At American Family Care, our PRN Medical Assistants keep our urgent care centers running smoothly by blending clinical skill with patient registration and insurance verification expertise. In this flexible role, you'll pick up at least 4 shifts per month (with the option for more), supporting centers when patient volumes rise or coverage is needed.

What you'll do
Clinical Care: Greet and triage patients, collect vitals/histories, perform venipuncture and CLIA-waived point-of-care testing (COVID, flu, strep, glucose, A1C, UA, etc.), assist with minor procedures, wound care, EKGs, and nebulizer therapy.
Insurance Verification & Front Desk: Register patients, verify insurance eligibility, determine financial responsibility, collect co-pays, reconcile payment logs, and maintain EMR accuracy.
Patient Service: Educate patients on both clinical procedures and financial expectations, provide clear discharge instructions, and de-escalate concerns with empathy and professionalism.
Team & Compliance: Participate in daily huddles, maintain compliance logs (crash cart, fridge temps, etc.), support infection-control and HIPAA standards.
What We're Looking For
Completion of an accredited Medical Assistant program.
Active national MA certification (CMA, RMA, CCMA, or equivalent) at hire.
At least 1+ year of experience with insurance verification and patient registration required.
Current Basic Life Support (BLS) certification (or ability to obtain before starting).
Urgent care or emergency room experience highly valued.
EMR proficiency (Experity preferred); comfort with payer portals (e.g., Waystar).
Proven venipuncture and specimen collection skills.
Additional requirements
* Must successfully pass a drug screen and criminal background check as a condition of employment.
* Full availability including ability to work evenings/weekends and float to nearby centers as needed.

After the patient signs in at the front desk the Medical Assistant greets the patient and escorts them in for office visits with the physician or nurse practitioner and lab work.
Transports patients safely using appropriate equipment such as wheelchairs.

Lab Specimen Collection:

Review all specimens for acceptability.
Instructs patients in the proper collection of twenty-four-hour urines. Verifies that the containers contain the proper preservative and instruct the patient in refrigeration or acid precautions if appropriate.
Lab Quality Control:
Investigate all out-of-range results and document the corrective action taken.
Laboratory Testing:
After assuring satisfactory QC and instrument function, perform CBC on the Hematology Analyzer. Review all results for acceptability, critical results, or clinically significant changes. Report critical values or significant changes to the physician. Maintain documentation of all results, or of any corrective action taken.
Process Bone Marrow biopsy specimens for transport to the appropriate reference laboratory for analysis.
Process all specimens for outside lab testing. Refer to manual for instructions.

Responsible for patient check-in and check-out. Gathers all patient demographic related data and materials from patients andor their representatives. Obtains insurance information (ID card, member group #s, etc.), verifies insurance eligibility electronically, takes their picture and asks them to use Patient Secure. On subsequent visits, asks them to verify demographic info and makes any necessary edits. Collect and ask patients to sign patient related documents including HIPAA, MSPQ, ABN, etc. Follow up with patients and/or their representatives, physician offices, etc. to gather missing data and materials in order to complete the intake process, or refers to more senior level staff.
Responsible for collecting co-pays and any other balances owed to institution. Scan all necessary documents (insurance cards, lab requisitions, etc.) into the intake system. Monitors intake work queue for timely intake completion.
May be responsible for pre-authorizations and certifications with the exception of surgical procedures. Ensures that appropriate procedure and diagnosis coding is utilized in the pre-certification and verification process and questions physicians, if appropriate, to ensure accuracy and completeness of information.
Assists patients who have a question regarding insurance coverage. Refers patients who are in need of counsel on financial matters based on established criteria (e.g., denial of electronic insurance eligibility, ABN questions/concerns, questions regarding insurance or pay-or restrictions, making payment, multi plan determinations, any and all issues/questions/concerns relating to financial matters) to the appropriate business officecontact.
Maintains cooperative and professional relationships with physicians, nurses and office and clinical staff. Types routine material such as forms and letters, envelopes, etc. Types materials neatly, accurately and according to instructions.
Answers patient questions to ensure understanding and patient satisfaction, or refers them to more senior level staff. Maintains confidentiality on matters to which they are privileged.
Maintains and receives files for area. Maintains files in organized and up-to-date manner in order to facilitate their retrieval. Completes filing in accordance with departmental procedures. Sorts and distributes documents and forms for area section. Distributes materials according to content of communications and departmental procedures. Logs in materials with respect to time and data when applicable. Processes incoming and outgoing documents. Completes forms neatly. Secures appropriate signatures and forwards documents/forms to correct destination based on pertinent Medical Center procedures. Maintains copy for files. Faxes documents in accordance with departmental procedures. Maintains supplies and cleanliness of space, restocks supplies as needed. Notifies supervisor of any shortage of supplies.

Minimum Qualifications:

* Takes complete and accurate IB messages from all individuals contacting the medical facility by telephone, including messages related to patient needs intended for providers and clinical staff. Delivers messages to the intended recipient in a timely manner. Escalates calls pursuant to the ACPNY call escalation policy. Checks email correspondence, electronic task lists, and other written communication regularly throughout the business day to enable timely knowledge of and response to written correspondence.
* Collects cash from patients for charges and co-payments and provides patient receipts. Completes all necessary documents for all payments accrued. Matches cash collected to receipts at end of session. Performs accurate end of day reconciliations. Makes reminder and "no show" calls. Prints schedules and confirms appointments. Sends correspondence to patients' residences in order to remind, recall or reschedule appointments.
* Coordinates internal and external referrals to specialists by coordinating and scheduling all appointments, providing appointment date and time reminders, providing directions to the specialist's office and copies of any pertinent medical records or tests needed for the specialty appointment. Coordinates additional tests as needed. Utilizes the EPIC preferred provider list and/or external provider list for the coordination of referrals. When requested, provide patients with a list of three external specialists to satisfy their request to research and select their own specialty provider.
* Reviews the referral WQ daily to address any referrals which may have been ordered in a non-face to face encounter, such as an in-basket message and proceeds to arrange these referrals. Acts as a liaison between ACPNY and external specialists for outpatient procedures performed at other facilities, i.e. interventional, surgical or other. Provides data as necessary and conducts all necessary follow up. Acts as the key point of reference to communicate with patients on pre-and post-referral appointment matters.
* Assists care teams with campaigns/initiatives such as the Influenza program and the Health outcome survey and closing gaps in care. Provides information to patients and assists them in getting the care they need. Under the direction of the Practice Administrator, conducts regular outreach to identified "at- risk patients" to reduce unnecessary ED visits and admissions.
* Maintains effective communication with patients, families, peers and other members of the health care team.
* Attends all meetings as directed by practice administrator/designee. Demonstrates flexibility in the acceptance and completion of work assignments. Effectively takes action without being told (e.g., takes initiative) within the scope of his/her responsibilities. Position Overview:
The M.A. is assigned to a specific floor of the facility and given tasks related to that floor. The M.A., under the direction of the Team Leader and/or Nurse Manager, utilizes the computer to enter and retrieve data from RESource, Quest computer and email. Communicates care rendered, provides assistance to physicians and clinical staff in order that patient care is accommodated, stock is maintained, and the environment is maintained in a clean, orderly manner. Duties and Responsibilities :
Assist in morning monitoring (blood drawing, chaperoning, RESource data input)
Setting up and assisting in retrievals, including pre-op vital signs.
Setting up and assisting in transfers, including giving discharge instructions.
Cleaning rooms (procedure and dressing room) after procedures. (Empty garbage bins during day if needed, otherwise at end of day place outside of procedure rooms).
Clean and sterilize equipment, soak ultrasound probe.
Restock procedure rooms, dressing room and pt. bathroom as needed, give weekly list to Team Leader or designee by Thursday of what needs to be ordered. (Must verbally tell her if something is needed immediately).
Laundry, place by backdoor end of day on Monday. Unpack and distribute laundry when it arrives.
Red bag, when full package for pickup.
Weekly log (O2, suction check, refridgerator, eye wash stations)
Restock refrigerator in Recovery Area.
Prep charts for next day's cases, including printing RESource stim report. (On Friday's, prep charts for weekend and Monday)
Make copies of forms as needed for first floor.
When finished downstairs, come upstairs to assist on second floor:

End of day
Turn off ultrasound machine and shut down exam rooms not still being used.
Wipe down counters and exam table with water/alcohol mixture.
Bring all ready samples out to specimen boxes with cool pack.
Soak ultrasound probes for 10 minutes.
Empty, clean and sterilize speculums, etc.
Empty red bags.
Empty laundry in exam rooms as needed.
Weekly: Change ultrasound probe soaking solution, Pap letters, Eye wash stations, Inventory, Sterilizer testing, Empty sharps containers.
