Position Summary:
Under the direct supervision of the Nurse Manager, the Medical Office Assistant (MOA) provides frontline administrative support to patients and staff. This role is responsible for patient registration, appointment scheduling, insurance verification, collection of co-pays and deductibles, and ensuring a welcoming and efficient front office experience. The ideal candidate demonstrates excellent communication and customer service skills, thrives in a multi-tasking environment, and pays strong attention to detail.
Key Responsibilities:
* Uphold patient confidentiality and ethical behavior in alignment with Aunt Martha's policies.
* Support multiple health centers within a designated region, as needed.
* Actively participate in daily team huddles to support clinic operations.
* Register new and returning patients using the electronic health record (EHR) system, ensuring completion of all required forms and accurate data entry.
* Verify insurance eligibility and income, and upload documentation into the EHR.
* Refer uninsured or underinsured patients to enrollment specialists for insurance support.
* Answer phone calls professionally and courteously, route communications appropriately, and document all interactions in the EHR.
* Schedule, reschedule, and cancel appointments as needed.
* Conduct reminder and follow-up calls for missed appointments per protocol.
* Process check-outs, including collecting payments, issuing receipts, submitting claims, and scheduling follow-up visits as directed by clinical staff.
* Complete administrative tasks, phone messages, patient cases, and eligibility reviews by the end of business each day.
* Perform daily cash reconciliation and end-of-day batch closing accurately.
* Process medical record requests within established timeframes.
* Collect and distribute internal and external mail.
* Complete all required Core Curriculum training.
* Perform additional duties as assigned.
Qualifications:
Education & Experience:
* High school diploma or GED required.
* At least one year of previous customer service experience is required.
* Previous experience as a Medical Office Assistant or in a healthcare setting is strongly preferred.
Additional Requirements:
* Reliable transportation.
* Bilingual (English/Spanish) skills are a plus.

Complies with all NMHC policies, including those relating to confidentiality of patient information, and all local, State and Federal guidelines for documentation, confidentiality and privacy (HIPAA).
Ensures documentation in the EMR includes a statement that “Document has been prepared at the direction and in conjunction with Provider” along with the along with the Scribe's name and title, and that the Provider has included an attestation regarding the accuracy of the note.

Scribes are prohibited from participating in any clinical care (must refer all requests related to patient care to the responsible Physician or Nursing staff), interjecting own feelings, observations or impressions into the documentation, dictating reports, entering/writing prescriptions, using Provider's log-in or passwords, or performing hospital duties.

Qualifications
Required:
High School Diploma or equivalent.
Proficient in medical terminology and basic coding knowledge.
Strong written and verbal communication skills; Ability to communicate and interact professionally with others.

Ability to actively listen and observe.
Keyboard proficiency and the ability to operate a personal computer and related software applications.

How You Will Make an Impact: The Medical Assistant provides essential support to both healthcare providers and patients; often the first point of contact for patients, contributing to a positive and reassuring patient experience. Prepare minor procedure trays and assist with procedures (i.e., hysteroscopy, endometrial and/or punch biopsy, cyst aspiration, Pap smears, GC/chlamydia testing, HSG testing, etc.).
Prep exam room respective to patient appointment and testing.
Educate patient on procedure(s) and provide answers prior to procedure.
Assist physician and/or nurse practitioner with patient examinations.
Maintain patient workflow to meet physician/nurse practitioner scheduling requirements.
Order and schedule lab tests as directed; review results and annotate appropriate disposition.
Order prescriptions/refills for patients prior to procedure; notify patient upon completion.
Disinfect room after each exam/appointment re-prep for next patient.
Equipment maintenance and sterilization; identify any need for supplies/parts/repair and notify Practice Administrator.
Order and maintain back-office supplies and reconcile monthly receipts/packing slips for submission to the business office.
Scan signed consents, office appointment forms, laboratory, and pathology reports into EMR.
