Position Summary
The Medical Assistant (MA) plays a key role on the multidisciplinary care team, supporting integrated physical and behavioral health services within a community behavioral health setting. This position provides direct patient care support, administrative functions, and coordination with clinicians to ensure safe, trauma-informed, person-centered care for individuals with mental health and substance use needs.
Key Responsibilities
Clinical Support
Perform routine clinical tasks, including vital signs, height/weight, BMI, and point-of-care testing.
Assist providers with medical and psychiatric assessments, exams, and procedures.
Conduct health screenings (e.g., PHQ-9, GAD-7, SBIRT, social determinants of health).
Administer immunizations and medications per organizational policy and state regulations.
Prepare exam rooms, maintain equipment, and ensure infection control standards.
Update patient charts with accurate, timely clinical documentation within the EHR.
Conduct pre-visit screening and collection of pre-visit information
Collecting lab specimens and obtaining vital signs (after training)
Conduct follow-up communication with patients to reinforce care plans and address barriers to care
Care Coordination
Support integrated care workflows between primary care and behavioral health teams.
Assist with referrals, authorizations, follow-up appointments, and lab/imaging coordination.

Administrative Duties
Manage front- and back-office operations as needed, including check-in, scheduling, and insurance verification.

Behavioral Health-Specific Functions

Qualifications
Education: High school diploma or equivalent required.
Current MA certification/registration (CMA, RMA, CCMA, or state equivalent) preferred.
CPR/BLS certification.
Experience:
Experience working with diverse populations and sensitivity to behavioral health conditions
Prior experience in community health, behavioral health, or integrated care settings.
Familiarity with trauma-informed care, de-escalation techniques, and harm-reduction principles.
Experience with electronic health records (EHR), preferably in an outpatient or community clinic environment.

Manages Medication prior authorizations.
Job Duties
Screens patients for same day appointments, recording vital signs, current medication list, and chief complaint. Confers with the provider(s) for work-in appointments.
Ensures confidentiality and compliance with healthcare regulations, including HIPAA.
Handles phone calls for patients calling in with medical concerns. Documents all calls in respective patient charts, verifies the phone number and pharmacy preference.
Ensures patient charts contain all current pertinent information within EHR and are placed in designated areas for the provider's use.
Maintains exam rooms with necessary supplies and materials.
Prepares list of medical supplies needed and gives order requests to Practice Manager.
Ensures rooms and equipment are kept clean; maintains laboratory equipment when necessary.
Prepares equipment and aids providers during treatment, examination, and testing of patients.
Greets patients and prepares them for physician examination.
Screens patients for appropriate information.
Instructs patients in the collection of samples and tests.
Maintains/reviews patient records, charts, and other pertinent information.
Records tests and examination results in the patient's chart.
Verifies prior approval before referring to Immediate Care, Urgent Care, or Emergency Room, unless life-threatening issue.
Orders immunizations as needed following standing orders.
Assists with surgeries and office procedures as needed, dresses wounds, and provides other patient care; handles lab specimens and conducts approved in-office testing.
Instructs patient and family regarding medications and treatment instructions.
Ensures all medications are filled or refilled as instructed by the provider per medication protocol.
Promotes a positive and professional company image when communicating with co-workers, providers, patients, outside health providers, and the public.
Administers medications, immunizations, etc. as directed by MD, PA, or NP staff.
Maintains punctual, regular and predictable attendance.

Position Summary
Under the direct supervision of the Central Admissions Nursing Supervisor, the Central Admissions Medical Assistant will perform clinical and administrative duties and delegated functions as a member of the patient care team to provide a variety of multi-skilled services.

Participate in continuing education opportunities to stay updated on company workflows, SOP's and policies
Working Conditions:
Flexibility to work various schedules, including evenings and weekends, to accommodate training schedules assigned clinical shifts, and call outs.
Travel. The role will require 100% travel between locations of assigned region or market
This position primarily operates in a clinical environment, involving regular interaction with patients and healthcare staff
Physical demands include standing for extended periods, lifting and carrying medical equipment or supplies, and assisting with patient mobility
Requirements
Qualifications:
High School Diploma or GED
Completion of medical assistant training program with certification
2+ years of medical assistant experience in primary care, urgent care or emergency room setting
1+ year experience as a trainer/mentor in a Primary Care/ Immediate/Urgent Care setting
Knowledge of computerized information systems (EMR) used in clinical management settings (Athena preferred)
Direct experience with the following tasks:
Clinical intake, patient data collection
Laboratory specimen collection (blood-draw/venipuncture, urine collection, point of care testing, etc.)
Performing EKG testing
Must meet all other state requirements by law, including but not limited to all state requirements, and licenses, where applicable
If required by state must maintain current certification from the Certifying Board of the American Association of Medical Assistants (AAMA), the National Center for Competency Testing (NCCT) or registration from the American Medical Technologists (AMT), or any other recognized certifying body approved by the Board
Experience with basic computer software and the ability to learn electronic medical records (EMR) systems
Preferred Qualifications:
2+ year (s) of customer service experience OR experience in a medical office setting
3+ years of direct patient care experience performing medical assistant clinical duties in an urgent care, physician practice, or emergency room setting
Knowledge of federal, state and local laws and regulations including OSHA and HIPAA requirements

Receiving, investigating and resolving customer inquiries and claims. Maintain departmental goals. Perform projects, review and handle reports as assigned.
Load complete organization determination/notification for services designed by internal policy. Clearly document and key data in to the appropriate system using departmental guidelines.
Interact with membership, hospital and provider staff, advising of UM decision, status organization determinations, requesting additional or clarifying information and giving direction as necessary.
Search for and key appropriate diagnosis and /or procedure code as part of the notification /prior authorization process.
This job requires digital literacy assessment.
Participation and attendance are mandatory.
This position requires flexibility, due to rotations in schedules, and requires adherence to assigned schedules.
