The Donor Services Specialist (Naming Opportunities) plays a key role in supporting the coordination and execution of naming-related initiatives across campus. This position is responsible for preparing materials for the Board of Trustees, drafting and managing naming agreements, maintaining an accurate inventory of naming opportunities, creating visual maps to represent available and secured naming assets, and participating in facility tours to assist with documentation. We are looking for a proactive, detail-oriented professional who thrives in a fast-paced, collaborative, and innovative team environment. The ideal candidate will bring strong writing and communication skills, experience in project tracking and compliance, and a sharp eye for detail. This position reports directly to the Associate Director of Donor Services. In this role, you will support the management and coordination of naming opportunities across the university. Key responsibilities include: Conducting research and gathering information related to naming opportunities. Drafting, editing, and refining documents, memos, and proposals. Preparing materials for Board of Trustees meetings. Maintaining and updating naming opportunity inventories using Google Sheets for colleges and units. Managing and tracking naming records within the FMI naming database. Creating and maintaining naming opportunity maps using Microsoft Visio. Drafting naming agreements and donor proposals. Assisting with documentation and evaluation of naming opportunities through facility tours. Supporting research and evaluation processes related to new and existing namings. Performing additional duties as assigned in support of Donor Services operations. We're looking for someone with attention to detail, strong writing skills, and a collaborative spirit. Qualifications Minimum Experience/Education Bachelor's degree in a discipline related to the area of assignment or an equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions. Essential Duties And Responsibilities Develop a thorough understanding of OTC's intellectual property database system sufficient to navigate and perform all operations as required by OTC . Develop a solid understanding of the patent process steps and rules, OTC invention disclosure steps, and invention reporting steps. Manage compliance with the Federal research funding agencies regarding timelines and details of reporting invention and patent-related decisions. Specifically, report inventions and patent decisions to Federal funding agencies via iEdison. Verify employment and assignment obligations of inventors needed. Check and obtain CROE forms and signatures as required. Create, maintain, and organize files, contact information, research sponsor information, and records within the IP database system. Collect, track, and provide metric reports for the OTC . Benchmark OTC metrics relative to other universities as assigned. Review and extract relevant and complex IP information from incoming and outgoing correspondence daily (including from internal and external clients, foreign and domestic attorneys and agents, and inventors) for docket entry into the IP database system, further processing, signatures, activity creation, and other data management. Adapt to and manage specific docketing procedures established for each of our internal and external clients. Manage outside counsel to conform to OTC docketing procedures as Perform intake of new technology disclosures and the creation of associated IP database records. Identify all relevant docketing actions reported in or required by internal and external correspondence. Create activities in the IP docketing database based on reporting emails and letters of upcoming actions received from counsel, internal and external clients, and distribute to staff and clients for instruction. Assist OTC staff in managing invention and patent docket workflow, and organize workflow through activities in the IP database system. Ensure the correct funding information is documented in the technology and patent records in the IP database, and that OTC has accurate copies of funding agreements. Initiate, manage, complete, and reconcile outgoing correspondence and attorney comments to identify, create, update, and mark complete docket activity due dates to keep docket activities up to date, current, accurate, and complete. Manage the curation of documents and email communications into the IP database system. Maintain and organize the IP docket communication mailbox. Review, prioritize, route, and follow-up on IP-related communications, ensuring that all documents are timely reported to the internal and external clients. Notify third parties of receipt of technology disclosures (co-owners, sponsors, etc.) and assemble information as needed for OTC records. Generate appropriate responses to outside counsel requests for information which includes gathering patent-related information such as information disclosure statements, invention declaration signatures, inventor assignments, and UT System signatures as needed. Notify inventors regarding patent-related deadlines and information needs. Coordinate activities of a student worker, as available and needed to perform a subset of data specialist-related tasks while maintaining efficiency and accuracy. Be cross-trained with the Industry Contracts Coordinator role and serve as a backup to the same.     Woburn Public Schools Registrar and Scheduling Specialist The Registrar and Scheduling Specialist oversees all aspects of student enrollment, academic records management, scheduling, grading, transcripts, and state data reporting. Grades, GPA, and Transcripts * Oversee grade reporting cycles, ensuring teachers import grades prior to storing. * Store grades, generate report cards, and post to portals. * Prepare honor rolls and distribute to staff and local media. * Manage GPA and class rank calculations for seniors and juniors; upload results to Naviance and PowerSchool. * Enter historical grades, credit transfers, summer and night school grades, and grade changes as submitted by staff. * Maintain official transcripts and historical academic records for all students. SIMS/SCS and State Reporting * Resolve data errors related to demographics, CRS courses, graduation status, and post-graduation plans. * Complete end-of-year data updates for graduates and non-graduates. * Assist in preparing data for DESE Civil Rights and other required state/federal reports. Records Requests & Verification * Process transcript requests for students, alumni, colleges, and third parties. * Complete verification forms for the Social Security Administration, military, RMV, and courts. * Handle education verification requests. * Maintain an archive of transcripts and cumulative records according to state retention laws. Graduation Data Management * Update PowerSchool with final graduation statuses, MCAS completion, and diploma distinctions. * Collaborate with the School Counseling Administrative Assistant and the Director of School Counseling to finalize honor distinctions. * Generate senior data for diploma ordering, graduation programs, and post-graduation reporting. * Coordinate the destruction of records per the state record retention schedule. * Other duties as assigned by the Director of School Counseling or WMHS Principal Evaluation: * Performance will be evaluated annually by the Director of School Counseling and WMHS Principal in accordance with district policies and procedures.
