The Office Services Assistant in our assisted living facility is responsible for preparing and filing residents' records, scheduling, answering, and transferring all telephone calls in a courteous and professional manner, giving information, direction and other appropriate assistance to residents, staff and visitors; performing the clerical duties of the Medical and Nursing Departments to assure that documentation for all medical record information is in compliance with established facility policies and procedures, and State and Federal regulations; coordinating and overseeing scheduling of the nurses and therapists to ensure resource utilization and compliance with physician's orders and visit authorizations; performing patient intake, including the completion and filing of all necessary records and assist with tracking of medical supplies. Contributions: Answers phone, taking messages and forwarding messages and calls to appropriate parties. Tracks call lights through S.A.R.A. and notifies staff of pending calls. Spatial and form perception are necessary to visualize anatomical structure of the disabled part of the body and the relation of the therapeutic devices in remedial actions. Coordination and dexterity are necessary when treating residents and handling therapeutic equipment. ESSENTIAL FUNCTIONS/AREAS OF ACCOUNTABILITY Perform physical therapy treatments and related duties as may be delegated by the physical therapist. Directly assist the physical therapist in performing complex evaluations and/or treatment procedures. Maintain proper documentation according to state, federal and third party payor regulations. The primary purpose of this position is to assist in the direction of the overall operations of the Maintenance, Buildings and Grounds Department in accordance with all applicable Federal, State, and local requirements, ensuring the highest degree of safety, functionality, and comfort is maintained at all times. Contributions: Responsible for planning, developing, organizing, implementing, evaluating, and directing the Department through strategic short-, intermediate-, and long-term planning for the maintenance of all facilities and grounds. Assists with the development and implementation of departmental policies and procedures to assure that the facilities, buildings and grounds are properly maintained at all times. Develops and maintains a good working relationship with all staff to assure that maintenance can be properly planned and maintained to meet the needs of the facilities. Directs and monitors work of department personnel to ensure compliance of directives and established procedures. Inspects the facilities, buildings and grounds to ensure that high standards of maintenance and repair are met. Ensures maintenance tasks are scheduled and properly documented and maintains accurate records for inspections and compliance of AHCA regulated maintenance and life safety functions related to the Assisted Living and Skilled Nursing environments. Interprets policies and procedures to department personnel as necessary. Assists in scheduling staff work hours and work assignments, ensuring that all work is completed accurately, efficiently, and timely. Disciplines staff as required, recommending termination when necessary to the department director. Submits all proper documentation in compliance with Moorings Park Procedure. Evaluates the job performance of staff within required time frame and recommends wage increases to Director of Facilities. Responsible for Maintenance & Engineering department operating budgets, monthly financial reports, and budget building. Responsible for capital projects to improve facilities and grounds, providing initiation, assistance, and support throughout the project lifecycle. Shows initiative with respect to increased competency levels. Works in compliance with all HIPAA regulations and standards. Job Requirements: Excellent oral and written communication skills in the English language required During emergencies or natural disasters may be required to be on duty for the duration of the disaster. Bachelor's degree in mechanical, electrical or construction engineering, building trades or related field is desired or a minimum of 5 years relevant experience. Must have knowledge of local, state, federal regulations including Agency for Health Care Administration (or similar) regulations Knowledge of blueprints and specifications for installation. Expert level of knowledge in engineering systems, buildings, and ground maintenance.
