What You'll Do
Financial Operations: Manage accounts payable/receivable, process vendor payments, review transactions in QuickBooks Online, and maintain organized financial records
Expense Management: Process and audit expense reports, ensure policy compliance, track spending patterns, and maintain documentation for all business expenses
Executive Support: Own calendar management and scheduling for leadership, anticipating conflicts and optimizing time
Office Management: Keep our Atlanta office running smoothly-supplies, vendor coordination, mail, and whatever else needs attention
Project Support: Jump into ad hoc projects across the business, from event coordination to operational initiatives (no two weeks look the same)
Communication Hub: Serve as a reliable point of contact for vendors, partners, and team members

Proven experience with QuickBooks Online basic functions

Main Purpose of Job
The primary purpose of these positions is to provide administrative duties in support of the Maryland Department of Labors Professional Outplacement Assistance Center(POAC) and the American Job Center(AJC). These duties would include, but are not limited to: answering/directing phone calls and emails, responding to voicemails, compiling monthly statistical reports, filing, photocopying, posting data into the Maryland Workforce Exchange, and providing general administrative support.
POSITION DUTIES
Provide clerical support to the POAC/ AJC staff by typing correspondence, reports, schedules and other materials.
Determine eligibility and schedule customers for Jumpstart. Use email and telephone to correspond with customers regarding upcoming seminars/webinars.
Enter, retrieve and update information using the Maryland Workforce Exchange (MWE) this information includes, but is not limited to, entering services for workshop completers.
Update Wagner-Peyser applications in the MWE. Maintain a list of any individuals who have not registered in MWE so that they may not attend any more sessions until they are registered.
Copy training materials to ensure that the trainer has appropriate handouts for sessions.
Enter all FMIS requests, required by the office. Enter all staff timesheets into the FARS system.
Maintain routine statistical and numerical records keep track of and order office supplies through FMIS.
Maintain files and documents on various office activities and programs, including customer files.
Prepare and organize training room prior to and after seminars; arrange chairs and tables after use.
Prepare materials needed by staff to take to job fairs and outside events.
Answer telephone calls and respond to all voicemail in order to interview and screen callers and provide routine information about services.
Schedule customers for all sessions.
Minimum Qualifications
Education: Graduation from an accredited high school or possession of a high school equivalency certificate.
Experience: Two years of experience performing clerical duties.
Notes
Additional experience performing clerical duties may be substituted on a year-for-year basis for the required education.
Applicants may substitute education from an accredited college or university at the rate of thirty semester credit hours for one year of experience on a year-for-year basis for the required experience.
Six months clerical training with three courses in subjects such as keyboarding, clerical math, word processing, spreadsheets, database, graphics presentation, proofreading, or office etiquette may be substituted for six months of the requires experience.
Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administrative classifications or in Administrative, Clerical, or Office Services specialty codes in the Clerical Support field of work on a year-for-year basis for the required experience.

Benefits
Contractual employees who work for an agency covered under the State Employee and Retiree Health and Welfare Benefits Program, have a current employment contract and work 30 or more hours a week (or on average 130 hours per month) may be eligible for subsidized health benefits coverage for themselves and their dependents. As a contractual employee, you will be responsible for paying 25% of the premiums for your medical and prescription coverage, including any eligible dependents you have enrolled. The State of Maryland will subsidize the remaining 75% of the cost for these benefits. You can also elect to enroll in dental coverage, accidental death and dismemberment insurance, and life insurance, but will be responsible to pay the full premium for these benefits.
Leave may be granted to a contractual employee who has worked 120 days in a 12 month period. This leave accrues at a rate of one hour for every 30 hours worked, not to exceed 40 hours per calendar year.

Job Summary
The Pre-Health Support Office (PHSO) Coordinator is a 12-month, full-time, and grant-funded position with the possibility of annual renewal, contingent upon performance and continued availability of funding. The PHSO Coordinator provides guidance, oversight, and support to student workers, interns, and volunteers engaged in PHSO activities. The coordinator is responsible for managing day-to-day program operations, including scheduling, tracking student progress, coordinating shadowing opportunities, and maintaining program records. Responsibilities
* Provide support to the activity director, co-activity director, and technology research technician in the planning and execution of program events, community workshops, and training initiatives for STEM students and faculty.
* Lead the formal setup and daily operations of the PHSO and serve as the primary point of contact for pre-health students seeking support and resources.
* Distribute, the Association of American Medical College's Medical College Admission Test Official Prep Question Pack to selected students, track and monitor student usage and engagement with the materials and collect feedback to generate progress reports to help assess student readiness and needs.
* Coordinate with faculty, the Biology Department committee, and local healthcare providers to create and maintain clinical shadowing and volunteer opportunities.
* Maintain and update a digital database of approved professionals and clinical sites open to student shadowing and volunteering.
* Assist students in navigating the shadowing process through guidance, support, and preparation of resources, and advise students on pathways to various healthcare professions, including course planning, entrance exam preparation, and experiential learning.
* Track student progression in relation to healthcare program application goals and performance metrics.
* Support the planning and execution of "Meet a Professional" networking events and other relevant opportunities.
* Collect student feedback on instructional enhancements and write detailed reports on learning outcomes in PHSO.

Key Responsibilities:
+ Data entry of Times and Odometer Reading.
+ Perform clerical and administrative tasks according to contractual and legal mandates
+ Input and extract data from manifests to provide data to management and the client.
+ Process new employee files & records and submit them to the General Manager for approval; submit appropriate paperwork to the regional accounting office.
+ Calculate & input driver & staff payroll into system for processing.
+ Track attendance for all employees.
+ Responsible for reconciliation of fuel, utility and payroll
+ Assist with creating PO's, client billing and Charters
+ Assist General Manager in accurately tracking overtime to reduce and eliminate unnecessary and/or additional punch hours.
+ Assist with dispatch as needed
+ Other duties as required.
Qualifications:
+ High school diploma, GED, or equivalent
+ Minimum of one-year related work experience.
+ High School Diploma or GED.
+ Excellent oral and written communication skills.
+ Ability to multi-task and work in fast paced environment.

Answering phone, make phone calls, multitask. Operate various office machines including shredders, copiers, telephones and related equipment. Maintain supply list and storage, Printers stocked with paper. Be punctual, dependable, disciplined and professional.
General and moderately complex clerical and administrative work including typing or transcribing documents, basic computer work using Microsoft Office software and internet research. Other clerical duties as assigned, complete errands on campus as needed.
Minimum Qualifications:
Current student at Athens Technical College.
Must maintain registration of minimum 6 credit hours. Meet Federal Satisfactory Academic Progress requirements. Current aid year FAFSA completed.
Preferred Qualifications:
· Enrolled student in eligible program of study- registered for minimum 6 credit hours.

Requirements
What You'll Do:
Work with the owner dentist to craft an ongoing schedule that optimized for productivity and easily manage contingency scheduling when last minute changes occur.
Manage the patient's seamless arrival by checking in patients, obtaining necessary financial and personal details and entering those directly into the patient's chart as appropriate.
Upon patient checkout, schedule the next appointment or follow-ups as necessary, provide relevant after visit summaries or other documents like treatment plans, receipts, school excuse notes or appointment reminder cards.
Partner with office management and clinical staff daily to ensure work tasks are optimized for the daily workflow, including but not limited to appointments, confirmations, amendments, cancellations, referral letters or other patient correspondence.
Optimize appointment schedule by ensuring the day is full and aligning the right treatment to appointment time.
Answer the telephone promptly and courteously, inquiring about their needs and how the office can meet those needs.
Partner with office manager to ensure clinic is fully compliant with state and federal health regulations and compliance programs.

What You'll Bring:
Minimum 3 years of administration experience
Experience with scheduling software systems, and Microsoft Office, clinical background and experience with dental software programs considered an asset
An Associates degree in business or office administration preferred.
