The National Park Foundation's Planned Giving program represents a community of donors who provide support to the organization from their estate plans. Known collectively as the "1916 Society," these generous donors have pledged more than $125 million to the Foundation and represent more than 670 donors. Inspired by America 250, and with support from the Foundation's Board of Directors, the organization is committed to actively growing this program as a channel for long-term sustainable impact revenue and to help more American's leave a legacy through the national parks.
The Coordinator, Estate Administration will coordinate the Planned Giving team's work to ensure the timely administration of bequests, beneficiary designations, and other legacy gifts. This Coordinator has primary responsibility for coordinating the estate administration process and assisting with donor and/or advisor inquiries. The Coordinator may also be asked to assist with Philanthropy activities including, but not limited to, donor events or outings in national parks.
The Coordinator will need to possess strong organizational skills, understand how to interpret and process myriad estate administration documents, and be detail-oriented and manage competing deadlines with multiple estates at the same time. Strong assets for this role include experience working with donors and financial, legal, and tax professionals, knowledge and comprehension of legal, tax, and financial documents, and discernment, discretion, and confidentiality.
Responsibilities will include :
Oversee the timely administration of realized legacy and life-income gifts to ensure these gifts impact the national parks in accordance with donor intent and support the Foundation's annual GAAP revenue goals, includes tracking, reporting, and acknowledging gifts as well as any receipt/document preparation.
Proactively work with executors, trustees, and other representatives of estates and financial institutions to promptly provide necessary paperwork for the distribution of estate gifts.
Ensure timely documentation of planned giving inquiries to initiate appropriate workflow assignments to members of the planned giving team for fulfilment.
Work with the Senior Director, Planned Giving to track annual GAAP and Non-GAAP revenue, and long-term revenue through annual actuarial tables.
Facilitate donor data entry and maintenance as well as generate regular queries and reports.
Partner with the Planned Giving Manager to ensure all new 1916 Society members' legacy intentions are complete, accurate, and documented in the database.
Required knowledge, skills, and abilities :
Experience and/or education in fundraising, finance, tax, law, or business administration.
Must be detail-oriented and committed to providing excellent customer service.
Demonstrated knowledge of databases and their typical functions, proficiency in Microsoft Office (Excel, Outlook, Word), and possess strong organizational skills.
Possess excellent verbal and written communications skills, especially with elderly populations, attorneys and professional advisors.
Ability to interact professionally with stakeholders and demonstrate good judgment.
Ability to prioritize tasks and focus on multiple projects and deadlines simultaneously.
Ability to overcome challenges and problem-solve.
High degree of integrity and honesty.
Ability to attend evening events on rare occasions-with notice of upcoming events provided several weeks in advance.
Must be fluent in English, both written and spoken.

Preference will be given to candidates with experience working with attorneys, accountants, professional advisors, or other relevant field
Raiser's Edge/NXT (or equivalent) database experience

Essential Functions:
Administration
Supervise on-site management employees to ensure optimum performance. Train and develop staff, provide coaching/counseling, conduct appraisals, and make hiring decisions. Address complaints and resolve problems with the assistance and guidance of the Company's Human Resources or Legal departments when necessary.
Establish guidelines for the on-site management employees and contract building staff to ensure that the Owner's objectives are understood and implemented pursuant to the annual budget and business plan.
Establish and follow procedures for processing and controlling work.
Provide information or other assistance to counsel on legal matters involving the Property.
Implement new programs or procedures as established by the Corporate Asset/Property Management department.
Provide lease administration per Policies and Procedures.
Report and track general liability and property insurance claims for the Property.
Approve emergency procedures and disaster recovery plans.
Review and approve Notices of Non-Responsibility, as applicable.
Financial Control
Prepare and approve annual budgets, financial reporting, forecasts, re-forecasts, management plans, monthly performance reports, and variance reports.
Review of tenant billings, collection of rent and sundry charges. Ensure that overdue receivables are kept below established limits.
Responsible for operating expense estimates and reconciliations and respond to tenant questions regarding same.
Ensure all invoices from vendors and contractors are coded and processed in a timely manner.
Review and approve monthly accruals.
Construction
Oversee Capital Improvement projects to include:
Development and management of project scopes, budgets, and timelines.
Collaboration with the project team, including architects, engineers, and contractors.
Operations
Manage annual bid process for contract services, including generating requests for proposals, bid analysis, and vendor selection to ensure best pricing and service level performance.
Coordinate implementation of policies and procedures and oversight of security, janitorial, parking engineering and other contract services with Building Management team.
Responsible for operating efficiencies of Property.
Ensure that the Property is maintained according to the quality standards approved by Landlord.
Oversee new tenant move-ins, existing tenant relocations and expansions, as well as tenant move-outs.
Ensure the maintenance of adequate records and information required by all subordinate functions including, but not limited to, warranties, permits, equipment operating manuals, base building plans, tenant “as-built” plans, etc.
Tenant Relations
Responsible for developing and maintaining positive tenant relations by creating and sustaining goodwill between Landlord and tenants by providing consistently responsive quality services.
Oversee tenant issues, problems, and disputes.
Approve tenant events.
Lease Administration
Maintain tenant compliance of lease provisions.
Responsible for ensuring that Landlord fulfills its specific obligations under the lease agreement.
Negotiate storage space agreements and process documents.
Leasing and Marketing
Maintain working knowledge of marketplace.
Responsible for ensuring vacant space is prepared for showing to prospective tenants.
Participate in prospective tenant tours, if required.
Ensure the development and execution of effective marketing activities for the Property.
Supervisory Responsibility:
The Property Manager or Senior Property Manager manages certain employees of the building management office and is responsible for the performance management of these employees.
Physical Demands:
This is a largely sedentary role that requires walking, talking, hearing, repetitive motion using a keyboard, and visual acuity for reading and viewing a computer monitor.

About this position

This is essential in order to ensure a sustainable value proposition that is relevant and compelling in order to renew existing members, and to attract and expand the Corporate Alliance beyond the current member companies. The Alliance meets twice annually at APA Headquarters for APA Leadership and programmatic updates. Corporate Alliance Members will periodically have meetings with APAs CEO and Medical Director, APAs Chief of Advocacy, Chief of Education etc. requiring the Corporate and Foundation Relations Officer to develop agendas and facilitate meetings with APA's most senior leaders. This position is responsible for networking into Corporate Alliance Member Foundations to identify and secure funding in support of APAF's signature NTA programs.
Duties & Responsibilities
Lead the identification, cultivation, solicitation, stewardship and reporting of a portfolio of corporate and foundation prospects/donors.
Develop presentations and proposals to win programmatic funding
Execute and manage the grant application process
Provide consistent reporting/metrics to funders and APA/APAF leadership regarding programmatic outcomes
Maintain strong relationships with APA leadership and key external stakeholders, including senior leaders at within Corporate Alliance Members
Renew Corporate Alliance Member contracts while developing a plan to expand the membership.
Develop plan to expand reach into more Corporate Alliance Foundations.
Ensure the timely collection of Corporate Alliance dues.
Leverage prospect research tools (WealthEngine, Foundation Directory Online, etc.) to create appropriately targeted solicitations
Facilitate high touch relationships with donors and prospects including in-person presentations and solicitation (some travel required).
Develop briefing reports and presentations for internal and external meetings.
Stay abreast of the corporate/foundation giving landscape, trends and opportunities to utilize connections and best practices.
Identify and grow a portfolio of private foundations and corporations.
Determine priorities and develop multi-year plan to achieve.
Develop prospectus to promote and secure sponsorships for APAF's annual benefit and special events.
Develop and implement moves management strategy to increase giving level of current Corporate Alliance donors.
Working with APAF's Program Directors, identify new opportunities to support and expand the Foundation's programs, fellowships, awards, professional education, public outreach and related work.
Including Manage Data Analytics, including track prospects at all stages of the giving cycle, providing regular analysis and metrics on programs; and identify strengths and opportunities for growth.

REQUIRED SKILLS, EXPERIENCE, AND QUALIFICATIONS
BA/BS and at least 8+ years of relevant experience and/or sufficient relevant work experience in foundation fundraising and/or corporate business development experience, preferably within the pharmaceutical industry or medical membership association, health care organization.
Proven success in securing/structuring/ negotiating corporate and foundation partnerships, sponsorships and/or gifts through personal solicitation and prospect management. He/she should be able to demonstrate successful experience and effectiveness in prospect identification, relationship building, solicitation, closing, stewardship, and data analytics.
Demonstrated success securing gifts from local, regional, and national foundations.
Strong relational and interpersonal skills, poise and ability to work with C-level business and community leaders, board members, major corporate/foundation leaders.
Excellent verbal and written communication and interpersonal and organizational skills; strong attention to detail; goal and results-oriented; self-motivated; and the ability to make independent decisions. Writing samples required.
Collaborative and team-oriented individual; demonstrate sound judgment when dealing with a wide range of relationships and situations; possess the ability to maintain enthusiasm for hard work, changing priorities, and multiple deadlines; and have the ability to interact well with a diverse community of constituents.
