Job Title: Inventory Control Specialist (non-GMP)
Job Summary
We are seeking an Inventory Control Specialist (ICS) with problem-solving skills, and a customer-centric mindset, who can manage inventory on behalf of our leading biopharma clients. Tobin Scientific's warehouse personnel ensure that the flow of our clients' materials and supplies is both accurate and smooth. The ICS is a crucial part of an agile site-level team, which maintains accurate inventory data, and collaborates with our Transport & Logistics team to successfully fulfill client requests. This individual will also partner with site staff to gather and analyze KPIs, to drive further client satisfaction and site efficiency.
Key responsibilities:
Develop positive relationships with clients, teammates, and cross-functional partners.
Receive and verify items against shipping documents, complete the appropriate internal and client reporting, and all necessary transactions in Warehouse Management Software.
Establish the highest professional standards to ensure the following:
client needs are met in a timely, professional manner;
all received items are properly recorded, labeled and stored in the correct locations;
all outbound shipments are properly recorded, staged, and loaded to the appropriate destination;
warehouse employees understand and execute processing procedures;
world-class accuracy of inventory data and transaction records.
Gather and report accurate inventory data and throughput metrics to inform continuous improvement efforts; report, research, and reconcile discrepancies.
Complete material intake procedures, documenting and reporting any signs of damage, or quality/quantity discrepancies.
Stage processed items in the appropriate location for warehouse personnel to perform the put-away.
Facilitate regular inventory audits and cycle counts to ensure data accuracy.
Track maintain shipping supplies inventory levels, and generally support efforts to improve warehouse organization
Qualifications:
Minimum education: BA/BS in Life Sciences, Logistics, Supply Chain Management, Business Management, or Related Field (or Equivalent Work experience in a similar role to this one).
2+ years experience in lab operations, supply chain, warehousing, and/or logistics.
Highly analytical with strong computer skills, including Excel and Word (e.g. ability to run reports, analyze data/trends, provide accurate information, etc.)
Organized, detail-oriented, and dependable in respect to client and own team.
Can operate independently with minimal oversight, and seek support when necessary.
Adapts to competing priorities, and coordinates with team to complete assigned tasks within a shift.
Has a solid foundation and experience with the following: warehouse management systems, barcode systems and scanners, picking and packing, shipping and receiving, cycle counts, audits, and inventory reconciliation.
Demonstrated ability to provide and receive constructive feedback effectively.
Strong commitment to following SOPs, best practices and safety protocols, including wearing PPE.
Forklift and OSHA-10 Certification preferred.
Working Conditions
Full-time, onsite role at Tobin Scientific's Rowley facility.
May require occasional overtime based on client demands and operational needs.

Responsible for maintaining inventory, stocking and delivery of Med/Surg and Anesthesia supplies throughout the Operating Room par locations.
Responsible for barcoding supplies and running supply reports for the Director,
Perioperative Business Services. Supports all clinical professionals while maintaining inventory levels.
Restocks OR par locations with products ordered the previous day.
Scans each par location on a daily basis and transmits orders no later than 3:00 p.m. each day, Monday thru Thursday, 11:00 am on Fridays.
Supplies delivered by Owens & Minor must be broken down & sorted by 10:30am daily.
Processes and delivers requests within a reasonable timeframe. Exceptions require a follow up call to the requesting department.
Restocks OR par locations on a daily basis (evenings) with items at par levels previously set. Rotates stock placing the most recent items delivered in the back of the shelf and bringing the stock on the shelf forward.
Advises Perioperative Business Director or designee of any stock outs, backorders and changes in usage.
Responsible to rotate products and checks for expiration dates removing any product before it outdates.
Maintains the OR par locations in a clean and orderly fashion. Cardboard boxes are disposed of daily.
Contacts Perioperative Business Director or designee regarding any safety issues or Security department regarding unknown persons in the area.

Job Summary
Summary:
Responsible for inventory management, stocking, and timely delivery of requisitioned supplies throughout the hospital to support clinical staff while maintaining cost-effective operations.

Restock par locations with same-day ordered products.
Scan and transmit par location orders daily by 11:00 a.m.
Process and deliver phone requests within 45 minutes, providing follow-up if delayed.
Charge out items taken directly from the Stat Room to requesting departments.
Deliver supplies to assigned floors and assist in restocking Stat Room items.
Report stock shortages and changes in usage patterns to the supervisor.
Support the Receiving Clerk during peak times or staff absences.
Participate in annual inventories and random cycle counts.
Rotate stock and check for expired products.
Maintain a clean and organized Stat Room, including daily sweeping and disposal of cardboard.
Ensure area security by reporting safety concerns and securing access points.
Perform additional duties as assigned by the Supervisor or Manager.

Job Summary
Responsibilities include a comprehensive knowledge of the CDIC and IR Department's function in Inventory Control / Management. Responsible for the requisitioning and receipt of all orders and verifying the correct quantity and unit of issue against appropriate Purchase Orders. Also, responsible for the steady flow and stocking of all supplies and inventory items in the stock rooms. The required scope of judgment involves decision making to carry out the goals of the department within the area of Inventory Control and Cost Containment.
DUTIES AND RESPONSIBILITIES
* Work with the customers (e.g. lead inventory controller, asset manager, directors, nurses in charge, lead technologists) to identify any specific needs or concerns. Provide general customer service and coordinate with CDIC / IR materials management to ensure proper and timely product and service delivery and/or to customize or develop programs to meet customer requests.
* Responsible for daily coordination, integrity, and stability of the CDIC and IR Inventory as it relates to maintaining par levels, adding new items, deleting items, product increases, volume increases, etc. Responsible for overseeing the daily stock put away, stock rotation, and replenishment of the stock rooms inventory.
* Communicates with staff daily regarding back ordered and recalled supplies, new or deleted items and changes in procedure. Ensure sterility of product while inspecting products for expiration date and package integrity.
* Stocks products using FIFO (First In, First Out-rotational) procedure to maintain inventory par levels while coordinating all product issues. These include, but are not limited to, adding and deleting items and working with vendors on returns, recalled, back ordered, substitute and expired items.
* Assists with procurement, storage, and record keeping of Supplies while maintaining specific stock lists. Check in daily orders from the loading dock verifying receipts against requests for all areas.
* Maintains all files relating to departmental purchases and supply requisitions as well as coordinating pending, receiving, returns and close out files. Creates Purchase orders (as needed).
* Acquiring and documentation of Return Goods Authorizations from vendor when necessary, packaging product for return to vendor. Maintains professional relationships with sales representatives to ensure a compliant and safe environment.
* Submits reports and research as required to assist in the preparation of the annual budget and expense reviews.
* Participates in internal department meetings and responsible to gather facts, present documentation or perform other tasks related to the development of procedures or programs relating to inventory.
* Works within the hospital and departmental policies relating to hospital safety and infection control.

GENERAL STATEMENT OF JOB
Vaya's Housing Specialist - Back@Home is responsible for implementing Vaya's Back@Home - Balance of State program aimed to provide quality housing stabilization (case management, outreach, system navigation, housing navigation) to people in unsheltered settings and people experiencing homelessness in rural areas (Alexander, Alamance, Caldwell, Caswell, Chatham, Franklin, Granville, McDowell, Person, Rockingham, Rowan, Vance). Housing Specialist will outreach and identify households with service needs in unsheltered locations and in shelters not participating in the Continuum of Care's Coordinated Entry system. Housing Specialist will connect households to the homeless service system, provide system navigation to services and benefits, support households as they identify and move to permanent housing (through the Coordinated Entry system in each Balance of State region or public resources), and assist them in maintaining their housing up to 6 months after being housed.
Housing Specialist will maintain a caseload of approximately twenty-five (25) to thirty (30) households and provide person-centered, trauma-informed services. This position must be filled by an individual who has a passion for social justice work, is a team player, and committed to working alongside people as they transition out of homelessness into permanent and stable housing.
Vaya's Back@Home program is an evidence-based practice that provides housing stabilization to households experiencing homelessness under the Department of Housing Urban Development (HUD), Substance Abuse and Mental Health Service Administration (SAMHSA), North Carolina Coalition to End Homelessness, and the North Carolina Office of Recovery and Resiliency guidance for this program.
The Housing Specialist, in collaboration with Vaya's Housing Manager and Supervisor, ensures that all housing activities are delivered in accordance with the terms and conditions of the DMH/DD/SAS Contract, and guidelines/manuals/protocols/procedures established by the Department of Health and Human Services, federal and state rules and regulations, best practices, standards, and internal Vaya policies/procedures/manuals/guidelines.
ESSENTIAL JOB FUNCTIONS
Housing Stabilization:
Provide supportive services and develop trusting relationships with a caseload of at least 30 households in various stages of the housing process
Exercise patience, understanding, and concern for each participant's well-being, safety, development, and enjoyment of life
Ensure that participant interactions are person-centered, goal-focused and reflect each participant's goal plan
Work with each participant to develop and/or strengthen their housing stability plan according to participant goals and objectives to obtain and maintain housing
Assist households experiencing homelessness in obtaining appropriate vital documents such as birth certificates, social security cards, and IDs
Work with Housing Collaborative on “hybrid housing navigation” (Housing Collaborative will take primary responsibility for housing search and navigation for the household, as well as unit recruitment, landlord engagement, and housing placement)
Provide some aspects of housing navigation including helping the participant with documentation for housing applications, establishing housing preferences, supporting lease-up/move-in processes, and offering transportation to see potential units, for example
Assist in moving in and moving out participants (must be able to lift up to 50 lbs.) and cleaning unit
Maintain positive working relationships with local public housing authorities (PHA) and HUD Administrative agencies to improve access and increase the supply of housing resources for specialty populations
Maintain contact with all participants on a scheduled basis, appropriate to their status and needs, including contact in their homes and in the community
Provide participants training and support in the areas of personal hygiene, accessing community resources, medical adherence, household cleanliness and management or other needs as outlined in the participant's housing stability plan
Support participants to maintain housing stability through individually tailored services and by facilitating effective connections to community services and resources - examples of support services include successful tenancy problem-solving, independent living skill-building, connection to public benefits and employment assistance, money management support, and connection to medical, mental health, and substance use disorder services. Facilitate move-in process
Perform annual re-certifications for each household and accurately update files as necessary
Mediate and advocate for all housing participants
Transport participants as part of their job function(s) required per Driving on Vaya Business Policy *staff who are specifically required to transport participants as part of their job function will be offered the position contingent upon an acceptable MVR and qualification for Vaya automobile liability insurance coverage
Report to Human Resources any motor vehicle violations that result in the imposition of points on their license within three (3) business days of final adjudication
Use compliance tools and ensure observance of all data standards and record-keeping as required by Back@Home-BoS
Input case notes in a timely manner and ensure that all participant records are complete and accurate, including organizational and Homeless Management Information System (HMIS) databases
Attend regular case management team meetings, supervision and other specified meetings/trainings as required
Participate in Coordinated Entry case conferencing sessions as required with the Balance of State Continuum of Care
Communicate effectively in oral and written forms with participants, their families, their significant others, coworkers, supervisors, other service agencies and the community - includes obtaining Release of Information
Build professional relationships with participants, providers, and community partners
Collaborate with the supportive service team, household, landlord/property manager, and other service providers to creatively problem solve behaviors that put client housing at risk
Coordinate with other Vaya departments to ensure effective collaboration, business processes, process improvement, and consistent practices within the agency
Attend internal critical case staffing conference calls as requested or directed to provide education regarding community-based resources
Attend monthly community housing meetings
Provide education to participant and team members (including family) on options and community-based resources that can assist members with making informed and timely decisions as it relates to housing stability

KNOWLEDGE OF JOB
Highly motivated, team player, self-starter and able to work independently with little or no direction
Prior experience with homeless population or populations with severe service needs
Knowledge of the local Homeless Services System and a familiarity with social service providers and public benefits programs
Knowledge of best practices in street outreach and housing focused case management specifically harm reduction, Housing First, trauma informed and person-centered care
Ability to problem solve and provide practical, thorough, and creative solutions to work tasks Crisis management experience is preferred
Strong knowledge of federal and state laws, rules, regulations, and program practices/requirements applicable to Vaya Health's operation in North Carolina
Ability to adhere to strict confidentiality requirements
Bilingual English/Spanish speakers or Spanish language written/verbal communication skills at a professional working proficiency are preferred, but not required Experience with using the Homeless Management Information System is helpful but not required.
Experience in leading a performance relationship with external stakeholders
Proficiency in analyzing, understanding, and communicating network needs
Strong customer service skills paired with a positive demeanor - a “can do” attitude
Excellent verbal and written communication skills; ability to speak clearly and concisely, conveying complex or technical information in a manner that others can understand, as well as ability to understand and interpret complex information from others, including but not limited to reimbursement policy standards
Ability to manage multiple priorities in a fast-paced environment
High level of knowledge of Microsoft Office applications and adept at learning software applications - expert level preferred
Demonstrated knowledge of the assessment and treatment of mental health, developmental disabilities, and substance use disorder, sometimes co-occurring, is helpful
EDUCATION & EXPERIENCE REQUIREMENTS
Associate degree required, bachelor's preferred. Two (2) years of service experience required, five (5) years preferred.
PHYSICAL REQUIREMENTS
Close visual acuity to perform activities such as preparation and analysis of documents; viewing a computer terminal; and extensive reading.
Physical activity in this position includes crouching, reaching, walking, talking, hearing and repetitive motion of hands, wrists and fingers.
Sedentary work with lifting requirements up to 10 pounds, sitting for extended periods of time.
Mental concentration is required in all aspects of work.
RESIDENCY REQUIREMENTS: The person in this position is required to reside in North Carolina or within 40 miles of the NC border.
SALARY: Depending on qualifications & experience of candidate. This position is non-exempt and is eligible for overtime compensation.

Education

Responsibilities
Establish and maintain supply areas.
Inventory product and upload requisitions in system.
Manage supplies in LogiD areas and monitor tags on RFID boards to prevent stock-outs.
Distribute supplies and use mobile delivery device for product tracking as needed.
Follows up on order confirmations, short ships, back order issues and returns.
Oversees parcel management inclusive of receipts and distribution which includes CC-ID and mobile
delivery.
Establish and maintain list of supplies and supply levels for assigned department(s).
Supports off campus corporation entities.
Maintain Expired Product Management for assigned department(s). This includes management of
Nonconforming product bins in supply areas.
Demonstrates ability to prioritize and process work effectively and efficiently.
Demonstrates competency to perform role utilizing available references, tools, systems, and equipment,
to ensure quality results while following department policies and procedures.
