Position Summary
The OR Surgical Assistant will provide intraoperative, perioperative, and supporting services to Dr. Berger in orthopedic surgical cases across multiple offsite locations. The role requires frequent travel, flexibility, and ability to work seamlessly across different surgical facilities. The Surgical Assistant works under the direct supervision of the orthopedic surgeon, collaborating with operating room teams, anesthesia, nursing, and support staff to ensure safe, efficient, and high‑quality patient care.
Key Responsibilities & Duties:
Preoperative / Preparation
Review the surgical schedule in advance, obtain the case history, imaging, special instrumentation or implant needs
Coordinate with the surgical facility / hospital staff to ensure OR setup, sterile instruments, implants, and disposables are available
Assist with patient positioning, prepping, skin sterilization, and draping
Verify patient identity, operative site, and consent documentation in conjunction with surgeon
Maintain sterile field protocols and assist with gowning/gloving of surgical team
Intraoperative Assistance
Serve as the first or second assistant (as permitted by state/facility) - help retract, suction, maintain exposure, assist with instrumentation, suture / close layers, place drains or devices, apply dressings
Anticipate surgeon's needs, pass instruments, manage implants, and maintain operative efficiency
Monitor tissue handling, maintain hemostasis, assist with cautery, irrigation, and suction
Assist in the insertion, positioning, and securing of orthopedic fixation devices, grafts, screws, plates, etc.
Coordinate with scrub techs, circulators, anesthesia, and other OR staff
Assist during intraoperative imaging (fluoroscopy) and navigation if applicable
Document intraoperative events, counts, and implant usage as required
Postoperative / Turnover
Assist in applying final dressings, splints, or immobilization devices
Aid with patient transfer to recovery area (PACU)
Clean, decontaminate, and turnover the OR between cases as needed
Ensure surgical instruments and trays are properly handled, cleaned, and returned
Cross‑Site Logistics & Coordination
Liaise with facility staff, vendors, and implant reps to ensure appropriate setup
Manage scheduling logistics, travel time, and resource mobilization between sites
Communicate proactively about delays, equipment needs, or facility constraints
Assist in coordinating staff coverage or backup support across sites
Quality, Safety & Compliance
Adhere strictly to aseptic technique, sterile field integrity, infection control, and OR safety protocols
Participate in preoperative time-outs, surgical checklists, and site verification
Comply with facility, state, and federal regulatory requirements (e.g. OSHA, HIPAA, JCAHO)
Report adverse events, near misses, or safety issues promptly
Maintain professional continuing education, certification, and skills competency
Qualifications & Skills
Education / Training
Graduate of an accredited Surgical Technology program, or equivalent training (certified surgical technologist preferred)
Additional training or experience as a First Assistant / surgical assistant in orthopedic cases preferred
Current BLS (Basic Life Support) certification; additional ACLS or specialty certifications a plus
Experience
Minimum 1-4 years of surgical assisting or scrub tech experience, ideally in orthopedic surgery
Experience with orthopedic instrumentation, implant systems, fixation hardware, and grafts
Prior exposure to multiple surgical facility settings or mobile/rotating OR assignments preferred
Competence in intraoperative imaging, navigation, or fluoroscopy assistance is a plus
Technical & Clinical Skills
Excellent manual dexterity, hand‑eye coordination, and instrument handling
Strong understanding of musculoskeletal anatomy, orthopedic techniques, and implant systems

Ready to join? We are looking for a Medical Records Coordinator to join our team. The ideal candidate will have experience in medical records and possess knowledge of medical terminology, attention to detail, and great customer service. The position will be based at the corporate office located in Westchester, IL., near Oak Brook. Candidate will require flexibility to travel to the office in Chicago, IL (near Harrison and Ashland) 3-4 times per month. This is a full-time, 40 hours per week, Monday through Friday position. Candidate will have the opportunity to work remote after training has been completed onsite.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
Responsible for analyzing and responding to requests for medical information, ensuring adherence to Federal and state confidentiality requirements.
Performs maintenance, filing, and retrieving of active and inactive medical records.
Analyzes and processes requests for medical information from outside parties and evaluates legality of releases. Obtains copies and forwards patient health information in response to authorized requests for medical information in accordance with patient privacy legislation.
Copies, faxes, scans, or emails requested files to other sites as needed. Scans BREG receipts and Iron Mountain charts into NextGen Collects IME charts daily and assists in scanning as needed. Scans paper work in IME charts from previous patient day, scanning entire chart in the case of workers compensation charts and properly labeling it.
Picks up any and all medical records releases from 4th floor. Checks Healthport to see if releases have been received, and if not inter-offices them to Medical Records. Participates in rotation for NextGen faxes and phones. Scans op reports from Rush sources. -Rush SurgiCenter -Gold Coast -Rush Oak Park Fulfills requests for MRI reports as instructed.
Purges IME charts on a regular basis; boxes and dictates the charts. Runs doctors schedules and orders charts from Iron Mountain for patient days.
Looks up and orders charts for research coordinators. Places orders to Iron Mountain for pickup of new and returning charts, as well as placing orders for supplies.
Fills in for mailroom duties as needed: picks up and stamps mail, does mail run.
Orders repository forms as necessary.
Notarizes documents for doctors and interns.
Files medical histories and other information in patient chart in proper order following department guidelines.
Transports records to and from physician areas when necessary.
Scans medical records into appropriate category when received then returns records to appropriate location. Purges medical records on a regular basis.
Maintains inventory of all necessary supplies, may place orders, may verify deliveries, and approve invoices.
Stays abreast of and complies with all state and federal laws including HIPAA, ADA, OSHA, and FLSA.
Adapts to change in positive and professional manner.
Provides supplementary assistance to other medical records personnel as needed. Any and all other duties as assigned.
Analyzes and reviews medical records for completeness and accuracy of documentation according to specified standards. Monitors completion of medical records in accordance with time standards.
Audits incomplete records and prepares reports on delinquencies. Confers with doctors, nurses, and other health personnel to assure complete, current, and accurate medical records.
Compiles, maintains, and reviews logs, reports, and statistical records, and researches records to locate health data as requested.
Maintains and utilizes a variety of health record indexes and storage and retrieval systems.
Education and/or Experience
High school diploma or general education degree (GED).

The Clinical Coordinator acts as a liaison between their assigned physician and patients/families, staff, primary care physicians and other specialists, attorneys, vendors etc. This role ensures that physician schedules are in accordance with their protocols/needs and that the schedule provides for a smooth/effective delivery of patient care; coordinates incoming physician-related phone calls; and, as requested, assists the physician in the coordination of personal responsibilities in an effort to ensure that the professional requirements of the physician's workday are met.
Responsibilities
Physician Liaison Activities
Responds to incoming phone calls and determines the best method for resolution of caller's needs through the identification of the most appropriate respondent (i.e. physician, physician assistant, clinical/nursing staff, etc). Channels requests appropriately in an effort to ensure resolution.
Secures charts related to diagnostic tests, physical/occupational therapy reports, etc. and discusses issues with physicians. Relates physician information back to patient/requestor. Completes chart notes, as appropriate.
Appointment Scheduling
Registers and assists in scheduling of appointments for new/established patients.
Arranges for legal depositions, ensuring that all patient records are available prior to the deposition.
Correspondence/Clerical Functions
Responsible for chart preparation prior to clinic hours; ensures that the chart is in order and complete with all documentation needed by the physician. If test results, dictation or other documentation is needed, this role will call to obtain it before clinic hours.
Sends prescriptions for therapies, return to work notes, gym notes etc., as requested.
Composes and types non-patient visit letters/correspondence for the physician.
Opens and distributes physician/department mail.
Provides workers' compensation carriers with updated status on patients.
Completes, handicap parking permits, jury duty requests, school/physical education excuse notes, disability forms, etc.
Prepares physicians on call schedules and coordinates physician schedule changes.
As necessary, secures appropriate releases and copies, medical information for patient pick-up. Works closely with copy service and monitors reports to ensure timely mailing of all requests for records.
Maintains an orderly file on physician credentials and CME credits.
Other Functions as assigned, including but not limited to:
Works on special projects
Secures insurance pre-certifications as requested (i.e. MRI's PT, Synvisc, injections, surgery etc.)
Handles payments received for depositions, record subpoenas, etc., by completion of appropriate forms for the Revenue Cycle department and notation of receipt of payments in the chart.

This position is responsible for performing daily administrative and clinical duties to facilitate efficient operations in an outpatient clinic setting. This position provides support in providing safe, quality care and customer service to patients, physicians/providers and other members in the clinical care
teams.
Responsibilities
Patient Examination/Treatment
* Escorts patients to exam rooms on a timely basis. Whenever possible, keeping team members informed regarding delays.
* Prepares patients for appropriate examination, triaging, as necessary, for radiologic studies, cast removal etc.
* Assists physicians, as needed, in the patient examination process.
* Evaluates need for wound care, if any, and ensures adequate provision of care and patient education.
* Provides for splint/cast applications and removals when applicable
* Processes prescriptions per physician order. Instructs/educates patients regarding medication side effects.
* Prepares injectable medications and equipment needed.
* Coordinates referrals for ongoing services/needs (e.g., therapy services, home health, surgical procedures, DME, etc.).
* Acts as a patient intermediary/liaison for resolution of patient problems.
* Overall fulfills environmental responsibilities as assigned which may include: setting up instruments and equipment according to department protocol; cleaning exam/procedure rooms, instruments and equipment between patient visits to maintain infection control as regulated by OSHA; cleaning sterilizer according to scheduled maintenance program and keeping appropriate records; ordering, sorting, storing supplies; restocking exam/procedure rooms.
* Fulfills patient care responsibilities as assigned which may include: checking schedules and organizing patient flow; accompanying patients to exam/procedure room; assisting patients as needed with walking, transfers, dressing, collecting specimens, preparing for exam, etc.; collecting patient history; performing screenings per provider guidelines; assisting physicians/nurses/doctor's assistants with various procedures; charting; relaying instructions to patients/families; answering calls and providing pertinent information.
Physician Liaison Activities
* Responds to incoming phone calls and determines the best method for resolution of caller's needs through the identification of the most appropriate respondent (i.e., physician, administration, clinical/nursing staff, other support staff, etc.).
* Channels requests appropriately in an effort to ensure resolution.
* Secures charts related to diagnostic tests, physical/occupational therapy reports, etc. and discusses issues with physicians. Relates physician information back to patient/requestor. Completes chart notes, as appropriate. Assists, as requested, in securing missing diagnostic codes/information on charge tickets.
Appointment Scheduling
* Assists in scheduling of appointments for new/established patients.
* As assigned, discusses with physician special needs patient appointments, supplying medical charts for review as required and secures appointment approvals for visits outside of routine scheduling templates.
Correspondence (Written/Faxed/Verbal)
* Sends prescriptions for therapy, orthotics, return to work notes, gym notes, etc. as requested.
* Provides workers' compensation carriers with updated status on patients.
* Completes “Attending physician” statements, narrative summaries for attorneys, handicap parking permits, jury duty requests, disability forms, PE excuse notes, etc.
* Overall fulfills clerical responsibilities as assigned which may include: sending/receiving patient medical records; obtaining lab/x-ray reports, hospital notes, referral information, etc; completing forms/requisitions as needed; scheduling appointments, tests and surgeries; verifying insurance coverage and patient demographics; managing and charts to ensure information completed and filed appropriately
Support Activities
* Clinical chart preparation prior to patient appointment, ensures that the following data has been secured: x-rays; MRI/dexa scan results; reports from outside sources (e.g., lab results, x-rays/reports; Auth's for injections when needed, etc.).
* Notifies management when clinic supplies are low.
* Ensures that exam rooms, cast rooms, etc. are clean, orderly and fully stocked at the end of clinics.
Operational
* Participates in learning new systems, as required, for the service area.
* Performs, as an informational contact for patient and family as follows:
* Notifies patients of delays.
* Directs/seeks information on behalf of patients in order to increase their knowledge base.
* Responds appropriately to inquiries or complaints.
* Maintains professional image of organization by way of professional dress and presentation.
* Attends mandatory in-service programs to keep abreast of current insurance/registration issues.
* Fulfills organizational responsibilities as assigned which may include: respecting/promoting patient rights; responding appropriately to emergency codes; sharing problems relating to patients and/or staff with immediate supervisors quickly.

Full-time Description
This position is responsible for performing daily administrative and clinical duties to facilitate efficient operations in an outpatient Rheumatology clinic setting. This position provides support in providing safe, quality care and customer service to patients, physicians/providers and other members in the clinical care teams.
Responsibilities
Patient Examination/Treatment
Escorts patients to exam rooms on a timely basis. Whenever possible, keeping team members informed regarding delays.
Prepares patients for appropriate examination, triaging, as necessary, for radiologic studies, cast removal etc.
Assists physicians, as needed, in the patient examination process.
Evaluates need for wound care, if any, and ensures adequate provision of care and patient education.
Provides for splint/cast applications and removals when applicable
Processes prescriptions per physician order. Instructs/educates patients regarding medication side effects.
Prepares injectable medications and equipment needed.
Coordinates referrals for ongoing services/needs (e.g., therapy services, home health, surgical procedures, DME, etc.).
Acts as a patient intermediary/liaison for resolution of patient problems.
Overall fulfills environmental responsibilities as assigned which may include: setting up instruments and equipment according to department protocol; cleaning exam/procedure rooms, instruments and equipment between patient visits to maintain infection control as regulated by OSHA; cleaning sterilizer according to scheduled maintenance program and keeping appropriate records; ordering, sorting, storing supplies; restocking exam/procedure rooms.
Fulfills patient care responsibilities as assigned which may include: checking schedules and organizing patient flow; accompanying patients to exam/procedure room; assisting patients as needed with walking, transfers, dressing, collecting specimens, preparing for exam, etc.; collecting patient history; performing screenings per provider guidelines; assisting physicians/nurses/doctor's assistants with various procedures; charting; relaying instructions to patients/families; answering calls and providing pertinent information.
Physician Liaison Activities
Responds to incoming phone calls and determines the best method for resolution of caller's needs through the identification of the most appropriate respondent (i.e., physician, administration, clinical/nursing staff, other support staff, etc.).
Channels requests appropriately in an effort to ensure resolution.
Secures charts related to diagnostic tests, physical/occupational therapy reports, etc. and discusses issues with physicians. Relates physician information back to patient/requestor. Completes chart notes, as appropriate. Assists, as requested, in securing missing diagnostic codes/information on charge tickets.
Appointment Scheduling
Assists in scheduling of appointments for new/established patients.
As assigned, discusses with physician special needs patient appointments, supplying medical charts for review as required and secures appointment approvals for visits outside of routine scheduling templates.
Correspondence (Written/Faxed/Verbal)
Sends prescriptions for therapy, orthotics, return to work notes, gym notes, etc. as requested.
Provides workers' compensation carriers with updated status on patients.
Completes “Attending physician” statements, narrative summaries for attorneys, handicap parking permits, jury duty requests, disability forms, PE excuse notes, etc.
Overall fulfills clerical responsibilities as assigned which may include: sending/receiving patient medical records; obtaining lab/x-ray reports, hospital notes, referral information, etc; completing forms/requisitions as needed; scheduling appointments, tests and surgeries; verifying insurance coverage and patient demographics; managing and charts to ensure information completed and filed appropriately
Support Activities
Clinical chart preparation prior to patient appointment, ensures that the following data has been secured: x-rays; MRI/dexa scan results; reports from outside sources (e.g., lab results, x-rays/reports; Auth's for injections when needed, etc.).
Notifies management when clinic supplies are low.
Ensures that exam rooms, cast rooms, etc. are clean, orderly and fully stocked at the end of clinics.
Operational
Participates in learning new systems, as required, for the service area.
Performs, as an informational contact for patient and family as follows:
Notifies patients of delays.
Directs/seeks information on behalf of patients in order to increase their knowledge base.
Responds appropriately to inquiries or complaints.
Maintains professional image of organization by way of professional dress and presentation.
Attends mandatory in-service programs to keep abreast of current insurance/registration issues.
Fulfills organizational responsibilities as assigned which may include: respecting/promoting patient rights; responding appropriately to emergency codes; sharing problems relating to patients and/or staff with immediate supervisors quickly.
Requirements
**This Medical Assistant position is with our Rheumatology Team.
**Certification in Phlebotomy is required with recent phlebotomy experience.
Preferred: Successful completion of an accredited Medical Assistant Program (CMA)
Maintains CPR certification.
Experience in an orthopedic healthcare setting is preferred.
Able to multi-task and work in a fast-paced environment.
Good verbal and written communication and writing skills.
Possess good working knowledge of practice management and EHR software, Google products, Microsoft Office and Windows-based computer applications.
Strong interpersonal skills, able to work well and communicate professionally with physicians, patients and staff in all levels in the organization. Able to develop constructive and cooperative working relationships with others and maintain them over time.
Physical Demands/Work Environment
Position requires full range of body motion including handling and lifting patients, manual and finger dexterity, and eye-hand coordination.
Involves standing and walking.
Requires occasional lifting associated with patient transfers (i.e., up to 35 lbs.)
