Overview
The Patient Services Representative (PSR) works to support the mission and vision of Neighborhood Healthcare by supporting clinics with front office tasks. The PSR's primary roles are to directs incoming calls to ensure they are transferred to the appropriate contact within the clinic and assist patients with scheduling and re-scheduling healthcare appointments.
RESPONSIBILITIES
Direct Patient Care
* Assesses incoming phone calls to determine the correct course of action based on customer's information and needs
* Corresponds with patients, salespeople, and visitors in an accurate, expeditious, courteous, and competent manner via in-person, telephone, and/or mail
* Conducts appointment reminder calls to all patients; including noted documents required for their visit
* Impacts patient experience by demonstrating courteous and helpful behavior and a commitment to accuracy
Provider and Team Support
* Generates daily lists of scheduled appointments for the clinic
* Shares accountability for overall patient health outcomes by working in coordination with care teams
* Operates to instill confidence in our care and facilities to patients, fellow employees, and other stakeholders
Clinical Administration
* Schedules appointments and enter all required data into electronic scheduler
* Tracks and records filled and cancelled appointments
* Prepares patient charts prior to their appointments
* Verifies patient appointments and arrival time at registration
* Receives and records patient payments in computer and ledger for services received
* Verifies patient records are up to date and accurate; makes appropriate changes in computer system, as needed
* Completes ongoing/annual training for position compliance
EDUCATION/EXPERIENCE
* High school diploma/GED required
* One year customer service experience required; in a healthcare setting preferred
* Experience working with electronic medical records and multi-phone lines preferred
* Bilingual (English/Spanish) highly preferred

Job Roles
Effectively manage the patient check-in and check-out process from start to finish to include identification verification, update or confirm demographic and insurance information, and ensure appropriate forms are provided and completed accurately.
Collect specified co-pays and payments from patients per coverage specifications, and from self-pay patients. Screen for eligibility and financial assistance.
Follow policies and procedures in collecting and handling cash.
Ensure patient information is placed into the Electronic Health Record accurately and in a timely manner.
Confirm, request, and process referrals and authorizations for specialty services.
Contact patients to schedule appointments and make reminder/recall notifications.
Respond to customer billing and payment inquiries on an as needed basis. May escalate billing issues as needed.
Regularly display a proactive approach to customer service by listening to the patient, taking ownership of solutions, and is able to accurately identify customer needs through involvement of leadership in resolving concerns.
Perform general clerical duties, i.e., scanning information, tracking data, receiving and sorting correspondence and packages in an accurate and efficient manner.
Perform other duties as assigned.
Increase vaccine confidence and demand by performing vaccine- related outreach to promote health center and community - based vaccination efforts and locations for vaccination, and to provide COVID -19 vaccine education, including through distribution of in - person and online education materials and through formal and informal opportunities for health center providers and staff to share information and respond to questions about vaccines.
Requirements:

Medical Assistant certification, C-NA certification, or Medical Terminology course preferred.

Under the direction of the Manager of Call Center, the Patient Service Rep-Call Center is responsible for performing customer service functions, from responding to a high volume of inbound calls, scheduling appointments, pre-registering , handling issues/ complaints, responding to questions, or directing patients to the appropriate area.
