    The Logistics Ops Coordinator plays a pivotal role in ensuring the efficient operation of our distribution center and a seamless customer experience. This position is responsible for executing and coordinating a wide range of logistics, administrative and operational functions, including Advance Shipping Notice (ASN) creation and submission, customer and carrier portal management, shipment routing, label generation, SAP data management, transportation coordination, and overall administrative support to the shipping and distribution teams. This role will also take ownership of customer portal data entry and customer routing processes, ensuring compliance and operational excellence, while supporting the broader shipping operation. Key Responsibilities: Advance Shipping Notice (ASN) Submissions: • Accurately prepare and submit ASN submissions, ensuring timely transmissions of critical shipment information • Proactively resolve any ASN discrepancies by collaborating with internal teams, carriers and customers Customer and Carrier Portal Administration: • Accurately enter and maintain shipment data within portals according to customer-specific guidelines and timing. • Engage in customer and carrier facing communications a to meet deadlines and ensure compliance with evolving customer requirements. • Take full ownership of portal data entry, ensuring accuracy, completeness, and real-time updates of shipping and order information. • Manage customer-specific routing guides, labeling and processes • Validate shipment routings, including LTL and full truckload, against customer expectations to minimize errors, delays, and fines. • Act as a subject-matter expert on portal and routing requirements for internal teams, providing cross training as needed. Shipment Routing: • Coordinate, document and update shipment routing processes. • Liaise with customers to confirm delivery windows, special handling, and carrier preferences. • Support the routing of LTL and time sensitive shipments as needed Label Generation and Printing: • Generate, print, and audit shipping labels, ensuring that all shipments meet customer specifications and regulatory standards. • Collaborate with the Shipping team to troubleshoot label discrepancies before shipments leave the facility. SAP Data Management: • Perform timely and accurate data entry into SAP for shipment creation and order fulfillment. • Extract reports and analyze SAP logistics data to support decision-making and reporting needs. Client and Carrier Engagement: • Maintain a high level of professionalism while interacting directly with clients and transportation carriers. • Proactively communicate shipment status, exceptions, and resolutions to customers, carriers and internal stakeholders. Cross-functional Collaboration: • Collaborate closely with Production, Customer Service, and Distribution teams to ensure orders are fulfilled correctly and on schedule. • Act as the key link between shipping operations, production and customer service teams to solve order fulfillment issues and manage priorities. • Participate in team meetings and contribute to process improvement initiatives. Knowledge, Skills & Abilities Required Bachelor's Degree in a biological, physical science, or related field. Prior experience as a clinical research coordinator is highly desired but not absolutely required. Knowledge of current Good Clinical Practice (cGCP) and its application in clinical research. Demonstrated experience with project planning in a complex, regulated environment. Communication and interpersonal skills necessary to interact on a daily basis with internal/external customers. Advanced organizational skills necessary to efficiently prioritize and complete a variety of tasks and provide leadership when required. Ability to collaborate effectively in a team setting in order to maximize quality and efficiency of operations. Ability to understand clinical study protocols and assist study investigators with various tasks when necessary. Skill using a personal computer and word processing, spreadsheet, and database software applications.
