The Service Operations Administrator plays a critical role in supporting the daily operations of the service department. This position is responsible for managing and maintaining the accuracy of Repair Orders (ROs) within both CDK and Tools platforms, ensuring alignment and compliance with internal policies and industry standards. The ideal candidate is detail-oriented, highly organized, and capable of providing administrative support across multiple service functions.
Key Responsibilities:
Open CDK Repair Orders to mirror Tools Repair Orders in real time, ensuring seamless integration and accuracy across platforms.
Review and audit completed Repair Orders from the previous day for completeness, accuracy, and compliance with company, warranty, and regulatory standards.
Validate that all relevant documentation-including parts, labor, and service details-is properly recorded in both CDK and Tools ROs at the time of closing.
Ensure strict adherence to AutoNation policies, warranty requirements, and industry standards for all service documentation.
Provide administrative support to the Service Leadership team, assisting with various duties as needed to ensure smooth operations.
Support service and fleet teams in scheduling, dispatching, and other key operational activities.
Handle incoming phone calls professionally and assist with general inquiries when necessary.
Assist the Operations Manager with additional projects and tasks as assigned.
Qualifications:
High school diploma or equivalent; associate or bachelor's degree preferred.
Experience in automotive service operations, administration, or a related field is a plus.
Proficiency with service management software (e.g., CDK) and Microsoft Office Suite.
Strong attention to detail and organizational skills.
Ability to multitask in a fast-paced environment.

The Service Warranty Administrator is responsible for reviewing and completing warranty claims. This includes preparing, recording, reconciling warranty claims and submitting them to the appropriate party. What are the day-to-day responsibilities? * Process all claims by next business day following RO close date
* Handle and resolve all claim corrections and charge-backs
* Establish and maintain relationships with the manufacturer's designated warranty representatives
* Review every warranty repair order written for proper completion, accuracy and legibility according to the policies and procedures
* Analyze problems, identify trends and develop strategies for maximizing claim process
* Flag the technicians for the hours earned on the service they performed
* Check each repair order against the vehicles service history to avoid duplicate claims
* Provide a weekly report to the service manager regarding claim status
* Report any fraudulent manipulation of warranty claims
* Provide parts manager with updated parts listing on a weekly basis
* Conduct weekly audits of warranty and schedules, reviewing all old claims, and address any adjustments or write-offs
* Assist service consultants in closing all open warranty RO's
* Assist service consultants and technicians with any warranty questions
* Assist with special projects, audits and reports as requested
* Review and manage all aging schedules and reports
* Understand and comply with federal, state and local regulations, such as safety requirements, hazardous waste disposal, OSHA right-to-know, etc.
* Attend warranty training courses as needed
What are the requirements for this job?
* High school diploma or the equivalent
* Ability to effectively communicate verbally and in writing
* Ability to confront and resolve difficult customer service situations
* Demonstrated customer service skills
* Ability to read and comprehend written instructions and information
* General knowledge of automotive parts and vehicle mechanical operations
* Two years of experience in a automotive dealership
* Must have technical aptitude displayed by ASE certification or successful completion of pre-employment test
This positions pay ranges from $5k-$8k monthly.

What are the day-to-day responsibilities?
* Performing vehicle repair and/or maintenance work as outlined on repair order with efficiency and accuracy, in accordance with dealership and factory standards to drive Customer loyalty.
* Communicating with Parts Department and Service Advisors regularly to effectively manage production and Customer communication.
* Diagnosing the cause of any malfunction and perform repair, if authorized by the Customer.
