General Position Description The Construction Operations Intern works with the Project Delivery Team and Operations Support Team to efficiently and effectively track project progress through a variety of metrics such as client submittals, physical work in place, client billings, and overall schedule performance. They will learn the various project documentation process necessary for a standard construction ERP system as the processes for various Client Systems of record. They will also develop an understanding of the client submittal process and how that drives into timely project completion and how a construction management is measured on both the client and contractor sides of any job. Responsibilities Supports the Quality personnel and the project using the Quality Management System. Manages/reviews all foremen's reports daily to ensure all information is properly recorded before any income, cost, or inventory entry. Monitors material yields and modifies operations to minimize waste. Assists the buyout process, writes the requisition, and communicates all required information to the Project Team. Assists the preparation of the 12-month cash flow schedule. Reviews and understands the extra work billing format. Updates all budgets to incorporate owner change orders. Actively participates in the development of the Four Week Look Ahead schedules with the Superintendents using basic logic to incorporate resources, submittals, approvals, lead times, restraints, and milestones. Assists the Project Management team in processing and tracking paperwork including submittals, RFIs, invoices, application for payment, subcontract agreements, purchase orders, and labor cost reports. Ensures all documentation is clear, concise, and accurate so all departments and employees can reliably use this information. Works with the Safety team to ensure Federal, State, and Local, safety and health regulations, and all aspects of the Safety and Health Plans and Programs. Qualifications For Security Clearance Requirements - must be a US Citizen, as required. Must be a current student at an accredited US College or University enrolled in a Bachelor's degree program for Engineering, Construction Management or related field. Must have demonstrated exceptional leadership skills. Excellent teamwork, communication and people skills a must. Entrepreneurial with a well-rounded business perspective. Has a solid time management system and demonstrates excellent organizational skills. Working knowledge of MS Word, Excel, P6 Primavera, HCSS, JD Edwards and Expedition software. The Product and Inventory Analyst is responsible for the support of one of more Product Managers. This position requires a high level of attention to detail and proactivity to maintain inventory control and proper flow of information to the Export, Documentation and Transportation teams. This position works in close communication with the Operations Managers to fulfill the responsibility of maintaining the efficient flow of product through the Purchase and Sale processes. ESSENTIAL FUNCTIONS: Enter purchase orders in ERP system as instructed by the Product Manager. Relationship building and interaction with suppliers at multiple levels Updating purchase information into ERP system (dates, weights, rail car information and product information) to ensure accurate reporting information needed by Product Managers for product availability decisions. Send Inbound notification and packaging instructions to warehouses Communicate with A/P to coordinate payments for Cash in Advance and Cash against Documents purchases. Assist Accounts Payable with A/P differences. Investigate and process Claims related to Supplier invoices. Maintain proper records of each purchase transaction. Responsible for the setup of new vendors and new grades. Manage proper inventory levels and product mix across warehouses Control days on hand and limit aged inventory by making recommendations and taking action as directed. Manage railcars and timing of placement, along with any repacks to control costs related to movement, detention and demurrage. Responsible to allocate Inventory to all incoming Sales Orders. Monitor Credit Status of sales orders and contact regions to collect or take proactive actions to release sales orders from credit. Daily review of the inventory report to identify product availability for sales, purchase orders vs sales order, product blocked and aged inventory. Monitor established KPI's on a daily basis by using the reporting tools in order to proactively identify potential issues with the orders. Evaluate each transaction taking into consideration market conditions, customer status and inventory position to execute the best business. Coordinates all inventory needs with Warehouses on behalf of their assigned legal entity. Provide support to the Export and Documentation Teams with inventory and product related questions. Directly support assigned Product Manager and work closely with the Product Managers to be the resource for Product availability. Facilitate and promote a cohesive team environment across the International Operations team. Maintain the Duty Recovery Program, if applicable Researching/resolving supplier invoice discrepancies. Interface with warehouse to provide packaging priorities. Involvement in count of physical inventories may be required. Collaborate with inventory accounting on inventory reconciliations. Enable business continuity by promoting cross training with other members of the team. Participate in backup and load balancing process among members of the team. All other duties as assigned.
