on policy.
Documents clinically related activities accurately in the patient's EMR; performs required patient follow-up: to include pap smears Pb levels HIV mammograms and STD's. Collects and processes specimens completes requisitions and documents in logbook or other applicable forms/records.
Provides escort for patients and assists with patient discharge activities. Provides chaperoning for patients per policy.
Fulfills infection prevention and environmental responsibilities as assigned which many include: Light cleaning during clinic hours and cleaning of equipment. Updates appropriate records of scheduled equipment maintenance and manages drug and medical supply inventories.
Provides telephone screening services to gather information from patients determine appropriate disposition and document per established telephone screening protocols.
Under onsite provider supervision may insert intravenous catheter for physician initiated IV fluid therapy or administration of intravenous medications. Under direct onsite physician supervision may insert remove and monitor urinary catheter for procedures and prepare and administer oral drugs and injections limited to intradermal subcutaneous and intramuscular. May perform phlebotomy.
Utilizes the EMR to propose patient medication refills for provider approval. Completes requisitions for tests (if applicable). Contacts insurance companies for Pre-authorizations for patient medications and specialty referrals including insurance authorization.
Floats to other sites/locations within the system as appropriate and performs all duties at multiple sites.
Attends scheduled meetings including but not limited to regular staff meetings and training classes for safety infection control OSHA CLIA BLS and others as required.
Demonstrates behavior consistent with MedStar Health mission vision goals SPIRIT values objectives and patient care philosophy.

Serve as a patient advocate during patient exam, surgery and treatment
Interview surgery patients to obtain medical information
Measure patients' vital signs, weight and height
Show patients to examination rooms, procedure rooms or operative rooms, and prepare them for the physician
Review a surgical informed consent with the patient prior to their procedure
Record patients' medical history, medications, allergies, vital signs and test results in an Electronic Health Record (EHR)
Set up a sterile surgical tray
Inspect sterile items prior to opening
Open sterile surgical items in a sterile fashion
Lay supplies out on sterile field in an organized manner
Place surgical gloves on hands using sterile technique
Assist the physician during surgery while maintaining sterile field:
Blot with gauze when needed
Under surgeon direction, use skin hooks to gently retract skin while surgeon undermines or uses cautery device
Use forceps to hold suture line away from field or to help hold suture line tip in place to assist surgeon during knot placement
Use scissors to clip suture at various lengths depending on placement of knot (epidermis, dermis, subcutaneous fat, etc.)
Assist surgeon during cauterization
Know the difference between thermal cautery and electrocautery, and which one is preferable in various patient situations so the correct device can be prepared in a clean/sterile fashion
Properly numb a patient's skin using local anesthetics as directed by the physician
Prepare and administer medications as directed by a physician following safety protocol of right dose, right patient, right route, right drug and noting expiration date
Collect blood, tissue or other laboratory specimens, log the specimens, and prepare them for testing
Explain surgical/treatment procedures, medications, diets
Explain wound care instructions and physicians' instructions to patients
Explain and comfort patients with regards to expected healing times for various types of wounds and locations (i.e., know that flaps/grafts take longer to heal than regular excisions and have slightly higher complication rates, know that wounds on the lower extremities may take longer to heal than wounds on the face or upper body, etc.)
Help physicians examine and treat patients, handing them instruments and materials or performing such tasks as giving injections and removing sutures
Accept triage style phone calls from patients and know which situations require the patient to be seen vs being able to counsel the patient over the phone. Know to ask the surgeon if there is ever any doubt.
Under physician direction, authorize drug refills, enter prescription information into the EHR, and provide prescription information to pharmacies
Know how to clean surgical instruments, wrap them in sterile packs, and place them in an autoclave
Prepare treatment rooms for patient examinations, keeping the rooms organized, neat, and clean
Assess the patient's condition throughout the exam, procedure or surgery according to the facility's policies and notify physician and/or RN of any indication of distress
Responsible for cleaning room and medical equipment in between each patient and at the end of the day
Correctly disposes of infection waste and biohazard materials
Schedule appointments for patients: including surgery appointments (Mohs surgery, excisions) and clinic appointments (wound checks, Mohs consultations, suture removals, etc.):
Have basic medical and surgical knowledge as it relates to Dermatology and Mohs surgery
Know what various blood thinners are
Know the basic difference between a pacemaker and defibrillator
Know the different types of skin cancer (basal cell carcinoma, squamous cell carcinoma, melanoma, other) and how they pertain to Mohs surgery vs excision
Know basic external anatomy of the head and neck (for example, know that the nasal sidewall is on the nose, conchal bowl is on the ear, occipital scalp is the back of the scalp, etc.)
Contact medical facilities or departments to schedule patients for tests, admission, or collaborative surgical care (for example, coordinate care with ENT if patient is having Mohs surgery with our team and repair/closure by a local ENT physician)
Change dressings on wounds and can place a good pressure bandage after Mohs or excisions
Know how to place steri-strips and use mastisol
Know how to carefully use Hibiclens (chlorhexidine) as a surgical prep (and to avoid the eyes/ears at all costs). Know when to use other preps, such as Ocusoft, alcohol, iodine, etc.
Inventory and assess the need for instruments, supplies and equipment while keeping the room fully stocked (daily)
Inventory and order medical supplies (monthly) and ensure all equipment is in proper working order
Perform accurate documentation of all procedures in a timely manner. Input information efficiently into the EHR (we currently use Modernizing Medicine - EMA)
Maintain adaptable and functional computer skills
Respond to emergency situations based upon nursing standards, policies, procedures, and protocol by having knowledge of equipment and supplies and is familiar with their location
Know how to operate an oxygen tank, oxygen mask and nasal cannula
Know how to recognize when a patient "vasovagals" and performs the first steps to help patient through this situation
Assist physicians in patient, employee, or visitor medical emergencies and ensure proper documentation per facility's protocol
Adhere to all policies and procedures in performing job duties and responsibilities
Uphold a culture of high quality medical care, supportive work environment, and excellent patient experience

Responsibilities
Accurately and thoroughly document patient visits and procedures in real time, including medical history, physical exams, assessments, and treatment plans, as dictated by the provider.
Transcribe physician-dictated diagnoses, prescriptions, and instructions for patients or caregivers regarding follow-up and self-care.
Identify and correct inconsistencies or potential errors in documentation to support accuracy and reduce clinical risk.
Record all relevant clinical data, lab results, and physician interpretations into the electronic health record or designated systems.
Ensure compliance with medical documentation standards, legal guidelines, and patient confidentiality requirements (e.g., HIPAA).
Collect and organize data for quality improvement programs such as the Physician Quality Reporting System (PQRS) and assist in preparing submissions.
Support systems for tracking patient follow-up, treatment compliance, and care coordination.
Review and edit medical documents for clarity, grammar, spelling, and accuracy prior to provider sign-off.
Assist in the development and management of provider schedules.
Perform administrative and clerical tasks, including making phone calls, organizing documentation, and supporting clinical staff as needed.

Qualifications
Associate's degree or higher, or a minimum of 2 years of experience in a medical, health services, or related office setting
Certification as a Medical Scribe Professional (preferred)
Medical coding training or certification (preferred)
Experience with Credible or other electronic health record (EHR) systems
Strong typing skills and proficiency in Microsoft Office Suite
Excellent written and verbal communication skills, including spelling, punctuation, and grammar
Ability to listen to and accurately summarize complex medical information in a clear, concise, and professional manner
Familiarity with medical terminology, diagnostic procedures, pharmacology, and treatment assessments sufficient to transcribe medical documentation

Documents clinically related activities accurately in the patient's EMR; performs required patient follow-up: to include pap smears Pb levels HIV mammograms and STD's. Collects and processes specimens completes requisitions and documents in logbook or other applicable forms/records.
Provides escort for patients and assists with patient discharge activities. Provides chaperoning for patients per policy.
Fulfills infection prevention and environmental responsibilities as assigned which many include: Light cleaning during clinic hours and cleaning of equipment. Updates appropriate records of scheduled equipment maintenance and manages drug and medical supply inventories.
Provides telephone screening services to gather information from patients determine appropriate disposition and document per established telephone screening protocols.
Under onsite provider supervision may insert intravenous catheter for physician initiated IV fluid therapy or administration of intravenous medications. Under direct onsite physician supervision may insert remove and monitor urinary catheter for procedures and prepare and administer oral drugs and injections limited to intradermal subcutaneous and intramuscular. May perform phlebotomy.
Utilizes the EMR to propose patient medication refills for provider approval. Completes requisitions for tests (if applicable). Contacts insurance companies for Pre-authorizations for patient medications and specialty referrals including insurance authorization.
Floats to other sites/locations within the system as appropriate and performs all duties at multiple sites.
Attends scheduled meetings including but not limited to regular staff meetings and training classes for safety infection control OSHA CLIA BLS and others as required.

Minimal Qualifications
Education
* High School Diploma or GED required and
* Completion of an accredited MedicalAssistant program preferred
Experience
Less than 1 year 6 months experience working in an ambulatory care medical office or equivalent required. Externship in a medical or ambulatory health setting strongly preferred. Completed externship program at medstar health may be substituted for the 6 months experience in ambulatory care medical office. required and
For Cardiology offices only: 6 months experience working in an ambulatory care medical office or equivalent required or Bachelor's degree in exercise physiology/science or related major or successful completion of a cardiac technician course. preferred and
Prior experience as a medicalassistant preferred
Licenses and Certifications
Certified MedicalAssistant (CMA)-AAMA by the American Association of MedicalAssistants within 1 Year required or
Registered MedicalAssistant (RMA)-American Medical Technologists through American Medical Technologists or equivalent within 1 Year required
