Position Summary:
The Central Scheduler performs the duties required to schedule patients for surgery and other procedures. The scheduler communicates any preparations needed to the patient and communicates the information to all areas within Scheduling Department. Schedulers are required to gather information from physicians and their offices regarding specials supply requests and also gather and report statistical data as requested. Demonstrates Service Excellence at all times. Other duties as assigned.

Job Description:
Performs a broad scope of advanced administrative and clerical duties, exercising considerable analytical skills and judgment, acts independently, as the initial review and analysis for appointments, reappointments, status changes, additional privilege requests and voluntary resignations, monitors progress to ensure resolution of issues discovered. The Medical Staff Coordinator prepares reports, correspondence to practitioners, documents as appropriate and distributes accordingly exercising skill, judgment, and attention to detail. Serves as a backup for the Medical Staff Director as necessary.
Qualifications
Shift: FULL TIME DAYS
Education:
High school diploma or equivalent preferred.
Experience:
Requires a minimum of 3 to 5 years prior work experience credentialing physicians in a Medical Staffing office at an acure care or managed care setting.
Technical Skills:
Computer proficiency to include word processing, spreadsheet, and database. Ability to take and transcribe minutes. Ability to think critically, analyze complex documentation and recognize items requiring further investigation.
License/Certification:
Certification as a professional in medical staff services and/or quality management preferred. CPCS certification must be obtained within 18 months of hire, or within 18 months of initial admissibility
Other:
Knowledge of and ability to remain current on medical staff functions and processes, bylaws, rules/regulations, policies and procedures, accreditation standards of the Joint Commission (JC), and federal/state law. Working knowledge of basic accounting and researching medical staff resources. Must be able to deal appropriately with highly sensitive and confidential material.

Key Responsibilities
Greet, register, and check-in patients in a professional and friendly manner
Process patient check-outs and schedule follow-up appointments
Answer phone calls, address inquiries, and schedule appointments efficiently
Verify insurance information and handle prior authorization processes
Maintain accurate and confidential electronic medical records (EMR)
Collect co-pays, outstanding balances, and required documentation
Keep the reception area clean, welcoming, and organized
Coordinate with clinical staff to ensure smooth patient flow and support office operations
Qualifications
Previous experience in a medical office or healthcare setting required
OB/GYN experience preferred
Proficient in electronic health record systems, preferably AthenaOne
Strong communication, interpersonal, and multitasking skills
High attention to detail and accuracy in administrative tasks
Ability to remain calm and efficient in a fast-paced environment
High school diploma or equivalent

Ensure all information being released is verified and checked for accuracy and follows all SDMI and Federal HIPAA and Privacy Regulations. Ensures that SDMI Core values are used when handling everyday concerns or issues with patients or staff. Must have strong Customer Service skills. Maintains a high level of privacy and security when it comes to the patient information, that you are releasing information to an approved person(s). Processes requests for medical records to patients, requesting physicians or outside facilities. Maintain accuracy of any outside records when received in the patient chart in the EMR. Prepare outside images for comparison to be read by Radiologist. May aide in preparing SDMI records that need to be sent with CRR out to doctors daily. Takes ACD calls from referring physicians, facilities, or patients and may aide patient with accessing the patient portal. Make sure all Emergent Records or requests sent via fax are handled in a timely manner. Maintain notes for each medical record request in the patient's chart in the EMR. Identify and fix any errors that are caught and report them upon discovery. Fax reports that are not sent by DDS will be identified and faxed upon discovery. Assist other departments as needed. May perform other job-related duties for the efficient operation of SDMI.
MINIMUM SKILLS, ABILITY AND REQUIREMENTS:
Must be a high school graduate or equivalent. Previous medical experience preferred.
Read and write English.
Any employee who discovers, is directly involved in or is responding to an event/occurrence/risk is required to complete or direct the completion of an occurrence report within 24 hours of event/occurrence/risk.

Staff members may be monitored at any time during business calls without notification. SDMI management may listen in on conversations for training, monitoring and other legitimate business purposes.

Demonstrates punctuality by reporting to work on time/satisfactory attendance record that complies with SDMI attendance policy.
Takes full responsibility for all functions within job description and assures that all functions are completed before leaving SDMI at the end of the shift.
Communicates effectively when follow up is needed.
