About the Role
We are seeking a Medical Receptionist to join our dedicated team at Pinnacle Fertility - Washington in Bellevue, WA. This is a full-time, onsite role working Monday-Friday from 7:15 AM to 3:45 PM. Flexibility to travel to satellite clinic locations and participate in holiday and weekend coverage rotations as needed is required.
Key Responsibilities
Welcome and check in patients, verify personal and insurance information, and direct them to appropriate departments.
Answer and manage incoming calls, schedule appointments, and provide support to clinical staff.
Maintain accurate patient records, process billing information, and collect copays.
Ensure the reception area is clean, organized, and welcoming for all visitors.
Floating and traveling between clinic locations.
Assist with additional projects and administrative duties as assigned.
Position Requirements
Education:
High school diploma or equivalent required.
Experience:
1-2 years of experience in a medical office, customer service, or front desk role.
Skills:
Strong communication, organizational, and multitasking skills.
Proficiency with electronic medical records (EMR) and basic computer skills
Flexibility:

You will provide continuing care through these responsibilities
Essential functions of this position include the following.
Maintain and protect the confidentiality of all resident medical records (electronic and paper) in compliance with HIPAA and facility policies.
Assemble, complete, review, and file resident health records, ensuring timely and accurate documentation of admissions, discharges, transfers, physician orders, and care plans.

Coordinate with IT or EHR vendor (if applicable) to resolve documentation or access issues.

Serve as a backup for admissions review process in absence of Sr. Admissions Director.
Periodically, make planned visits to local discharge planners.

Our requirements and qualifications for success

* Provide guidance to patients with documentation and education concerning financial assistance programs including Sliding Fee Program.
* Address front office situations that require an immediate response in the absence of the Patient Services Supervisor.

To perform a variety of records management functions to provide ready access to all public records housed in the County Records Center and to provide all records-related services to customers.
Job Duties
STATEMENT OF ESSENTIAL JOB DUTIES
* Provides or coordinates records delivery and retrieval services for records being transferred to and from the Records Center and county departments, within established service-level guidelines.
* Assists county employees in person, by phone or by email by answering questions and explaining services and procedures; and by researching and analyzing a variety of records to respond to requests.
* Verifies records box and item accession documentation for adherence to established records transfer procedures; assists customers in preparation of records transfer forms.
* Performs box numbering, accessioning, shelving and cross referencing duties; maintains logbooks, worksheets and databases to track circulating records material.
* May provide lead direction to other Records Center records management staff in their performance of their records management functions.
* Trains records management and departmental users in the operation of new and revised records management systems; conducts training classes as necessary; acts as an ongoing information resource to system users.
* Performs physical item and box inventory control activities using bar code readers and computerized audit programs. Provides regular activity reports to the supervisor.
* Assists in the design and implementation of computerized systems for records management functions and maintains systems as required. Generates scheduled reports utilizing the system's report generator.
* Coordinates, organizes and tracks the destruction and removal of records from the Records Center and client departments as directed to comply with state and federal regulations. Adheres to legally mandated confidentiality regarding public records.
* Prepares monthly and year-to-date reports, notices, forms, correspondence and graphs showing productivity, inventory, and activity levels, including the compiling of related statistics.
* Coordinates with the Enterprise Scanning Center's coordinators or supervisor and provides transportation for boxed materials to be processed.
* Performs records analysis and categorizes accessioned records for retention value and archival disposition. Organizes, indexes, prepares and delivers records boxes for transfer to the Washington State Archives in Bellevue, Bellingham, and Olympia.
* Designs layouts and determines shelving requirements and constructs shelving as needed.
* Monitors physical conditions in the Records Center to ensure that environment is suitable for the storage of inactive, semi active, historical and archival records.

* May serve on or attend a variety of teams, committees and task forces as required.
* Ability to perform all duties of the lower level position at the Records Center.
* Performs related duties as required.
Minimum Qualifications
An Associate's degree in general business or related field; AND two (2) years experience in records management; OR, any equivalent combination of training and/or experience that provides the required knowledge and abilities. Must pass job related tests.
SPECIAL REQUIREMENTS
A valid Washington State Driver's license is required.

Washington Gastroenterology is seeking full-time Medical Records Coordinator to join our Puyallup Clinic team. This team primarily works remotely from home supporting the maintenance of all medical records information (must be Washington based).
Responsibilities:
Accurately file private health information into patient medical records in accordance with regulatory guidelines. Examines and confirms the authenticity and completeness of all records
Performs clerical functions including chart maintenance and processing incoming correspondence (i.e. faxes including outbound and failed)
Retrieves archived records electronically from off-site storage as needed
Responds to request for patient records from referring providers, billing, or outside agencies
Confirm HIPAA authorization to disclose
Request medical records from referring providers
Retrieve records electronically from hospitals, diagnostic services, or clinics
Track hospital procedure reports and charges
Assist the clinical staff in all aspects of medical record recording and access
Chart prep for upcoming visits as needed
Responsible for incoming calls to department
Track and close patient medical orders
Other duties as assigned
Qualifications
Minimum of one (1) year experience in a customer-service environment required
Medical office or administrative experience preferred
Knowledge of medical terminology preferred
Must be able to maintain confidentiality of personal information
Ability to maintain focus on projects and attention to detail while working with frequent interruptions, conflicting demands, and deadlines
Ability to work independently with minimal supervision as well as with other team members in a remote environment
Maintains a positive attitude and treats others with courtesy and professionalism in speaking and writing
Strong written and verbal communication skills
Ability to learn and utilize health management information software

This team works primarily remote from home with training conducted onsite in Federal Way, WA. Compensation and Benefits
Employees (and their families) who work full time (defined as working 30 or more hours per week) will be eligible for medical, dental, vision, long-term disability, accidental death and dismemberment, and basic life insurance. In addition employees are able to enroll in our company's 401(k) plan which includes a company provided safe harbor contribution of 3% of annual earnings and the potential for a company discretionary profit sharing contribution.
All employees will be eligible to accrue PTO at a rate of .04 hours per payroll hour (1.6 hours for a 40 hour week) which can be used for and exceeds the required mandatory WA State and other local ordinances. In addition, full time employees will be eligible for a Vacation accrual with a maximum annual accrual of 77 hours as a new hire.
WAGI has 8 standard Holidays each year for which full time employees are eligible to receive paid holiday. In addition, full time employees will be given 1 Float Holiday each year that they can schedule.
