TEAM LEADER PRIMARY FUNCTION
The Team Leader serves as the on-site departmental supervisor, monitoring daily functions of their team to ensure optimal workflow. The Team Leader reports up to the Service Line Manager as necessary and serves as an intermediary between departments to build relationships, develop teams, and solve problems to better serve patients. This description is an addendum to core position of the team leader and describes only the specific leadership responsibilities of the team leader.
CMA/RNs are member of a primary care team responsible for the care and treatment of patients in a medical office by assisting medical providers utilizing both assessment and technical skills. CMA/RNs ensure efficient patient flow in rooming/triaging patients, completing orders and answering patient questions, often acting as a liaison on behalf of our patients to provide high quality healthcare.
PRINCIPLE DUTIES
Establish the patient as the priority and focuses work around the customer service experience, for themselves as well as for the team.
Supervise daily functions of the team, ensuring appropriate protocols and policies are followed.
Monitor the daily workflow for efficiency.
Reassign staff as needed or indicated by the Service Line Manager.
Ensure all departmental logs are completed appropriately and completely.
Approve daily timecards and ensures that team members arrive on time and take appropriate meal and break periods.
Develop staff through coaching and training activities on a regular basis.
Complete evaluations for staff on team.
Build relationships amongst team leaders and colleagues to improve interoffice communications and develop teamwork capabilities.
Collaborate through face to face and IM interactions with both providers and the dental and medical team leaders to solve issues that may present throughout the course of the day.
Participate in monthly clinic team leader meetings to identify workflow issues and troubleshoot potential solutions to present to management team.
Triage patient complaints and issues and solve as able. Route complicated issues to the next level of management or appropriate department as needed.
Share appropriate and pertinent information with team in timely manner.
Attend monthly and quarterly meetings to obtain organizational informational.
Lead monthly team meeting to share organizational information and deliver quarterly team trainings.
Maintain records of vital statistics and other pertinent patient data including medical and social histories.
Prepare patients for and assist with examinations.
Conduct specified laboratory tests. Collect lab specimens, including blood, urine, stool, sputum, mucous, and skin sources.
Administer injections and medications, dress wounds and incisions, interpret physicians' instructions to patients, assist with emergency and minor surgery, and perform related tasks as directed.
Clean and sterilize instruments and equipment, and maintain stock of supplies and medications.
Record and develop electrocardiograms.
Relay messages to providers, assist providers with prescription requests, phone in prescriptions to the appropriate pharmacy once ordered and instructed to by a provider.
Other duties within the scope of practices as assigned by the provider and/or supervisor.
JOB REQUIREMENTS Minimum Education: Completion of an accredited program for medical assisting or nursing program
Minimum Work Experience: Minimum 1 year medical office experience preferred.
Required License: Current Kentucky Nursing license or Certification/Registration for medical assisting. Basic Life Support Certification through American Heart Association.
Qualifications
Successful applicants will be mature and well organized with pleasant personality and speaking voice. Knowledge of medical office procedures, basic computer skills, and patient flow in a primary care setting is preferred. Position requires skills in verbal and written communication, multi-tasking as well as proficiency in time management and organizational skills. Preference will be given to candidates with previous medical office experience. Medical assistants must hold a certification or registration that is recognized by a certifying board of their field such as American Association of Medical Assistants (AAMA) or American Medical Technologist (AMT). Employee is responsible for maintaining requirements of certification and providing evidence of this to the organization as requested.

Overview of the Clinical Care Navigator, Medical Assistant role
The Clinical Care Navigator's primary responsibility is to facilitate the optimal delivery of care for members enrolled in the Wayspring Clinic. This role is an essential aspect of the Wayspring SUD Home program, supporting members through their wellness journey. The Clinical Care Navigator, Medical Assistant will be responsible for collaborating and coordinating care plans with internal and external providers, including Wayspring Primary Care Nurse Practitioners, Psychiatric Mental Health Nurse Practitioners, Mental Health Therapists and Member Engagement team members.
Clinical Care Navigators assist members in starting and navigating their single, holistic care journey with Wayspring. CCN's are part of the Clinical Operations department and report to their respective market Clinical Operations leader. CCN's primarily assist both members in coming to the clinic and providers (Nurse Practitioners and Therapists) with preparation, documentation, and care follow-ups.
Responsibilities of the Clinical Care Navigator, Medical Assistant
* Assists in the facilitation of optimal delivery of care for members enrolled in the Wayspring Clinic
* Completes intake patient registration documentation for new patient appointments
* Assists in management of the Wayspring clinic calendar and schedule
* Rooms patients being seen in-person at the Wayspring clinic
* Completes chart preparation for internal Wayspring providers through Athena (Wayspring EMR)
* Performs patient outreach engagement activities, including outbound calls to improve clinic utilization
* Fields inbound calls, schedules appointments as requested
* Leads daily Clinic Huddles virtually and in-person
* Completes Point of Care Testing, i.e. urine drug screen and performs quality controls
* Manages the clinical inbox and related Athena items
* Coordinates specialty referrals, routing orders, care coordination, participates in safety inspection processes, appointment follow ups and more.
* Provides support to providers during clinic visits, as needed
* Serves as a clinical resource specific to members' unique issues and treatment plans to Wayspring's internal teams
* Performs other duties as assigned
Requirements & Preferred Qualifications
* Certified as a Medical Assistant from the American Academy of Medical Assistants, the American Medical Technologist Organization, or current registration with the American Registry of Medical Assistants or approved eligibility
* Minimum of three (3) years of experience working within a provider clinic, assisting both front and back office. Experience in settings that include primary care, substance use disorder, and care management preferred
* CPR/AED/BLS certification or the ability to obtain it prior to the start of employment; maintain and provide proof of current certification(s)
* A high degree of professionalism and customer service in both written and verbal communication
* The ability to work both independently and in a team environment
* Strong computer skills, including proficiency with databases and with Microsoft Office applications and an EHR/EMR system, experience in Athena is preferred
* Ability to function in an interdisciplinary setting

A minimum of one year of experience in a medical office, clinic, or similar setting is required. This experience must include direct, hands-on patient care in a clinical setting, such as obtaining manual vital signs, documenting patient history and medications, and performing clinical procedures (e.g., EKGs, phlebotomy, administering injections or vaccines). A combination of relevant experience and formal medical-related education may be considered to meet this requirement.
Upon hire, all Medical Assistants will undergo a clinical competency assessment and must successfully complete MA orientation. Those who do not meet the required standards will be enrolled in the Medical Assistant (MA) Trainee Program for further development and reevaluation.

PRIMARY FUNCTION The CMA / RMA serves to support telehealth visits providing both technical and administrative support for clinical telehealth visits. The VVA is responsible for real-time telehealth applications support for virtual visits of behavioral health and primary care services. Serves as the primary point of contact and technical assistance for all telehealth activities for the clinic. The CMA is also responsible for ensuring virtual patient access to the care by identifying and responding to patient needs. Managing patient demographic and contact information is high priority during all patient contacts. PRINCIPLE DUTIES
Monitors provider schedules for telehealth visits and coordinates visit coverage with coworkers.
Connects to the telehealth visit prior to the patient joining, maintains availability via phone to assist patients in connecting to the virtual visit.
Greets all patients and visitors promptly and pleasantly. Explains policies to patients and distributes patient information sheets, when appropriate.
Ensures the patient has established a good connection to the virtual application with appropriate audio/video capabilities. Troubleshoots technical issues and offers solutions to improve connection and/or provides alternative options if good connection cannot be obtained.
Orients patients to the OTTO application, ensures that the patient is comfortable with all available tools within the application. Provides a brief overview to the patient of how the visit process will occur.
Ensures that the patient is in a comfortable, private, well-lit and quiet setting for the duration of the visit. Ensures that the patient is physically located within the state of Kentucky prior to the provider joining the call.
Completes check-in process for the patient appointment, updating clerical information on all established patients. Always verifies the following information during each patient visit:

Initiates the intake process in the EHR for the visit, documenting the following:
Preferred Pharmacy

Determines if the patient has equipment available for measuring their vital signs (scale, thermometer, blood pressure cuff, pulse ox, etc.). Instructs the patient how to properly obtain their vital signs and documents the reported readings in the patient chart.
Notifies the provider when the check-in and intake processes are complete that the patient is ready. Changes the workflow status in the EHR to Ready for Service.
Maintains availability for further assistance during the patient visit if provider or patient have technical issues.
Upon the conclusion of the visit, monitors provider orders for patient follow-up orders. Schedules or enters recall as appropriate.
Provides superior customer service to all patients, external customers (office staff of other offices, hospital, community agencies, etc.), and co-workers. Serves as an ambassador of the White House Clinics in all conversations and interactions with these parties.
Assists with other duties or in other departments as instructed by supervisor.
