COLLEGE CLERICAL ASSISTANT II - REGISTRAR'S OFFICE (FULL TIME)
OLIVE-HARVEY COLLEGE


Olive-Harvey College is looking for a full time College Clerical Assistant II to perform a variety of routine clerical duties in the Registrar's office. The office of the Registrar administers the enrollment of students, maintains student records, and works with faculty, administration and staff on academic matters.


ESSENTIAL DUTIES:


Operates computer equipment utilizing word processing software to produce a variety of materials including exams, student handouts, faculty lists and handbooks, teacher program forms, narrative reports and general correspondence; maintains general office and college program files. Answers telephones, takes messages and transfers calls to appropriate personnel. Sorts and distributes incoming mail. Assists in reviewing time sheets and prepares attendance reports for payroll processing. Prepares purchase requisitions for supplies and equipment, reviews invoices and purchase orders to ensure correctness of charges and to verify delivery of ordered items. Provides information to student inquiries regarding registration, financial aid, departmental course offerings and policies. Maintains and updates student academic records, financial aid reports, registration forms and transcripts. Maintains and updates college course data and inputs student registration information.



QUALIFICATIONS:


Graduation from high school supplemented by one year of clerical and keyboarding experience in an office setting; or an equivalent combination of training and experience. Proficient in PC desktop and related software programs. Ability to operate a personal computer. Ability to keyboard 45 words per minute. Ability to follow verbal and written instructions. Skill in basic filing, record keeping and operation of a variety of office machines.

Job Overview:
Macy's ARO Clerical colleagues perform all functions related to the scheduling of inbound freight, communicating with carriers, vendors and merchants to ensure receipt integrity.

Essential Functions:

  • Appointment scheduling for incoming freight.
  • Pre-keyadding from carrier documents and provide disposition.
  • Identifying ASNs and 214s to maximize usage.
  • Notification of ASNs and 214s which may contain errors prior to receipt.
  • Prepare packages for the following day's receipt.
  • Assist in the disposition of all keyrecs; manual and system generated.

Qualifications and Competencies:

  • High School Diploma or equivalent required
  • 1-2 years related experience
  • Ability to read and interpret instructional documents such as safety rules, operating and maintenance instructions, and procedural manuals
  • Resourceful self-starter, works well independently as well as part of a team
  • Must be proficient in the use of computers and handheld technology
  • Ability to work a flexible schedule, including day, evening, weekends, and/or holidays


Physical Requirements:

  • Position requires prolonged periods of standing/walking around store or department
  • May involve reaching, crouching, kneeling, stooping, climbing ladders, depth perception and color vision

Colleagues will be randomly selected for testing by a third party. Testing must be completed on the same workday the colleague is informed of selection for testing, absent extenuating circumstances. In all circumstances, testing must be completed within 24 hours of notification.
