Summary MSOE invites applications for a full-time Administrative Assistant to join our Rader School of Business (RSOB) team. Under the direction of the Department Chair, the Administrative Assistant serves as the central hub of the RSOB, ensuring the smooth and efficient running of daily operations. This role provides exceptional customer service to students, faculty, staff, and visitors, and supports both graduate and undergraduate programs within the School. The Administrative Assistant must be highly organized, proactive, and discreet-someone who enjoys variety, takes initiative, and works with warmth and professionalism. The successful candidate will demonstrate strong communication skills, sound judgment, and the ability to balance multiple responsibilities while maintaining a calm and positive presence in the office. Essential Job Functions General Office: * Support the work of the Chair of the Rader School of Business. * Support the daily operation of the Innovent Center (The business schools innovation hub) * Provide high-level administrative and operational support with professionalism, confidentiality, and efficiency. * Greet visitors, faculty, students, and guests warmly, serving as the welcoming face of the School. * Perform a variety of administrative duties including scheduling meetings, maintaining records, preparing documents, responding to emails, and answering phone calls. * Monitor budgets, maintain office supplies, and oversee departmental purchasing. * Help organize School events, meetings, and celebrations throughout the academic year. * Monitor RSOB classrooms, office, and building needs; coordinate maintenance and technology support. * Supervise and mentor student workers. * Liaise with other departments across MSOE to ensure smooth and effective collaboration. Academic and Program Support: * Assist with scheduling of classes and academic events. * Maintain records and files for both graduate and undergraduate programs. * Support faculty and program directors to ensure course delivery and student support run smoothly. * Compile data and assist with documentation for reports, reviews, and external accreditation. * Respond to student and faculty inquiries with accuracy, warmth, and professionalism. * Serve as a knowledgeable resource for office and technology systems. Other Duties and Responsibilities * Support accreditation, assessment, and reporting activities as needed. * Invest in and influence others positively within the School community. Qualifications * 3+ years in an office administrative capacity required * Associate's degree in a related field preferred * Proficient in the use of MS Office for communication, scheduling, reporting, and analysis, with the ability to adapt computer skills to new systems. * Ability to work occasional Saturdays and once per month until 7pm Skills and Abilities * Ability to read and interpret documents such as safety rules, operating instructions, and procedure manuals. * Ability to write routine reports and correspondence. * Ability to speak effectively before others. * Ability to effectively communicate in both written and oral form across all levels of the institution. * Ability to use numbers to solve problems involving concrete variables in standardized situations. * Able to work independently with minimal guidance and as part of a collaborative team. * Able to complete assignments with attention to detail and high degree of accuracy. * Ability to demonstrate sound judgment and loyalty, maintaining confidentiality at all times. Physical Demands While performing the duties of this job the employee is largely sedentary, the ability to move is required.
