GENERAL SUMMARY OF DUTIES: Responsible for the organization and supervision of all administrative and clinical activities for a physician practice with multiple clinics and endoscopy centers. Manages daily clinic and endoscopy operations and delegates work assignments to team members. Coordinates and oversees daily schedules, patient flow and customer service for all physician clinics and endoscopy centers within scope. REPORTS TO: Regional Practice Director RESPONSIBILITIES
Duties include but are not limited to:
Effectively displays and provides leadership to all staff and providers in a busy clinic and endoscopy setting
Manages the day-to-day operations of physician clinics and endoscopy centers; identifies, analyzes, and resolves daily workflow issues
Manages the recruiting, hiring, development, and evaluation of all clinical and non-clinical staff
Ensures locations are appropriately staffed during all clinical and non-clinical hours; manages staff overtime to the needs of the clinics and endoscopy centers
Manages physician schedules for multiple locations and visit types
Monitors and manages the financial health of and contributions to United Digestive
Champions relationship with physicians; conducts quarterly physician meetings
Evaluates key performance indicators and financial metrics to drive decision making
Abides by and promotes HIPAA compliance; maintains strictest confidentiality with regards to patient information
Ensures all accreditation, CMS, and life/safety requirements are met and maintained
Ensures all applicable procedures are scheduled in affiliated endoscopy suites
Ensures all applicable ancillary services are scheduled within the practice
Ensures requests for information and record releases are handled promptly and effectively to guarantee payment on patient accounts
Interviews, hires, trains and develops all team members
Conducts monthly team meetings to keep all informed of policies and procedures
Acts as a communication link between the physicians, administration, clinics and endoscopy suites
Ensures patients are treated courteously by team members and that other visitors are screened and properly directed
Acts as the formal contact person for referring physicians and patient complaints
Oversees and approves ordering and maintenance of all supplies and equipment
Responsible for the acquisition of complete and accurate patient demographic and billing information
Balances patient payments daily; oversees collection of charges for hospital services and ensures that demographics are accurately captured in practice management system
Initiates and oversees marketing activities within local market; develops relationships with key referring physicians and practice managers
Ensures mail is opened and processed appropriately
Completes any other duties and or special projects as assigned
REQUIRED EDUCATION, SKILLS, & EXPERIENCE
High school diploma or GED required; Bachelors degree preferred, 2-3 years of clinic or endoscopy management experience with a concentration in healthcare policies, procedures, and systems. Manager must be proficient with scheduling, check-in, and medical records management as well as budgeting and inventory control. Manager must also be computer literate and able to operate multiple Microsoft Office applications. Experience with CMS and accreditation requirements preferred. ADDITIONAL SKILLS AND EXPERIENCE
