Our Operations Managers key responsibilities are heavily focused on administration. In addition to their typical Manager on Duty responsibilities, they will ensure the success of the operations by performing the following essential back of the house duties.
Essential Duties and Responsibilities:
Product Management and Inventory Control
Introduce new retail items and lines to staff; train as necessary.
Ordering: working closely with the Assistant Managers and Department Heads to receive accurate ordering needs on a consistent basis.
Support maintaining the proper level of products and equipment necessary for guest satisfaction, morale, and proper execution of services, while staying within the allocated budget.
Receiving: as items are delivered, the Operations Manager will receive the items in our procurement system and ensure that the items are placed into their respective department or ticketed and placed into retail within 24-48 hours.
Manage follow up of any outstanding invoices, ensuring compliance with the m+h receiving guidelines and operational needs.
Quarterly and cycle inventory: properly executing quarterly inventories with the needed team members and uploading information into our procurement system.
Off-cycle counts may be needed and or requested by the GM and/or HQ to review accuracy.
Facilities
Maintain facilities: using the freshdesk / facilities ticketing system, the Operations Manager will communicate with HQ regarding facility concerns.
Responsible for following up and resolving facilities issues, escalating to the GM if ticketed items go unresponded to.
Oversee daily cleaning and Standards of Excellence/ Brand Standards: responsible for managing the SPAA team in its entirety.
Have a comprehensive understanding of our operating system and the ability to troubleshoot issues.
Reporting
Daily maintenance of ledgers and logs.
Audit daily discount and allocation review and coach team as needed to ensure compliance.
Assist with end of month processes as it relates to inventory, auditing for open invoices, and payroll management.
Time steward for the facility, verifying that time cards are accurate and codes are approved. The Operations Manager will also be responsible for coordinating time off requests, with the assistance of the Assistant Manager who oversees the providers. The Operations Manager will ensure that approved time off is reflected properly on time cards and in Zenoti.
Monitor all reports, check for accuracy, resolve issues that affect closing numbers.
Process weekly deposit and take it to the bank.
Capable of forecasting for schedule creation and daily business oversight.
Foresight to identify problems in a proactive manner.

Responsibilities (include but are not limited to):
Standard Operating Procedures:
Perform medical spa procedures following milk + honey protocols to guests with the goal of providing a safe and effective treatment ensuring compliance with HIPAA and OSHA regulations.
Guest Service:
Carry out a guest medical spa service cycle (i.e., thorough consultation, impeccable service, and follow up treatment plans) that aligns with milk + honey spa service cycle.
Sanitation + Sterilization:
Uphold the standards as directed by law and milk + honey's policies and procedures.
Train + Coach:
Participate and, at times, lead milk + honey's comprehensive training program on each medical spa procedure and be available as a resource and trainer for Estheticians and support staff with the goal of providing consistent and exceptional medical spa services that match milk + honey brand standards.
Record Management:
Adhere to a process to retain and store all guest medical records in compliance with state regulations. Practice detailed work habits including charting, documentation, and recommendations.
Administrative:
Attend and, at times, lead aesthetic department meetings. Ensure that the spa is up-to-date with new developments in the medical spa field, regulations, and compliance requirements.
Equipment/Inventory Management:
Collaborate with the Medical Spa Director and General Management on all medical spa equipment purchases, sanitation schedules, maintenance and warranties.
Sales:
Experience in an education-based sales approach to inform guests of the product, service, and series options with the intention and ability to build retention and repeat business.
Requirements:
1-2 years of hands-on experience as a Physician Associate or Nurse Practitioner.
1-2 years of hands-on experience with aesthetic medical spa procedures.
Must have direct, hands-on experience in medical spa procedures such as injections with the certification/licenses to all that apply, and the ability to perfectly perform said procedures.
Preferred to have hands-on experience in other medical spa procedures (i.e., lasers, photorejuvenation, advanced peels, microneedling, etc.), certification/licenses to all that apply, and the ability to perfectly perform said procedures.
Must possess a medical license active in the practicing state and comply with the stated scope of practice as defined by the State Board of Nursing and State Medical Board.
Must have a clear disciplinary history with no records of malpractice or violations.
Systems Requirements: Google Suite, Zenoti, and EMR experience a plus.
Special Considerations
Must display a willingness to work in a rapidly scaling environment.

Our Operations Managers key responsibilities are heavily focused on administration. In addition to their typical Manager on Duty responsibilities, they will ensure the success of the operations by performing the following essential back of the house duties.
Essential Duties and Responsibilities:
Product Management and Inventory Control
Introduce new retail items and lines to staff; train as necessary.
Ordering: working closely with the Assistant Managers and Department Heads to receive accurate ordering needs on a consistent basis.
Support maintaining the proper level of products and equipment necessary for guest satisfaction, morale, and proper execution of services, while staying within the allocated budget.
Receiving: as items are delivered, the Operations Manager will receive the items in our procurement system and ensure that the items are placed into their respective department or ticketed and placed into retail within 24-48 hours.
Manage follow up of any outstanding invoices, ensuring compliance with the m+h receiving guidelines and operational needs.
Quarterly and cycle inventory: properly executing quarterly inventories with the needed team members and uploading information into our procurement system.
Off-cycle counts may be needed and or requested by the GM and/or HQ to review accuracy.
Facilities
Maintain facilities: using the freshdesk / facilities ticketing system, the Operations Manager will communicate with HQ regarding facility concerns.
Responsible for following up and resolving facilities issues, escalating to the GM if ticketed items go unresponded to.
Oversee daily cleaning and Standards of Excellence/ Brand Standards: responsible for managing the SPAA team in its entirety.
Have a comprehensive understanding of our operating system and the ability to troubleshoot issues.
Reporting
Daily maintenance of ledgers and logs.
Audit daily discount and allocation review and coach team as needed to ensure compliance.
Assist with end of month processes as it relates to inventory, auditing for open invoices, and payroll management.
Time steward for the facility, verifying that time cards are accurate and codes are approved. The Operations Manager will also be responsible for coordinating time off requests, with the assistance of the Assistant Manager who oversees the providers. The Operations Manager will ensure that approved time off is reflected properly on time cards and in Zenoti.
Monitor all reports, check for accuracy, resolve issues that affect closing numbers.
Process weekly deposit and take it to the bank.
Capable of forecasting for schedule creation and daily business oversight.
Foresight to identify problems in a proactive manner.
