SCOPE:
The Executive Assistant, Office of the CEO, Corporate Administration (CA), provides comprehensive support to the President and Regional Representative, under the direction of the Manager, Office of the CEO. This role is responsible for managing correspondence, preparing reports, coordinating meetings, and supporting executive functions under the direction of the Manager, Office of the CEO. The position requires a high level of confidentiality, professionalism, and organizational skills to facilitate effective, efficient operations.
JOB RESPONSIBILITIES
Maintain strict confidentiality and discretion in all matters.
Deliver accurate, timely, and efficient administrative support to Senior Executives, including:
Arrange meetings, travel, and transportation.
Manage business-related reservations.
Coordinate and facilitate essential staff meetings, all-hands, vendor discussions, and customer presentations.
Conduct research and information gathering on behalf of the executive and prepare summaries and reports.
Assist in managing the schedule for the President and the Regional Representative by handling their calendar, screening incoming calls, and exercising good judgment to interpret requests and distribute them appropriately.
Process expense settlements promptly for the President and Regional Representative.
Assist with company events hosted by the President or Regional Representative, working with relevant corporate departments.
Prepare and handle outgoing mail and correspondence as directed.
Respond to routine phone and in-person questions, forwarding and resolving issues as needed.
Organize and maintain business cards, data, files, correspondence, and other records on the file server.
Notify office/building personnel of expected visitors to senior executives; register, escort, and assist visitors during their visit.
Actively engage in team efforts to reach departmental and company goals.
Foster a positive team spirit and encourage a collaborative work enviornment.
Communicate effectively with colleagues and management at all levels.
Protect confidential information by avoiding unauthorized communication, disclosure, or use for the advantage of third parties.
Always maintain the highest standards of honesty and integrity.
Perform additional related duties as assigned.
QUALIFICATIONS & SKILLS
Education Requirement: Associate degree required; or an equivalent combination of education and experience
Experience: Minimum of three (3) years in an administrative role or similar position
Strong attention to detail and ability to handle multiple priorities at once.
Excellent verbal, written, and interpersonal communication skills.
Proactive, reliable, and collaborative.
Preferred Qualifications:
Prior experience in an administrative support role within Japanese companies is preferred.
Bilingual proficiency in English and Japanese is preferred.
Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and familiarity with SAP Concur is desirable.
WORKING CONDITIONS:
Travel: Up to 10%
Standard Monday through Friday work week.
Occasional weekend or evening work may be required.
Lifting/physical requirements: Frequently required to sit for long periods, stand, walk, talk, and hear. Often lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds.

Responsible to review invoices from suppliers and process payment through SAP and CORA
Participate in the weekly WIP finance review of projects
Assist accounting department with Monthly, Quarterly, & Annual Closing, including accruals requests
Assist accounting department with cash collection with any past due invoice reported in the AR aging report
Participate in the review of current Standard Operating Procedures as part of the continuous improvement effort of the Field Service Business Unit
Support Field Services Commercial Manager with any Financial and/or Client audits.

As a Senior Project Manager, you will:

Required Qualifications:

* Technical competency and experience working with commercial or industrial MEP, HVAC mechanical and/or HVAC BAS controls (DDC) controls to include evaluation of contractual scope, specification interruption, change order management, basic design, and installation standards
* Management experience with projects related to Mechanical Retrofits, HVAC controls, BAS management, Fire management, and/or Electronic Security management systems
* Able to execute complex renovation and upgrade projects within operational healthcare environments.

This skilled position involves installing field devices, programming, troubleshooting, configuring and commissioning Fire Alarm Systems at commercial customer sites. Position is mainly focused on programming fire alarm systems but will include field installation of devices as needed.

* Must be able to read and understand end user P&IDs. Candidate to provide recommendations / redlines as needed.

* Firm grasp of hazardous area classifications: Class I Division 1, Class I Division 2, ATEX Zone 1, and ATEX Zone 2 electrical areas.
* Experience with NEMA 7 electrical equipment for hazardous areas.

Shift: Working hours will be determined by work load and shift coverage needs. Typically, Day Shift starts at 5:00AM and ends between 1:30PM and 5:00PM;
Night Shift will start between 3:30PM and 5:00PM and will end between 12:00AM and 5:00AM.
In this role you will be accountable for:
Observe Company Safety Policy and Procedures; follow and support all Safety Policies and ISO Procedures
Capable of operating all machines in the shop (including large mills, lathes, stripping machine, peening machine, tool post grinders, and other equipment)
Operating a machine consists of:
Able to lift large, heavy equipment using the crane or spreader bar setup when required
Operate manual and automatic feeds to 0.0002” as required for final cuts
Operate machine to make complex angle cuts and threading where multiple speeds and feeds are required
Complete all documentation pertaining to the work assignment
Work closely and clearly communicate with the other departments, Machine personnel, Supervisor, and Leads
Complete assigned jobs start to finish with little or no supervision. This includes the ability to perform the following:
Perform intermediate trigonometry to help determine tooling required to machine the part and best matching method
Read blue prints, drawings and sketches that may be required intermediate math and problems solving skills to calculate dimensions note specified on print
Help maintain equipment, this includes the following:
Check / Add oil
Clean machine after each shift
Place tooling in correct location and organize
Dispose of and properly document left over machining stock (New Parts, Met Samples)
Q.C. all manufactured parts prior to removing from machine and informing the Department Supervisor of the following items:
When/If item is deburred
Once dimensions are verified per print
Alert Supervisor if there are any discrepancies
Steps required before part is complete
Remain physically active from start of shift to end of shift, including, but is not limited to:
Sweeping
Cleaning area
Organize tooling
Operating Machine
Organize project parts
Planning -Work with Department Supervisor to develop a machine plan:
Determine what tools will be required prior to starting the machine process
Be on the job site and in your assigned work area at the scheduled time
Keep work area clean and well organized during all phases of the project
Have an maintain ability to use and operate the overhead cranes, torches, grinders and forklifts
Maintain LEAN objectives within the department
Must follow the dress code and maintain a professional appearance at all times
Maintain accurate time sheets/clock in and out on a daily basis
Complete company-required training programs
Use PPE as identified in risk assessments or other related safety documents.
Do not undertake activities that have not been risk assessed, or where an assessment is not available or understood.
Report any instances of spillage, uncontrolled exposure or other related safety issues to their line manager.
Ensure the correct use of waste segregation facilities and the efficient use of natural resources and raw materials.
Have the required tools to perform their expected tasks
