In this role, the successful candidate Performs diversified secretarial duties necessary to maintain and support the Practice and/or department. Duties may include scheduling appointments, insurance verification, referrals, prior authorizations for visits and/or procedures, compiling and recording medical charts, reports, and correspondence. Assists with the organization, maintenance, and flow of information and patients throughout the department. Job Responsibilities: * Performs other duties as assigned. * Provides administrative support to the practice physicians and management. Answers telephone. Greets visitors and responds to routine questions. Maintains efficient filing system. Opens and distributes mail. Schedules appointments and maintains calendar. Types reports, memos, forms, letters, etc. Transcribes. May make travel arrangements Processes vouchers for reimbursement and maintain ongoing records of expenses. May maintain Physician academic calendar. * Maintains patient files. Scans all patient information reports, insurance information and patient demographic, progress notes, etc. in designated section of patient's electronic chart and flags appropriately. * Ensures proper referrals are in place for patient visits. Reviews superbills for missing information. Updates demographics in EPIC. Provide patients with HIPAA documentation. * Makes appointments for patients and or families and maintain that patient's appointment accordingly. Confirms all new patient and follow up appointments. Prints weekly and daily schedules for the physicians. Schedules patient appointments in accordance with the office policy and patient schedules. Reschedules patients from the bump list. Contacts patients who did not show up for their appointments and document in chart. * Types and maintains correspondences that are required for patient compliance of care. Edits/ types dictation of patient consultation and follow-up letters, and all other correspondence. * Obtains all referrals and authorizations required by insurance carriers for patient services. Retrieves examination and procedure authorizations and referrals. Obtains admission authorizations and any other authorization required by division. * Provides support for Special Procedures in regards to physician scheduling. May collect data for Monthly reports and coordinates results from various sections. Minimum Qualifications: To qualify you must have a High School or Equivalent Required.1- 2 years Secretarial experience in a medical or a health care facility setting. Strong communication (both oral and written), multitasking, detail oriented, organizational, customer service, and interpersonal skills. Knowledge of Microsoft Office (Excel, Word, PowerPoint, and Outlook). Knowledge of medical terminology and medical office procedures. Preferred Qualifications: Associate's Degree in a related field. 3-5 years prior experience with surgical scheduling and obtaining authorizations for visits/ procedures. Knowledge of EPIC. Creates the first impression of the institution's services to patients, families, and other external customers. Obtains demographic information, prescriptions and applicable medical documents, and insurance information. Ensures patients, families, and other external customers understands required financial responsibilities and expectations. Assumes clinical and financial risk of the organization when collecting and documenting information on behalf of the patient. Job Responsibilities: * Performs other duties as assigned. * Schedules patient. May call patients to confirm appointment and location and necessary items to bring along with any instructions for preparation for an exam. * Communicates with patients, referring physician offices and fellow staff members in a helpful, friendly and professional manner. Answers and filters phone calls properly in a timely manner. Understands the phone functions to receive and directs calls, forwards and transfers and uses Cyracom phone for patients with different preferred first languages. * Completes check in and registration when patient arrives. Includes using the RELATE model when communicating with patients and their families. Ensures patients or their representatives are informed of regulations surrounding the required consents at the time of registration or thereafter. Collects co-pays, or other patient responsibilities per NYU Winthrop Hospital Point of Service collection policies and procedures. * Verifies documentation for accuracy. This may include prescription, insurance card, photo IDs, thorough patient index search to avoid duplication of Medical record number. Minimum Qualifications: To qualify you must have a High School Diploma or Equivalent. 1- 2 years Customer Service experience. Strong communication (both oral and written), multitasking, detail orientation, organizational, excellent customer service, and interpersonal skills. Basic computer skills including Microsoft Office applications ( Excel, Word, and Outlook ). Knowledge of medical terminology. In this role, the successful candidate The Senior Medical Secretary performs administrative and surgical coordination tasks to support daily practice operations. Job Responsibilities: * Schedules appointments for visits, treatments, and surgical procedures, * Reviews appointment confirmation responses and manages waitlists, * Communicates to patients on upcoming scheduled visits, including instructions, preparation, and forms, * Obtains authorizations for services as needed, * Answers calls and takes messages. Addresses questions or routes messages to appropriate contact in a clear and timely manner, * Handles faxes and mail, * Prepares standard letters and forms as needed, * Performs other duties as needed Administrative Physician and Practice Support * Schedule surgeries in EPIC. * Prepares the daily schedule and manages the OR template. Maintains cooperative and professional relationships with providers, nurses and office and clinical staff. Understands integral role as part of a healthcare team and is an active participant regarding patient workflow and barriers to care and safety concerns. * Monitor patient/referral work queues and incoming patient portal scheduling messages daily. * Reports problems or concerns such as patient complaints, process workflows/conflicts, need for further skill training and/or other work related matters to their supervisor. * Provides translation communication as needed to facilitate the patient and provider interaction. Minimum Qualifications: To qualify you must have a HS Diploma Required 2+ years relevant experience. Strong customer service and communication skills. Proficient in MS Excel, Word, and Outlook. Familiarity or prior experience with office setting Prior customer service experience Must be articulate with good interpersonal skills. Must have knowledge of computer keyboard able to type a minimum of 20 words per minute. Must be able to accurately enter data Willingness to devote the time required completing assigned tasks on schedule. Preferred Qualifications: Patient Relations experience Qualified candidates must be able to effectively communicate with all levels of the organization.
