You'll provide advanced administrative and organizational support to the Vice Presidents of Generating Demand and Finance of the Regional Nestlé Purina Latin America & the Caribbean Office and their management teams. No two days look the same - you'll coordinate projects, lead distribution of information, schedule and coordinate large workshops, meetings, and travel arrangements all in a given week. You'll also find yourself supporting special projects, creating presentation materials, preparation of reports/spreadsheets, and providing administrative support to various committees. * Manage and maintain calendar for the Vice Presidents (VPs), schedule meetings, and travel arrangements * Receive phone calls & emails for the VPs, and act as the liaison between the office and internal customers, company executives, and outside firms * Maintain the confidentiality of sensitive information and materials * Coordinate and provide meeting support for team events including luncheons and off-site meetings (i.e., scheduling meetings rooms, coordinating food, logistics) * Organize Leadership Team meetings and Operational Reviews * Provide clerical assistance including mail distribution, document reproduction & distribution, translation, and invoice & expense report processing * Develop and maintain the physical and electronic filing system for department records Requirements * High School diploma or equivalent * 3 + years' of professional experience as an international executive assistant at a large organization with 1+ of those years supporting 2 or more top-level executives * Bilingual in Spanish and English Other * Associates or Bachelors degree from an accredited institution is preferred REQUISITION ID: 232093 It is our business imperative to remain a very inclusive workplace. Under direction, is responsible for advanced executive, administrative and confidential assignments in support of the President along with the Finance Vice President within the Beverage Division. The primary responsibilities include, but are not limited to, the following: Meeting/Event Planning & Coordination (50%) * Identifying expectations and requirements for all events from large scale meeting (i.w. Monthly Leadership Team Meeting and off sites) to smaller groups within the Beverage Division (i.e. focus groups, new hire sessions). * Coordinate, schedule and manage key meetings, events and conferences, to include the arrangement of meetings, room reservations to include technical savviness with technology, meals/refreshments, logistics and travel. * Liaising with the key stakeholders and administrative support within the Beverage Division during the planning period to ensure everyone is carried along with the progress of all activities * Ensuring that the event/meeting budget is properly managed and maintained Calendar and Process Management (30%) * Lead/Manage annual operating calendar of the Beverage Leadership Team and operational meetings throughout the year. Organize, prioritize, manage and maintain the Executive's appointments and meetings. * Coordinate travel arrangements, prepare itineraries, secure air/ground travel and hotel accommodations. Ensure proper documents are obtained for international travel and. coordinate with overseas officers on logistical details. * Act as liaison between direct reports, employees and vendors. Practice discretion and maintain a high degree of confidentiality when handling sensitive information with a high level of professionalism and composure in communications when coordinating activities, and interactions with Administrative Assistants, department teams, buildings and/or functions. * Work independently and reliably; and make informed administrative and business decisions in support of the President as appropriate exercising good judgment and discretion. * P-Card/T&E Card and PO administration and reconciliation for the EA and the people they support. Additional Duties (20%) * Communicate specific instructions and/or requests to various individuals throughout the company. * Responsible for daily office operations, handling incoming mail and answering phone calls. Maintain office efficiency with an ability to multi-task, prioritize and quickly adjust to new situations, assignments and deadlines. Order office supplies, company swag and equipment as necessary. * Create PowerPoint business presentations with images, charts, graphs, or embed multimedia. * Provide follow-up to pending issues to assure completion of tasks. Supervision Received: * Supervision given from the President. Anticipates and resolves problems on behalf of management. Supervision Given: * No direct reports. Will provide instruction and guidance on various policies and procedures to Sr. Administrative Assistants within the Beverage Division to ensure team effectiveness to meet the needs of the business. Requirements: * Minimum of three to five years of administrative experience required. * Experience in a corporate environment; prior human resources experience preferred. * Computer savvy and proficient with Microsoft Office Suite (i.e., Outlook, Word, PowerPoint, Excel, and Visio).
