We are seeking a highly skilled Senior Probate & Trust Administration Paralegal to join our growing team.
Position Summary:
The Senior Probate & Trust Administration Paralegal will manage complex probate and trust administration matters from inception through closing. This role involves drafting and filing legal documents, managing case timelines, coordinating with CPAs on tax and accounting components, and maintaining close communication with clients and beneficiaries throughout the process. The ideal candidate will be detail-oriented, proactive, and comfortable operating independently in a professional boutique firm environment.
Key Responsibilities:
Oversee and manage probate and trust administration cases from initial intake through final distribution.
Prepare and file probate pleadings, petitions, and other court documents via the Florida Courts E-Filing Portal.
Draft and manage legal correspondence, inventories, notices, waivers, and other required filings.
Coordinate with the firm's CPA on fiduciary accountings and tax-related documentation (Forms 706 and 709).
Assist attorneys in trust funding, asset collection, and title transfers (including real property, investment accounts, and business interests).
Maintain detailed case records, calendars, and deadlines to ensure timely completion of all required filings and actions.
Communicate directly with clients, beneficiaries, financial institutions, and court personnel with professionalism and discretion.
Prepare estate and trust closing documents and ensure compliance with Florida probate and trust administration laws.
Support attorneys with estate planning document organization, trust maintenance, and related client services.
Qualifications:
Minimum 5+ years of experience in probate and trust administration in a law firm setting (Florida experience preferred).
Strong working knowledge of Florida probate and trust laws, court procedures, and filing requirements.
Proven ability to manage multiple active files, prioritize deadlines, and work independently.
Experience with trust funding, estate settlement, and client communication throughout the administration process.
Familiarity with estate and trust tax forms (706 and 709) and coordination with outside CPAs or accountants.
Proficiency in Microsoft Office Suite and legal document management systems.
Excellent written and verbal communication skills; strong attention to detail.
Florida Registered Paralegal (FRP) or NALA certification preferred but not required.
