Association Management Center meeting/event planner job description
- Collaborate with internal association teams to identify event strategies that support association goals and provide positive experiences for attendees.
- Negotiate contracts with conference related companies and vendors to leverage economies of scale and exceed client budget expectations. Establish and maintain positive working relations with internal staff, vendors and external stakeholders.
- Lead future year site selection strategy by managing the RFP process, provide input to the conference ROI, develop recommendations and negotiate the contract(s).
- Develop and manage financials as it relates to events and creating annual budgets for meetings and events, achieving favorable financial results through strong negotiation skills.
- Accountable for oversight of all meeting planning responsibilities including but not limited to project management in the pre-planning phase, planning and oversight of event logistics inclusive of room block management, food and beverage, room-sets, audio visual, attendee experiences and invoice reconciliation, and onsite management.
- Maintain an ongoing awareness of trends and new approaches to improve planning and production processes for events, including working with AV providers, AMC services teams, hotel professionals and others.
- Work on other projects and tasks as assigned.
- Bachelor's Degree; CMP and DES preferred
- 5+ years of direct experience in domestic event planning. International event planning experience is a plus.
- Intermediate computer proficiency in Microsoft Office Suite.
- Ability to travel (domestically and internationally) approximately 6-8 times a year for up to a week at a time (inclusive of weekends).
- Ability to lift 30 pounds and to be on your feet for 10+ hours (when onsite).

Job Summary
Working as a Meeting and Event Planner, you are responsible for Guest Services for a corporate Conference Center. You will manage a team of coordinators and receptionists. You will be responsible for ensuring guest's needs are met with high level of customer services. Additionally, you will be responsible for the following:
Key Responsibilities:
* Plans and communicates to all departments the expressed need of the customer
* Works directly with the Sales Training Department to ensure that all details of their trainings/meetings are arranged and space reserved appropriately. Constantly communicates with them to keep abreast of changes, additions and customer comments
* Acts as a liaison between the Conference Center and all customers
* Prepares all group service orders by using room reservation software
* Works closely with the Audio Visual & Conference Services Departments to ensure room set-ups, A.V. needs, and special requests.
* Works closely with the Food & Beverage Department for food quality, menu maintenance and assessing customer feedback
* Assists the General Manager in analyzing all aspects of the Training Center operation and reports back on any aspect that does not seem to be functioning properly
* Assists the General Manager in analyzing and creating quarterly Operational Review reports including PowerPoint slides and compiling data from the space management system
Preferred Qualifications:
* Bachelor's degree preferred but not necessary if candidate has related conference services experience
* Have a least two years hotel or conference center experience
* Abreast of industry trends
* Superior quantitative, oral and written communications and problem-solving/strategizing skills
* Excellent overall computer skills with advanced knowledge of Excel and PowerPoint

Job Description
As a
Meetings and Events Planner
,
your primary responsibilities will include:
- Single point of contact for client; creating, managing, and owning project plans, production schedules, onsite staffing schedules, working budgets, and final bills
- Communicate the client's needs and deliverables to internal stakeholders to ensure flawless execution
- Accurately review and analyze reports. Manage data between registration platform, air reports (inclusive of ever-changing arrival and departure manifests, and hotel rooming lists)
- Manage and oversee all details in the operations and management of programs
- Establish, maintain, and cultivate strong relationships with clients
- Uphold the high level of FROSCH GC&E customer service standards
- Lead client and vendor meetings; including but not limited to, sourcing, weekly progress calls, budget discussions, program development, etc.
- Organize and handle site inspections with clients
- Maintain clear and accurate files, keeping vendor files up to date
- Program travel for meetings/events, manage on site program team and vendors - Manage, organize, delegate, and communicate all priorities on site
- Ensure clear, consistent, and professional communication with clients
- Assist account management in booking repeat programs
- Work with existing clients & new contacts to develop business opportunities for FROSCH GC&E
- Cultivate new and existing relationships with key vendors
- Contribute and take an active role in creative development of proposals and contracts where you have specific account knowledge
- Maintain positive solution-oriented communication practices always
Requirements
- Minimum of 5 years meeting and event planning experience required
- Familiarity and experience with all types of conferences, meetings, and events required
- CMP designation preferred
- Cvent experience desired
- Experience in the professional services industry is a plus
- Related degree in Event Management, Travel or Hospitality or equivalent experience
- Proficiency required in Microsoft Office: Word, Excel, Outlook, and PowerPoint
- Multi-tasker with ability to time manage and prioritize
- Organized with attention to detail
- Ability to work independently - solution-oriented, resourceful self-starter
- Flexibility to change with a keen sense of urgency, when needed
- Professional and customer-oriented
