Job Description This position requires a service-oriented person with a very good eye for details with database and inventory experience to juggle administrative support with managing an inventory of hardware assets deployed on NBC Universal film productions and term deals. Candidate must be able to manage a fast-paced environment with many interruptions. Accuracy is paramount in this position. Must have strong people and service skills and must be able take ownership and work well within a varied and dynamic team. Candidates should expect a challenging yet rewarding environment with many opportunities for learning and growth. Essential Responsibilities : Candidate will be responsible for administrative duties as well as inventory database tracking and management of all computer assets deployed to NBC Universal film productions and term deals. Functions, duties, and skills sets of this job include but limited to: Administrative support for department VP. Manages VP calendar, PSG shared calendar and coordinates scheduling of departmental meetings. Responsible for Concur expense reporting and coding for the department. Submit and receive purchasing requests and inventory newly purchased assets. Ordering kitchen and office supplies and restocking. Maintain and organize purchasing/spending digital files. Database tracking and auditing of fixed all asset computer equipment including but not limited to computers, monitors, printers, accessories, internal components, data center hardware and specialized production workflow hardware. Follow up on outstanding assigned equipment and get estimated return dates. Follow up with productions regularly on accuracy of information - user and location updates. Coordinate all shipping (domestic and international) to production locations including customs manifests and subsequent follow-up paperwork and clearances. Process accounts payable and research status. Update disposition of PSG Assets in ServiceNow. Manage RMA/repair records for assets. Coordinate disposal process for assets at the end-of-life cycle. Physically work with hardware assets, cables/cords & shipping containers moving in and out of storage. Maintains organization of PSG stockroom and covers inventory control of secured assets and their assignments to technicians. Occasional on-lot pickups and deliveries. Assist Account Admin with account management correspondence. Assist with office facilities as needed. Additional Requirements: In-Person: This position has been designated as In-Person, which currently requires contributing from the office five days per week. The Company reserves the right to change in-office requirements at any time. Min 2-year experience working in database software including an understanding of databases work and track data Min 2-year inventory management experience, computer hardware tracking experience a plus Strong O365 products: Outlook, Teams, PowerPoint, SharePoint, Excel & Word - more than basic or beginner experience Fast typing skills, 10-key a plus Strong communication skills both verbal and written Strong customer service skills Desired Characteristics : Managing inventory requires strong attention to detail and accuracy as well as an understanding regarding what is being tracked. A good candidate for this position should have some knowledge of computer equipment and accessories and the requirements for tracking these assets. Have a solid history of managing an inventory of some sort in a database software, FileMaker pro experience is a plus but not a requirement. Experience working in a studio film production environment or similar fast-paced business. Ability to adapt, problem-solve and learn at a high rate. Must be able to work closely with various staff levels at the studio and on film production. Applicant must be able to process requests at a quick rate expecting much change. This job demands a hands-on candidate not afraid of challenging situations. Candidate must be dependable as the responsibilities of this job are demanding and constant. Patience is a very good characteristic for this position as it requires working with technicians whose focus is not on the accuracy of the inventory but on getting the inventory prepped and shipped. Therefore, this person will be following up on details with staff regularly as well as enforcing organizational efficiency of storage areas.
