Ordering of shared physical resources such as office supplies for common areas, supplies for the breakrooms, furniture, coordination of incoming and outgoing mail and shipments.
General coordination of activities related to the function of the corporate office including but not limited to: landlord driven work, suite renovations and upgrades, entering and monitoring work orders for repairs, support of corporate office social activities, support of new hires, support of physical spaces after employees leave SFEC and other solution-based coordination relating to the operation of the Corporate Office.
Send local announcements to the team, including updates on fire alarm testing, parking lot closures, flooding and other site-related notices.
Manage mail distribution, including interoffice mail to other corporate offices, especially Sandusky.
Operate A/V equipment and support A/V testing prior to major meetings or as requested.
Ensure the conference center and other conference rooms are supplied with the necessary equipment for effective meetings
Arrange and coordinate catering services as needed
Ensure break rooms are consistently maintained, clean and fully stocked
Assist with time management, company communication, coordinating schedules/meetings/functions.
Supports the team with a can-do-spirit and desire to make the projects flow as efficiently as possible. Know every detail or know where to find the information about projects you are coordinating.
Provides a positive, friendly demeanor when communicating with the office, external vendors, or park teams (answering phones, email, instant messaging).

Associate degree / vocational or technical school degree combined with 5-8 years of experience managing a corporate office environment.

What youll do:
Delivers administrative support to assigned EMG through management of schedule/calendar, emails, call routing and ensuring appropriate record retention. Coordinates activities and ensures timely information flow for EMG assigned.

As requested by assigned EMG, prepares correspondence on behalf of EMG. Ensures information to and from EMG members are treated with appropriate level of confidentiality.
Responsible for maintaining awareness on applicable intranet pages, messaging channels, leader communications, and other information platforms. Proactively disseminates reminders to leaders and employees for upcoming deadlines, such as check-in completion, LMS training deadlines, or other urgent work deliverables.
Monitors EMG calendars to coordinate meetings and ensure leader/team is aligned with all aspects of meeting. Creates agenda, takes meeting minutes, documents follow up action items, manages attendees, delegates, and ensures all meetings have a clear purpose/agenda. In addition, coordinates schedules, meeting planners, dates and secures the content to be presented.
Understands the importance of team culture for the EMGs organization. Prioritizes employee 1:1s, staff meetings, skip levels, and other connection points. Creates positive experiences for employees through coordination.
Partners with hiring manager to improve employee experience by proactively planning and onboarding new EMG or other team members. Collaborates to formulate an effective transition plan that minimize/eliminate a negative impact for the incoming EA/EMG relationship. Additionally, update/submit organizational charts prior to the 1st of the month and update distribution lists within one business day of employee hire/exit.
Ensures new hires are provided access to resources and knowledge of department-wide operations/processes. May coordinate desk/seating logistics for employees and provide oversight for on-site events.
Manages travel and expense reporting timely and effectively. Additionally, manages team budget and confirms people leader adherence to individual budget plans.
Responsible for maintaining inventory of office supplies with an expense management focused mindset.

Document all State Department and MCO calls in the call log.
Open and close the building, including straightening the lobby, ensure all lights are on/off, all doors are locked/unlocked, and things are clean and organized.
EHR chart review to ensure demographics are complete.
Complete other assignments as assigned by the supervisor.
LEVEL OF EDUCATION/EXPERIENCE:
1. High School Diploma/GED; AA Degree preferred.
2. Minimum three (3+) plus years of Secretarial/Office Manager experience in a
mental health, or social services environment preferred. Office Manager will have all required company training met within a 30 day period of hire.
