What You'll Do: As a Wealth Management Office Assistant, you'll work closely with a Wealth Management Advisor (WMA) to:

* Interact with associates and clients in a courteous and respectful manner, contributing to the overall positive work environment.

* Support the efforts of the WMA including setting appointments, implementing marketing campaigns, performing general clerical duties, general correspondence, and other special assignments as necessary.

* Schedule and prepare the WMA for upcoming client appointments including: preparing/updating financial plans, conducting investment research, preparing the required documentation for new business or other client transactions, and gathering investment statements.

* Process all new business transactions as well as other types of transactions from beginning to end, ensuring accuracy and timely completion.

* Create a positive client/member experience by communicating directly with clients on service related questions and changes and handling issues and problems as they arise.
* Provide assistance in maintaining the integrity of client files and a compliant practice.
* Maintain approved materials including sales literature, brochures, prospectuses, forms, manuals, etc.

What It Takes to Join Our Team:

* Strong communication and customer service skills, with an ability to interact by other the phone and in-person. including meeting planning and facilitation.
* Strong organizational skills, including use of Microsoft Office Suite required.
* Ability to learn and adapt to other technologies, including Client Relationship Management (CRM) software.

The Equitable Services and Systems Unit

The unit within the Office of Racial Equity & Belonging Section leads cross-agency projects to coordinate racial and social equity efforts in service delivery, planning and stakeholder engagement. The Equitable Services and Systems team administers processes and projects to understand inequities and underinvestment caused by the transportation sector and related planning efforts. Equitable Services and Systems leads the development and implementation of culturally responsive strategies to reverse inequities or other disparities observed in Black, Indigenous, Latinx, Asian, Pacific Islander and other historically marginalized communities.

Equitable Services & Systems has a programmatic focus on equitable engagement in agency processes, planning efforts, policies and projects, as well as the integration of racial equity goals in service delivery (including trauma-informed systems to support staff safety and wellbeing), planning, engagement and project delivery processes.

Examples of Key Duties of the Equitable Services and Systems Assistant:

Reporting to the Equitable Services and Systems Manager, the Equitable Services and Systems Assistant will be responsible for the following core duties:

1. Plans, coordinates, delivers and evaluates a series of clerical, outreach, and engagement tasks to facilitate initiative with diverse stakeholders, such as Youth Transportation Advisory Board (YTAB) commitments; Coordination of FY 2022-2023 outreach processes, meeting agenda, and cross-team efforts with YTAB Coordinators and MTA divisions to deliver a customized curricula that is response to strategic YTAB and agency goals for FY 2022-2023.

2. Assists in the preparation of reports and analyses on best practices in mobility justice, racial equity, trauma informed systems and transportation equity; Prepares data analysis, key informant interviews, literature reviews of agency reports, and analysis of policy/program guidance from the Human Rights Commission, Office of Racial Equity to support planning of Phase Two Racial Equity Action Plan.

3. Performs administrative and/or management functions in the areas of office management/support operations, operations and program development by planning, coordinating, and/or evaluating the activities to support Phase Two Racial Equity Action Plan deliverables (such as coordinating Fourth Fridays staff engagement workshops).

4. Gathers, compiles, analyzes data and/or prepares reports using database programs, spreadsheets, evaluation reports, various word processing applications, assessment/evaluation data, web pages research and literature reviews to deliver robust program evaluation support for Equitable Services and Systems programs, as well as Phase Two Racial Equity Action Plan priorities.

5. Coordinates a variety of clerical, administrative & technical support racial equity efforts, including facilities coordination/setup, IT planning, project management, outreach processes, distributing or reproducing reports, registration functions, data processing, inventory control, and purchasing & billing functions for a variety of OREB programs; Examples of such events include Safety Equity Initiative project, as well as the Community Connections resource/engagement fairs for staff, community members and stakeholders.

6. Assists in the development and recommends changes to OREB project processes, policies and procedures by reviewing provisions and evaluating the effectiveness of practices established in the first year of the Office of Racial Equity and Belonging program and team practices. Will evaluate and recommend practices to optimize Equitable Services and Systems project responsibilities.

7. Assists in the preparation of Racial Equity Action Plan (REAP) and other progress reports by monitoring deliverables, gathering information, interviewing and providing technical assistance to REAP action leads, performing qualitative analysis, preparing reports and writing summaries for the to ensure compliance with City and departmental equity priorities/commitments.

8. Prepares agenda items, attends department meetings, and/or makes presentations at various types of business meetings on behalf of the office, including inter-agency meetings, OREB Equity Support Team Meetings, OREB Team meetings and Enterprise and Infrastructure Working Groups Meetings with Racial Equity Leaders in the City and County of San Francisco.

9. May support Equitable Services and Systems Manager and Racial Equity Officer by delegating and reviewing work assignments to the OREB Equity Support Team.

10. Performs related duties and responsibilities as assigned.
