What you will do:
The Sr. Payroll Administrator is responsible for managing and overseeing the full payroll cycle for all employees within the organization. This role ensures accurate and timely payroll processing, compliance with federal and state regulations, and the maintenance of detailed payroll records. The Sr. Payroll Administrator serves as a primary point of contact for payroll inquiries, collaborates closely with HR and Finance teams, and supports payroll-related reporting, audits, and continuous process improvements.

Payroll Processing & Timekeeping
Process full-cycle payroll for all employee groups, ensuring accurate and timely payment including bonus payouts, stipends, incentive plans, or seasonal pay adjustments
Review and verify hours worked, overtime eligibility, and compliance with wage and hour laws
Monitor and audit timekeeping entries, missed punches, and PTO usage to ensure accuracy
Calculate retroactive pay adjustments, , and pay corrections
Collaborate with HR to ensure correct processing of new hires, terminations, transfers, promotions, and pay changes
Serve as the primary contact for payroll-related employee questions and resolutions
Assist in researching and resolving payroll discrepancies or errors quickly and accurately
Administer timekeeping and payroll for all employees on Leave of Absence (LOA), including FMLA, parental leave, medical leave, disability leave, and other approved programs
Ensure proper coding, accurate pay treatment, and compliance with federal, state, and internal policy requirements for all LOA-related entries
Collaborate with HR Business Partners and managers to maintain up-to-date leave status information, verify return-to-work dates, and ensure seamless coordination between leave timelines and payroll cycles
Earnings, Deductions & Benefit Administration
Set up and maintain employee earnings, deductions, direct deposits, and tax withholding information
Support the administration of benefit-related deductions, such as medical, dental, retirement plans, and HSA/FSA contributions
Process wage garnishments, child support, tax levies, and other legally required deductions
Compliance, Recordkeeping & Policy Support
Ensure compliance with company policies and state and federal regulations, including FLSA and multi-state tax requirements
Maintain accurate payroll records and documentation for audit readiness
Maintain employee payroll records with a high level of confidentiality
Assist in developing and updating payroll process documentation and internal controls
Payroll Accounting, Reconciliation & Reporting
Reconcile payroll expense and liability accounts on a regular schedule to ensure accuracy and completeness
Reconcile payroll tax withholdings and employer tax obligations and monitor for any discrepancies
Support month-end close activities by providing payroll summaries, reports, and account explanations
Assist in the preparation and analysis of payroll data for year-end reporting and audits
Provide accurate payroll data to Finance for budgeting, forecasting, labor analysis, or audit requests
Prepare internal management reports related to labor trends, overtime utilization, and compensation spend
Maintain supporting documentation for all payroll-related financial transactions in accordance with internal control standards
Review quarterly tax withholding summary prepared by ADP and reconcile payroll tax returns.
HRIS Workflow & Data Management
Validate workflow transactions in ADP (such as hires, terminations, pay changes, and job changes) to ensure completeness and correct coding before payroll processing
Conduct regular audits of ADP employee records to ensure accuracy, completeness, and compliance with payroll, benefits, and regulatory requirements
Reconcile ADP data with timekeeping, benefits, and other integrated systems to identify and resolve mismatches prior to payroll processing
Assist employees and managers with ADP self-service navigation and basic troubleshooting, ensuring timely resolution or escalation as needed
Additional Responsibilities may include:
Audits, Compliance & Year-End Requirements
Assist with internal and external payroll audits, including providing documentation and responding to auditor questions
Responsible for year-end payroll reporting including the timeliness and accuracy of W2s for both companies
Responsible for the reconciliation of employee healthcare costs for W2s and ACA reporting requirements
Assist with the preparation of the retirement year-end plan testing as requested
System, Process & Change Support
Support system upgrades, new payroll system implementation, and testing of new features
Participate in cross-department process improvement projects to streamline payroll operations
Assist in managing payroll for new geographic locations or states, including establishing new tax accounts
Provide training and support for managers or HR team members on payroll processes and use of timekeeping systems

Position Summary

In this role, your focus will be on the supervision, review, and further development of Brown Advisory's global payroll function. Direct the preparation of US multi state/local payroll taxes, and UK, Germany, Japan, Singapore and the UAE (where applicable), ensuring that payroll tax filings are timely and accurate.
Process, maintain and resolve all items related to payroll taxes in a timely manner.
Review and validate annual workers' compensation insurance analysis.
Facilitate compilation of data for other annual payroll audits.

Overview Why We Need Your Talents: Prepares and completes payroll in a timely and accurate manner, includes but is not limited to the preparation of tax payments as well as other miscellaneous reports for distribution and/or payment purposes. Responsibilities Where You'll Make an Impact: * Processing of payroll information from Kronos time and attendance system. * Balancing data entry to system totals. * Printing checks. * Checking team member changes. * Entering team member deductions. * Payment processing for team member deductions and 941 taxes and 401K. * Protects the confidentiality of team information. * Other duties as assigned. Qualifications Skills to Help You Succeed: * Capable of operating basic office equipment inclusive of but not limited to Personal Computer Microsoft Office Products and AS400, and printer. Must be able to learn and adapt to use of the Kronos time and attendance system. * Ability to write business letters, memos and basic instructions. * Ability to read complex documents and understand state and local tax withholding laws, and garnishment laws. * Ability to operate a telephone, voice mail system, facsimile machine, photocopier, and 10 key calculator. * Ability to perform assigned duties under frequent time pressure in an interruptive environment. Must-Haves: * A high school diploma or GED equivalent. * One (1) to three (3) years of experience in payroll accounting required. * Must be able to comply with all state gaming regulations, which may include obtaining a license. Physical Requirements * The ability to work irregular hours and extended shifts, including late nights, early mornings, weekends and holidays. * Ability to work extended hours across all shifts in a 24/7 work environment. * Ability to be exposed to alcohol, smoke, bright lights, and noise. * Ability to walk up and down 31 stairs to the Casino floor. What we need from you
High School Diploma required, Associate's or bachelor's in accounting, Business, or related field preferred.
Minimum 5+ years of progressive payroll experience in a high-volume environment.
Strong knowledge of payroll regulations, taxation, and wage & hour laws.
Experience with UKG Pro and Kronos or similar HRIS platforms preferred.
Analytical ability to reconcile payroll accounts, interpret regulations, and resolve discrepancies.

The Construction Payroll Specialist is responsible for processing and managing payroll for a multi-entity construction organization, ensuring accurate, timely, and compliant payroll operations. This role requires in-depth knowledge of construction payroll practices, prevailing wage laws, union agreements, certified payroll reporting, and multi-state payroll tax regulations. The Payroll Specialist will collaborate with HR, project management, and accounting teams to ensure labor costs are accurately recorded and allocated across projects and entities.
Key Responsibilities
Payroll Processing
Process weekly, bi-weekly, or semi-monthly payroll for multiple corporate entities.
Ensure proper classification of employees by trade, project, and union affiliation.
Verify hours, job codes, cost codes, and project allocations.
Maintain payroll schedules and meet all deadlines.
Compliance & Reporting
Prepare and submit certified payroll reports in compliance with Davis-Bacon Act, state prevailing wage laws, and other regulatory requirements.
Ensure payroll complies with multi-state tax laws, union contracts, and garnishment regulations.
Reconcile payroll taxes (federal, state, and local) accurately and on time.
Maintain and update knowledge of wage and hour laws, fringe benefit requirements, and industry-specific compliance rules.
Union & Prevailing Wage Administration
Administer payroll in accordance with union collective bargaining agreements (CBAs).
Track and remit union benefits, dues, and fringe contributions.
Monitor changes to wage determinations and CBAs to ensure accurate pay rates.
Systems & Data Management
Maintain payroll systems, ensuring accurate employee and job data.
Collaborate with IT or software vendors for troubleshooting and enhancements.
Reconcile payroll accounts to the general ledger in coordination with accounting.
Employee Support
Respond to payroll-related inquiries from employees in a professional and timely manner.
Assist with onboarding and offboarding from a payroll perspective.
Provide guidance on paycheck deductions, taxes, and reporting.
Process Improvement
Recommend and implement process improvements to increase accuracy and efficiency.
Assist with payroll-related audits, both internal and external.
Qualifications
Education: Associate or Bachelors degree in Accounting, Business Administration, or related field preferred. Equivalent experience accepted.
Experience:
3+ years of payroll experience, preferably in the construction industry.
Experience with multi-entity payroll processing.
Certified payroll reporting and union payroll experience highly preferred.
Skills:
Strong knowledge of payroll laws, prevailing wage requirements, and union contracts.
Proficiency with payroll software (e.g., Viewpoint Vista, Foundation, Sage 300 CRE, ADP, Paylocity).
Advanced Excel skills and comfort working with large datasets.
Strong organizational skills and attention to detail.
Ability to handle confidential information with discretion.
Work Environment & Physical Requirements
Office-based
Standard office hours, with occasional overtime to meet payroll deadlines.
