Job Summary: The NightAuditor is responsible for performing a variety of clerical and accounting duties while ensuring the smooth operation of the hotel's front desk during the night shift. This includes balancing guest accounts, auditing daily transactions, providing customer service, and ensuring the security of the hotel during overnight hours. The NightAuditor plays a key role in guest satisfaction by ensuring a seamless check-in and check-out process and assisting with any inquiries or requests. Key Responsibilities:
Guest Service and Front Desk Operations:
Provide exceptional customer service to guests during check-in and check-out, ensuring all guest requests are met in a timely and professional manner.
Assist with guest inquiries, provide information about hotel amenities and services, and resolve any concerns or issues.
Process guest payments and ensure accurate billing information is recorded in the system.
Handle guest complaints or concerns promptly, offering solutions or escalating to the appropriate management team.
Secure the lobby area and maintain a peaceful environment for guests during night hours.
Night Audit and Accounting Functions:
Perform nightly audits to ensure all transactions, including guest charges and payments, are correctly posted and balanced in the hotel's property management system.
Review and verify the accuracy of guest folios and charge transactions for the day.
Reconcile the daily revenue report and ensure all financial transactions are properly documented and balanced.
Prepare and generate reports for management, including financial, operational, and guest-related data.
Investigate and resolve discrepancies or errors in guest accounts, billing, or daily transactions.
Security and Safety:
Monitor the security of the hotel by performing routine checks of the premises, including entrances, exits, and common areas.
Respond to any emergency situations or security incidents, following the hotel's safety protocols.
Ensure that the hotel's security systems, such as alarms and cameras, are functioning properly.
Assist with any late-night check-ins and ensure the safe handling of keys and room assignments.
Communication and Reporting:
Communicate important guest or operational information to the next shift during the handover process.
Record any maintenance issues or requests in the hotel's logbook to ensure timely resolution.
Report any unusual activities, incidents, or safety concerns to management immediately.
Ensure that all relevant paperwork, including night audit reports and financial documents, is completed and stored properly.
Miscellaneous Duties:
Assist with the preparation of breakfast or any other early morning services for guests.
Perform general housekeeping duties as needed, such as tidying the lobby or replenishing guest supplies.
Provide support for other departments as needed, including delivering messages, handling reservations, or assisting with light housekeeping.
Qualifications:
Education & Experience:
High school diploma or equivalent required.
Previous experience in hotel front desk, accounting, or customer service preferred.
Basic understanding of accounting principles and the ability to perform basic financial reconciliation.
Experience using hotel property management systems (PMS) is an advantage.
Skills & Knowledge:
Strong attention to detail and ability to work independently during overnight hours.
Excellent communication and interpersonal skills, with a focus on guest satisfaction.
