Hall & Evans office services clerk job description

Hall & Evans is seeking an experienced Office Services / File Clerk to join our administrative support team. This position will primarily support our general office needs along with supporting our Legal Assistants and Paralegals with fulfilling requests in providing ongoing maintenance of client files, electronic and hard copy projects, and trial preparation. This position works under the supervision of the Office Services and Facilities Coordinator. This position will also provide coverage for other members of the administrative support team on an as-needed basis. You should have a strong work ethic with a can-do attitude.
Requirements


Previous law firm experience required (3+ years preferred); Knowledge and understanding of legal documents; Strong organizational skills, detail-oriented and accurate; Ability to work independently and as part of a team, self-starter; Enthusiastic, positive, and professional demeanor; Strong verbal and written communication skills; Strong reading and comprehension skills; Ability to preserve and maintain confidential information, including, but not limited to, protected health information; Stable employment history; Excellent attendance and reliability; Ability to work and adapt in a fast-paced environment while under pressure to meet tight deadlines with accuracy; Monitor workflow to ensure jobs are completed efficiently, accurately and within deadlines; Strong ability to prioritize multiple projects based on deadlines; Ability to multi-task and adjust to changing priorities and understand and follow both written and oral instruction; Competency in the use of basic office equipment, including but not limited to copiers, mail meter, and binding equipment; Mailroom experience including USPS, FedEx, and UPS Shipping; Strong customer service skills, frequent interaction with internal and external customers including staff, clients, management, and vendors where courtesy and tact are required.


Physical requirements include the ability to:


Stand and/or sit for extended periods of time; Bending and lifting up to 50 lbs., and up to 35lbs on a regular basis; Go up and down stairs frequently; Climb on step stools and ladders as needed; Physically able to transport large/heavy files and records storage boxes using hand carts and dollies as needed; Assist with moving conference room tables & chairs; Routinely lift and transport client files and records boxes.


File Assistant Responsibilities


Compile, copy, scan, sort, bind, and index legal documents by the client, matter, and sub-file categories; File documents according to the individual attorney, paralegal, or legal secretary/assistant instructions; Create or update physical and electronic file indexes; Create labels, file folders, and sub-folders; Coordinate with legal assistants and paralegals the return of file folders to correct shelves, boxes, or storage areas; Provide Mail Room duties including but not limited to processing incoming and outgoing mail, and packages; Provide any office service requests regarding supplies and general office support; Work as a member of a team that provides coverage for the Office Services and Mailroom, Records Department, and Facilities & Hospitality Department, and as needed Firm Receptionist; Other duties as directed by management.


Required Computer Skills/Knowledge


Proficient with Microsoft Word, Outlook, Excel, and Adobe Pro; HP Autonomy Worksite-iManage and Office 365 experience is a plus.


Required Education


High School Diploma or GED


The hiring range for this position is $38,000 - $42,000 annually.

Essential Job Responsibilities

* Mail Services includes metering, sorting, and distributing mail and accountable packages per schedule

* Copy Services includes accurately producing copy, print and scan projects per written instructions

* Reception includes answering incoming telephone calls and routing to the appropriate person, will greet and announce visitors in a friendly and professional manner

* Hospitality Services includes coordinator and upkeep of client conference rooms, common areas and kitchens. Inspect and ensure that all rooms are clean, stocked with supplies and ready for continual use. Organize and distribute client kitchen supplies. Maintain inventory control and order supplies as needed.

* Floor Coordination includes the upkeep of copy rooms and stocking of general supplies, delivery of paper, and basic daily maintenance

* Facilities Services may include hanging pictures, small office moves, cleaning services and communication with key client contacts regarding building/equipment concerns.

Under the direct supervision of the Office Services Manager, the Office Services Support Staff is responsible for providing office support services to the assigned VCSS site(s).
