We are seeking a dedicated and organized Property Manager to oversee the daily operations of our residential property - please note this is a scattered site property. The ideal candidate will possess strong customer service skills and a solid understanding of property management principles, including maintenance, leasing, and tenant relations. This role requires proficiency in property management software such as Yardi or OneSite, along with the ability to manage contracts and maintain accurate files.
Responsibilities
Manage the day-to-day operations of assigned property, ensuring it is well-maintained and meets company standards.
Oversee property maintenance tasks, coordinating with maintenance staff and contractors as necessary.
Handle tenant inquiries and concerns, providing exceptional customer service to foster positive relationships.
Process lease agreements, renewals, and terminations while ensuring compliance with relevant laws and regulations, including Section 8 housing guidelines.
Maintain accurate records of property files, contracts, and tenant communications using property management software.
Conduct regular property inspections to identify maintenance needs and ensure compliance with safety standards.
Responsible for achievement of net income, revenue growth, rent collection, and property financial performance compared to the annual operating budget.
Develop cost saving strategies to reduce budgeted expenses including utilities, pool, landscaping, flooring, window coverings, turnover items, maintenance supplies, office supplies, payroll, resident activities and marketing programs.
Reduce Bad Debt Loss by ensuring daily deposits, contacting residents to collect unpaid rent, collecting late charges, processing unlawful detainees & file evictions, preparation of collection documents, court appearances.
Analyze income and expenses, traffic, 30-60-90-120, (if applicable) lease expirations, market rents, delinquency financial statements, and make recommendations as needed (if applicable).
Serve as property representative in court proceedings, understanding all property legal issues affecting residency, storage, abandonment, bankruptcy, fair housing and unlawful detainer/eviction actions.
Monitor and direct service operations to ensure vacant apartments are in market ready condition with a less than one week downtime for preparation of market ready apartments, and to be defined turn timeframe for upgrade units and ensure it would pass the white glove test.
Requirements
Proven experience in property management.
Strong knowledge of property maintenance processes and best practices.
Familiarity with property management software such as Yardi
Excellent customer service skills with the ability to communicate effectively with tenants and vendors.
Strong organizational skills with attention to detail for managing files and contracts efficiently.
Knowledge of budgets and financial statements as well as the ability to work within budget guidelines.
Working knowledge of eviction law, Fair Housing mandates and other legal issues affecting property management
Working knowledge of subsidized government housing.
Ability to work independently as well as part of a team in a fast-paced environment.
A valid driver's license may be required for site visits and inspections.

POSITION OVERVIEW
This full-time position will be located in Richmond, Virginia and reports directly to Tuckahoe's Tax Director. The Tax Accountant will be involved in all aspects of both our Income Tax and Domestic Indirect Tax Compliance, including Income, Sales and Use, Personal Property, Real Property, and Business Professional Occupational License Taxes. This position will partner with the Tax Director on developing and constantly improving compliance processes, assisting with tax due diligence for M&A activity, conducting technical research and analysis, creating models and projection of our tax exposure, and managing government audits.
ROLE AND RESPONSIBILITIES
Direct (Income) Tax Compliance
Act as the liaison with our external tax providers by assisting in the preparation of our book/tax workpapers, state apportionment calculations, and tax payment reconciliations.
Conduct detailed reviews of our federal and state draft income tax returns.
Indirect Tax Compliance
Responsible for the Sales/Use Taxes, Tangible/Business Personal Property Taxes, Real Property Taxes, and Business License compliance processes for holding company and multiple operating divisions.
Manage the monthly sales tax filing process utilizing our third-party provider (Avalara)
Assist with monthly sales tax account reconciliations to ensure compliance with appliable internal accounting requirements and proper recording of tax payments.
Supervise the maintenance of customer exemption certificates.
Audits, M&A and Advisory
Support the Tax Director as it relates to new business inquiries, mergers and acquisitions, research and planning opportunities, and legislative monitoring/advocacy.
Field and assist with taxing authorities' audit requests.
Participate in ad hoc projects, research and analysis as assigned.
EXPERIENCE/KNOWLEDGE & SKILL REQUIREMENTS
Bachelor's degree with a business or accounting major.
2-4 years of tax experience at an accounting firm
Hands-on experience with complex business returns (Forms 1065 and/or 1120)
Demonstrated ability to work independently, monitor filing requirements and meet deadlines for numerous companies located in multiple states.
Ability to coordinate the completion of multiple work assignments and/or projects, provide guidance where necessary, problem solve, and ensure that the project team meets its operational deadlines.
Ability to handle multiple tasks in conjunction with various tax filing deadlines.
Ability to research complex issues, formulate, and develop recommendations to management.
Strong written and verbal communication skills.
Strong Microsoft Excel skills

What you'll do:
Establish working relationships with supervisors (PM or Maintenance), residents, and vendors.
Respond to maintenance requests, using work tickets to track calls.

Check all mechanical and electrical equipment, valves, and other components to assure the building has continuous heat or air conditioning, power, and hot water.

Maintain basic plumbing fixtures and plumbing issues. This includes replacing faucets, toilets, toilet flappers, showerheads, diverters, fluid masters, and all other plumbing as the property requires.
Complete, as needed, minor drywall repairs and painting in units and/or common areas.
Maintain and repair doors, locks, windows and screens, as needed.
Correct emergency conditions such as flooding, sewer backup, and equipment malfunctions. This includes problem resolution and cleanup during and after corrective action has been taken.
Oversight of daily contracted services, including cleaning and porter operations, painters, landscapers, and other contracted services.
Maintain building files and records relevant to building operations and tenants. Maintain supplies, tools and equipment inventory, maintenance, and service records, and building specification manuals and blueprints.
Assistance with moving or removal of furniture, file cabinets, boxes, equipment, and other duties as assigned.
Respond to all resident maintenance requests in a timely and courteous manner
Adhere to safety protocols when completing maintenance tickets to ensure the safety of yourself and residents.
Provides timely communication maintenance concerns or trouble tickets with Property Manager

The Multi-Site Leasing Associate will be the primary person responsible for the leasing of specific portfolios in the DMV area. The Multi-Site Leasing Associate will work with the marketing and management team to ensure that the apartments are in show ready condition, all prospects are responded to in a timely and professional manner, tours are scheduled, and prospects are followed up with and encouraged to submit applications. In addition, the Leasing Associate shall manage the prospect through application submittal, lease signing and move in process.
This individual should have a high level of energy and consistently demonstrate the utmost professionalism. Typical duties of a property leasing associate include showing properties to prospective residents and participating in marketing campaigns, facilitating a quality experience for prospects and residents, and contributing to a positive work environment by exhibiting qualities and interactions that support the company's code of ethics of professionalism by positively representing the company with customers, clients, colleagues, and management.
What you'll do:
Greet prospects and pre-qualify by covering all criteria (ask questions to determine needs, type apartment, floor level, household size, move in date, where previously lived, why they are moving, etc.)
Immediately record all telephone, email and in-person visits into Yardi system, when the lead is not automatically synced through Prospect Portal.
Inspect vacant apartments, which are being shown daily to ensure they are new residents ready.
Demonstrate features and benefits of the community and link to future residents' needs; close the sale.
Have prospect complete application and secure deposit in accordance with the company procedures and Fair Housing requirements.
Review and process applications for approvals. (i.e., credit check, rental history, etc.) Submit application approval with manager for approval. Follow up with applicants regarding status.
Ensure apartment is ready for residents to move-in on agreed date.
Follow-up on prospects you were unable to close and attempt to close sale again. Continue to follow-up with prospects weekly until they advise they are no longer interested. Record all follow-up efforts in Yardi in Prospect contact section.
Prepare lease agreement and send for signature to future residents. Orient new residents to community on move-in day.
Assist in monitoring advertising effectiveness by reviewing and commenting on marketing material.
Always represent the company in a professional manner.
