This is an exempt position and reports to the Director of West Coast Strategy & Operations with a dotted line to the Global Director of Administration. RESPONSIBILITIES include but are not limited to: Overseeing all of the day-to-day administrative operations of the office, including the oversight of the executive assistants, office management and facilities teams. Managing the operations of the following functions: duplicating, mail, reception, catering, conference services and supplies; negotiation and management of office equipment and vendor contracts Formulating and implementing policies and procedures within the parameters of firm-wide policies and in consultation with the SF office partners and the Director of West Coast Strategy & Operations. Preparing the office's annual budget (expense and capital) submissions to the firm in coordination with the SF office partners and Director of West Coast Strategy & Operations; preparing special reports as required. Regular contact with Accounting in the New York office, including but not limited to collaborating on billing, invoicing and accounts receivable/payment processes. Overseeing all aspects of space management, including landlord relations and landlord-provided services; maintenance and security; new office construction and renovations; build-out and lease administration. Maintaining the disaster recovery and business continuity plans of the SF office, including the coordination of emergency response plans with firm-wide procedures, updating and distributing weather-related and emergency information as needed, and regularly practicing emergency communication and response procedures. Developing and implementing efficient office workflows to enhance productivity and optimize resources; ensuring that office policies and procedures are followed and establish new protocols when needed. Preparation of special reports on office operations/issues as required. Helping maintain high morale and a strong client service ethic within the office. Requirements: Bachelor's Degree. Five or more years of managerial experience in a legal or professional services firm. Knowledge and general understanding of technology, human resources, and office operations. Outstanding management and interpersonal skills; able to work effectively with lawyers and administrative staff members. Articulate, with excellent writing skills and oral presentation skills; able to convey concepts and ideas clearly and professionally; exhibiting a proactive, adaptable and problem-solving mindset. Proven aptitude as a problem solver with a commitment to outstanding customer service. Proven success as a motivational leader with the stature and presentation skills to influence at all levels.     The Legal Learning and Development Assistant will support the Learning and Development team on all administrative aspects and contribute to the training curriculum at the firm to ensure attorneys are equipped with skills to excel. Responsibilities Training Programs Assist in the planning, organization and execution of New Associate Orientation, Core Curriculum and other trainings, including sending out invitations, reminders and surveys, tracking attendance. Liaise with other Firm departments (e.g., catering, facilities, audio/video, IT) to schedule, plan and execute pre- and post-program logistics for both live in-person and online programming. Support the Legal Learning and Development Manager and other team personnel and attorneys in organizing training program materials, and ensure that they are kept updated on the Firm's online resources. Liaise with the Attorney Development team to ensure that training programs are informed by annual associate reviews, staffing meetings and mentor debriefings. Draft training surveys, collect and analyze feedback. Publicize the Firm's training resources within the Washington, D.C. office. Liaise with training contacts in other offices for multi-office programs and events. CLEs Issue CLE credits to lawyers, maintaining an expertise in the CLE rules as needed. Manage eLearning materials on firm's learning management system using Micron CE Manager. Publicize CLE opportunities (both internal and external) and assist in logistical planning of CLE programming. Monitor weekly arrivals and departures of lawyers and ensure that all relevant department files are updated to reflect status and developmental needs of current associates. General work and assistance on ad-hoc projects. Qualifications Qualifications & Experience Bachelor's Degree required. 1-2 years of relevant work experience a plus. Experience in a law firm or other professional services environment preferred. Strong Microsoft Outlook and Zoom skills. Proficiency with Microsoft Word, PowerPoint and Excel. Comfortable troubleshooting technical challenges for example audio visual equipment and zoom. Strong events coordination and organization skills. Excellent interpersonal, client service, and written and verbal communication skills. Exercises good judgment, has excellent organization skills and strong attention to detail. Proactive. Able to work independently, plan ahead, push projects forward, meet deadlines and thrive in a face paced environment. Experience with Micron CE Manager a plus. The estimated base salary for this position is $60,000 - $65,000 at the time of posting. The actual salary offered will depend on a variety of job-related factors, including skills, education, training, credentials, experience, scope and complexity of role responsibilities, geographic location, and performance.
