ESSENTIAL FUNCTIONS :
Financial and Strategic manager of the practice.
Lead, Mentor, Supervise and coordinate the activities of the personnel in specific sites. Functions as an integral part of the front office team in order to complete daily work.
Responsible for operations on-site in concurrence with corporate policies. Will consult with director and other areas such as, laboratory, managed care, human resources, and business office to ensure good working relationship.
Work with Clinic Finance Manager, financial counselors, and front office staff to collect all possible payment at the time of visit. Collaborate with Revenue Cycle on denial management.
Meet with patients as necessary regarding any complaints of service or regarding the facility.
Develop guidelines for prioritizing work activities, evaluating effectiveness, and modifying activities as necessary. Maintain staffing level according to approved positions.
Arrange on the job training programs for new employees as required. Conduct staff meetings on a regular basis. Attend meetings of clinical personnel, managed care, billing/ collections department as necessary to serve as liaison to the clinic staff.
Responsible for shipping tickets, packing slips and work orders from vendors at designated facilities. Prepare supply purchase requisitions. Responsible for submitting documentation to Accounting for reimbursable expenses.
Verify accuracy of the daily bank deposit and make the deposit daily.
Responsible for ensuring that backup is performed of all next day orders in Onco/EMR.
Complete quarterly expense reports for the physicians and submit them to corporate accounting.
Assist with Relocations & Transitions on an as needed basis. Assist with training new leaders in the region .Develop positive relationships and promote central services. Collaborate with Central Services team members on local clinic needs.
Ensure that a high level of cleanliness exists in the facility at all times. Take necessary steps to ensure the buildings and grounds are in good operating condition.
Follow up and resolve any violations cited by OSHA, fire inspector, etc.
Monitor all nursing information requested by auditors and insure timely completion of each request.
Maintain and ensure the confidentiality of all patient and employee information at all times.
Comply with all Federal and State laws and regulations pertaining to patient care, patient's rights, safety, billing, and collections. Adhere to all departmental policies and procedures, including IT policies and procedures and Disaster Recovery Plan.
Ensure that all employees run a daily close and all closes are in balance.
Supervise daily direction and communication to employees so that departmental work is performed in a timely, efficient, and knowledgeable manner.
Provide continual evaluation of processes and procedures. Responsible for suggesting methods to improve area operations, efficiency, and service to both internal and external customers.
Provide performance feedback and coaching on a regular basis in addition to annual performance reviews for each team member. Address disciplinary and/or performance problems according to company policy. Prepare warnings and communicate effectively with employees on warnings and make effective/appropriate decisions relative to corrective action as required.
Maintain a favorable working relationship with all other company employees and vendors to foster and promote a cooperative and harmonious working climate which will be conducive to maximum employee morale, productivity, and efficiency/effectiveness.
Keep immediate superior promptly and fully informed of all problems or unusual matters of significance and takes prompt corrective action where necessary or suggests alternative courses of action that may be taken.
Responsible for selection and training of new team members in collaboration with manager and Clinical Nurse Manager.
Recommend salary adjustments, transfers, promotions and dismissals and submit information to Regional Director.
Completes bi-weekly payroll, and approves time-off requests in a fair manner while ensuring adequate staff to maintain work productivity
Education

5 plus years office experience
5 plus years of supervisory experience
5 plus years physician practice/healthcare experience

Mergers and acquisitions experience required
Certifications/Licenses

Direct Patient Care
• In the clinic admissions role, the Medical Assistant (MA) is responsible for admitting patients, obtaining and documenting vital signs, and processing laboratory samples as per practice policies. They monitor deviations from normal ranges, report them, and repeat measurements if needed. The MA updates patient charts with vital signs, lab results, medication lists, and new prescriptions. They assist the attending physician by preparing patients for exams, providing necessary equipment and supplies, and supporting patient positioning and transfer. Additionally, the MA ensures CBC results and other essential information are accurately documented in both paper and electronic records.
• During clinic discharge, the Medical Assistant (MA) ensures that patients are scheduled for follow-up appointments as directed by the physician. Patients receiving therapy are guided to the treatment area or scheduled for therapy as directed by the nurse. The MA completes and submits precertification and authorization requests to the insurance staff. They also schedule any required tests for future appointments and provide necessary preparation instructions. For patients needing transportation, the MA provides a wheelchair and assists with their departure, coordinating with family or accompanying them as needed.
Laboratory Services
• The Medical/Laboratory Assistant (MA) is responsible for obtaining written orders for laboratory testing from the nurse or physician for each patient. They determine which tests are performed on-site and which are sent to reference laboratories. The MA collects samples through finger sticks or venipuncture according to practice policies and ensures samples are properly labeled and stored. They communicate any changes in reference lab requirements to the nursing staff and assist in ensuring accurate sample collection by all staff members. All lab services are conducted in accordance with practice policies and CLIA guidelines.
• The Medical/Laboratory Assistant (MA) identifies the appropriate reference lab for each patient, with assistance from insurance if needed. They complete requisition forms either on paper or using the lab's online system and select the correct specimen containers as per the lab's requirements. The MA provides verbal and written instructions to patients for self-collection when necessary, collects specimens following practice and CLIA guidelines, and processes and stores samples until they are picked up by the reference lab.
• The Medical/Laboratory Assistant (MA) performs on-site testing, including CBCs for hematology according to practice policies, as outlined in the Lab Policy and Procedure Manual. They also conduct urine dipstick tests, pregnancy tests, finger stick tests for PT/INR, and Hemoccult stool tests, following the manufacturer's instructions and documenting the results in the patient chart.
• The Medical/Laboratory Assistant (MA) retrieves reference lab reports daily and as needed, forwarding the original copies to the nursing staff and keeping duplicate copies in the lab for one month. On-site test results are reported in writing according to practice policy and added to the patient chart for review by the nurse or physician. Any alert or panic values are communicated verbally to the nurse or physician immediately.
• The Medical/Laboratory Assistant (MA) is responsible for managing laboratory supplies, including collection containers, requisition forms, and testing materials. They perform routine maintenance on hematology instruments as outlined in the instrument's manual and address any deviations needing technical assistance. The MA ensures all quality assurance (QA) and proficiency testing (PT) standards are met according to practice policies, as detailed in the Laboratory Policy and Procedure Manual. Additionally, they maintain effective communication with reference laboratory field staff to support optimal collaboration between the office and the lab.
Clinic Support Services
•The Medical/Laboratory Assistant (MA) manages biohazardous waste in accordance with practice standards, ensuring laboratory and exam room waste is removed and sealed weekly or as needed. They conduct monthly inventory checks, discarding expired items and reordering supplies as necessary.
Telephone Back Up
• When the receptionist is unavailable or needs help with incoming calls, the Medical/Laboratory Assistant (MA) acts as the backup. They handle phone calls by answering, screening, transferring them to the appropriate staff, or taking messages. Voicemails are checked daily, and calls are returned by the end of the day.

Laboratory Services
Venipuncture and Specimen Processing:
Perform venipunctures and finger sticks.
Process specimens, including blood, urine, and stool, following practice policies.

Clinic Admissions:
Vital Signs:

Direct Patient Care
• In the clinic admissions role, the Medical Assistant (MA) is responsible for admitting patients, obtaining and documenting vital signs, and processing laboratory samples as per practice policies. They monitor deviations from normal ranges, report them, and repeat measurements if needed. The MA updates patient charts with vital signs, lab results, medication lists, and new prescriptions. They assist the attending physician by preparing patients for exams, providing necessary equipment and supplies, and supporting patient positioning and transfer. Additionally, the MA ensures CBC results and other essential information are accurately documented in both paper and electronic records.
• During clinic discharge, the Medical Assistant (MA) ensures that patients are scheduled for follow-up appointments as directed by the physician. Patients receiving therapy are guided to the treatment area or scheduled for therapy as directed by the nurse. The MA completes and submits precertification and authorization requests to the insurance staff. They also schedule any required tests for future appointments and provide necessary preparation instructions. For patients needing transportation, the MA provides a wheelchair and assists with their departure, coordinating with family or accompanying them as needed.
Laboratory Services
• The Medical/Laboratory Assistant (MA) is responsible for obtaining written orders for laboratory testing from the nurse or physician for each patient. They determine which tests are performed on-site and which are sent to reference laboratories. The MA collects samples through finger sticks or venipuncture according to practice policies and ensures samples are properly labeled and stored. They communicate any changes in reference lab requirements to the nursing staff and assist in ensuring accurate sample collection by all staff members. All lab services are conducted in accordance with practice policies and CLIA guidelines.
• The Medical/Laboratory Assistant (MA) identifies the appropriate reference lab for each patient, with assistance from insurance if needed. They complete requisition forms either on paper or using the lab's online system and select the correct specimen containers as per the lab's requirements. The MA provides verbal and written instructions to patients for self-collection when necessary, collects specimens following practice and CLIA guidelines, and processes and stores samples until they are picked up by the reference lab.
• The Medical/Laboratory Assistant (MA) performs on-site testing, including CBCs for hematology according to practice policies, as outlined in the Lab Policy and Procedure Manual. They also conduct urine dipstick tests, pregnancy tests, finger stick tests for PT/INR, and Hemoccult stool tests, following the manufacturer's instructions and documenting the results in the patient chart.
• The Medical/Laboratory Assistant (MA) retrieves reference lab reports daily and as needed, forwarding the original copies to the nursing staff and keeping duplicate copies in the lab for one month. On-site test results are reported in writing according to practice policy and added to the patient chart for review by the nurse or physician. Any alert or panic values are communicated verbally to the nurse or physician immediately.
• The Medical/Laboratory Assistant (MA) is responsible for managing laboratory supplies, including collection containers, requisition forms, and testing materials. They perform routine maintenance on hematology instruments as outlined in the instrument's manual and address any deviations needing technical assistance. The MA ensures all quality assurance (QA) and proficiency testing (PT) standards are met according to practice policies, as detailed in the Laboratory Policy and Procedure Manual. Additionally, they maintain effective communication with reference laboratory field staff to support optimal collaboration between the office and the lab.
Clinic Support Services
•The Medical/Laboratory Assistant (MA) manages biohazardous waste in accordance with practice standards, ensuring laboratory and exam room waste is removed and sealed weekly or as needed. They conduct monthly inventory checks, discarding expired items and reordering supplies as necessary.
Telephone Back Up
• When the receptionist is unavailable or needs help with incoming calls, the Medical/Laboratory Assistant (MA) acts as the backup. They handle phone calls by answering, screening, transferring them to the appropriate staff, or taking messages. Voicemails are checked daily, and calls are returned by the end of the day.
