Reports To: Regional Property Manager
The Portfolio Manager reports to the Regional Property Manager and is responsible for preserving and increasing the value of a real estate investment. They manage the day-to-day operations for multiple buildings in the portfolio and takes action to best meet the owner's goals and objectives. The Portfolio Manager is responsible for monitoring agreements, reporting financials, and ensuring the property is in good working order.
Primary Responsibilities
Tenant Relations
· Enforce terms of rental agreements, resolve tenant complaints, and if needed, oversee eviction proceedings
· Coordinates tenant move-ins, move-outs, and at times, renewals of residents
· Oversees rental collections for both residential and if applicable, commercial tenants
· Provides timely, attentive, upbeat service to residents, and making sure their needs are met or explained in a manner that reflects positively on the company or business
· Communicates and builds relationships with tenants
Facilities Management
· Regularly inspect property to ensure it is in good working order; common areas are clean and well maintained, and the building meets requirements
· Coordinate with maintenance to schedule repairs and resolve maintenance issues in a timely manner and determine when maintenance needs outside assistance
· Coordinates with contractors to assess problems and make needed repairs
· Negotiate contracts with vendors
· Oversee and manage capital repair projects
· Maintain open communication with owners regarding resident relations and building concerns
Financial Reporting
· Review statements coordinated by bookkeepers to maintain financial records for property owner
· Ensure property taxes are filed properly and coordinate property tax protests
· Approve, dispute, or adjust invoices and/or payments
· Assist with building appraisals
Owner Relations
· Communicates and builds a strong relationship bond with the owner
· Actively maintains an open dialogue with property owner on vacancies, tenants, physical condition of property, resident, and financial issues
Employee Relations
· Manage, train and counsel staff effectively
Other Duties:
· Encouraged to reach out and network with Peak's team of leasing agents and coordinators to grow competency and gain efficiency
· Ensure compliance with Peak Properties company policy, as well as federal and local regulations
· Attend Peak meetings and/or connect with other Peak employees to share best practices
· Additional duties as assigned by Management
Qualifications:
· Bachelor's degree in business administration, finance, real estate, construction
management or vocational real estate training preferred
· 3-5 years experience in property management
· Minimum experience managing 1,000 units required
· Interest in gaining knowledge of applicable local, state, and federal laws and regulations
· Basic understanding of contracts
· Strong interpersonal and business communication skills
· Must be detail-oriented and a motivated self-starter
· Must have the ability to multi task and work independently
· High level of organization and follow up
· Ability to handle large volume of emails and phone calls
· Ability to think like a building owner
· Ability to manage and resolve conflict
· Advanced knowledge of building maintenance and digital systems

About the Role
Utilize administrative and technical skills to provide support to assigned brokerage team(s); to help them achieve their business plan goals and objectives each year. SUMMARY
The Maintenance Technician is responsible for the prompt and efficient performance of all tasks assigned by the Maintenance Supervisor or Property Manager and for continuous self-improvement of skills and expertise. A willingness to accept and follow the directions of others is required, as is a working knowledge of HVAC systems and various appliances, stoves, dishwashers, disposals, and refrigerators. Additional skill requirements include, but are not limited to, electrical, plumbing, painting, carpentry, and pool servicing.
RESPONSIBILITIES
Maintain a professional image and attitude in keeping with the objectives of the company and residents' welfare.
Report to the supervisor each morning and as requested, for work assignments, satisfying service requests promptly (within 24 hours) and efficiently. If unusual circumstances make this impossible, residents must be notified of the reasons for the delay.
Provide twenty-four-hour (24) “Emergency Service” by participating in an on-call rotation for the Maintenance Department.
Inform the supervisor of needed parts and supplies.
Leave notices in residents' apartments that state reasons for entrance and an explanation of any work performed.
Observe the condition of any occupied apartments entered and reporting any unusual circumstances to the supervisor, for example, cleanliness, size, number of pets, the appearance of floors, appliances, walls, light fixtures, etc.
Perform “make-ready” tasks in turnover units as directed.
Keep the overall property clean and in order; routinely picking up trash observed on the property while performing normal duties.
Put all ashes and other refuse into the receptacles provided by the premises for waste removal.
When needed, employ reasonable diligence in the removal of snow to afford ready access into and past the buildings and garages.
Remain knowledgeable of the location of all water, gas, and power turnoffs, cleanouts, traps, fire extinguishers, and fire hydrants, as well as the telephone numbers of the police, ambulance service, fire department, power, gas, trash, and water companies.
Collaborate with the supervisor in executing the preventative maintenance schedule for cleaning furnaces, A/C coils, oiling motors and circulating pumps, exterior painting, changing filters, replacing light bulbs in common public areas, maintaining swimming pool and pump rooms, hot water heater equipment as well as trash room. Pressure cleaning and garage cleaning equipment are utilized, as necessary.
Remain knowledgeable regarding the condition of vacant apartments.
Keep track of tools that are under current inventory.
Work with the supervisor to keep a clean and orderly shop. Monthly inspections occur for cleanliness, logbooks, and inventory control.
Think and work safely at all times.
Report all needed repairs to the supervisor.
QUALIFICATIONS
High School Diploma or General Education Degree (GED) is preferred.
One year of experience in facility maintenance and/or mechanical repair is required.
Knowledge of minor repair techniques and building and grounds maintenance.
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
Ability to understand instructions and communicate in basic English.
LICENSES & CERTIFICATIONS
EPA certifications Type II or Universal for refrigerant recycling (required).
