    The Registrar Services Support Specialist is a corporate support leader reporting directly to the Registrar Manager and provides centralized, high-quality support to the Registrar Manager and campus registrar teams across multiple locations. This position ensures continuity of registrar operations, delivers responsive technical and procedural assistance, and supports data, training, and compliance-related functions, especially those related to Registrars as keepers of the record. ESSENTIAL FUNCTIONS: * Serve as the primary backup for campus Registrars across 17 locations. Maintain seamless continuity for student records and services during staff absences, vacancies, or peak times. * Maintain knowledge of institutional policies. Identify and develop process improvement recommendations to align with best practices and regulations. * Serve as the Registrar Manager's designee on institutional committees, project implementation teams, and cross-departmental initiatives as needed. Represent the registrar function with professionalism and a strong understanding of policy and operational impact. * Provide onboarding and training for new registrar hires in person and remotely. * Develop, implement, and maintain training materials, guides, checklists, videos, presentations, and other resources under the direction of Registrar Manager. * Run routine and ad hoc reports related to student records, institutional compliance, and KPIs. Spot audit data accuracy, review outcomes, and communicate insights to Registrar Manager and other personnel. * Respond to and resolve inquiries through the Registrar's help desk, providing accurate and timely support for staff and students. * Conduct research assignments to support policy, compliance, and process improvement initiatives, summarize findings, and make recommendations to the Registrar Manager. * Deliver high-quality, student-focused customer service that emphasizes accessibility, professionalism, and accuracy across all interactions. * Manage official transcript and diploma request clearance or distribution via Parchment, ensuring secure, accurate, and timely fulfillment, as needed. * Assist staff and students with access to academic systems, including resetting log-in credentials and resolving access-related issues, as needed. * Support the Regulatory department on special projects, including compiling data and performing document retrieval requests during site visits, as needed. * This role requires occasional travel to other campuses, company events, client meetings, and industry conferences. * Additional duties may be assigned. Establish and support Communities of Practice across all colleges, organized by discipline, focused on GCU's One Foundation commitments, and informed by the CCCE's Christian character framework. Develop, implement, and refine faculty-facing CCCE training modules (asynchronous and synchronous) to ensure they are aimed at deepening mentoring skills, virtue literacy, and Christian character formation over time. Collect, develop, and curate discipline-specific resources and toolkits on Christian virtues and character formation for faculty. Lead and coordinate the rollout of the Christian Character Champion (C3) model across all colleges, emphasizing faith, hope, and love in C3 selection and training of this tiered faculty leadership and mentorship model. Cultivate community, recognize expertise, and facilitate a best practices exchange focused on Christian character, virtues, and virtue literacy among colleges and the C3s. Facilitate reflective practice and Communities of Practice among faculty through coaching, dialogue, and feedback to encourage growth in biblical virtues and moral friendship. Support faculty in teaching and modeling Christian character aimed at virtue literacy, civil discourse, and transformative leadership. Manage grant expenditures for faculty-focused initiatives, projects, and resources. Lead and report on faculty formation outcomes and participation to CCCE leadership, using data and stories to demonstrate impact. Attention to grant timelines and completion metrics required. Primary Responsibilities / Accountabilities / Essential Functions Lesson Presentation & Instructional Support · Learn, understand, and deliver lesson content for GCU Live Lessons. · Run live virtual lessons for teachers, practicing professional presentation skills and student engagement techniques. · Maintain up-to-date knowledge of lesson content by completing required certifications and ongoing learning activities. · Learn and integrate specific GCU program knowledge when presenting virtual lessons · Assist teachers by co-hosting sessions, managing chat, monitoring engagement, and facilitating smooth transitions during lessons. Technical Troubleshooting · Serve as the point of contact for lesson-related troubleshooting, including issues with cameras, Zoom, Microsoft Teams, and other virtual platforms. · Learn and execute technical troubleshooting and be familiar with technology used in studios Lesson Leadership · Assist in assuring that all scheduled GCU Live Lessons are delivered up to the standards of the department. · Be the main point of contact when presenting a lesson and provide professional communication to the University Admissions Counselor and Teacher. · Responsibility to studio assignments and coordinate your own coverage if unavailable. Kit & Inventory Management · Assist in tracking all incoming and outgoing lesson kits, ensuring accurate inventory records. · Prepare, pack, and ship lesson kits on schedule. · Maintain documentation of Live Lesson kits and inventory · Write out kit contents and update addresses or shipping lists as needed. Equipment Used and Responsibility Presenters will be provided access to the following programs, systems, and tools to complete duties if applicable: · Microsoft 365 Suite (Outlook, Excel, PowerPoint, Word) · CRM systems · Zoom · Microsoft Teams · Google Meets · GCE Laptop / Surface and headset · Outlook scheduling tools · Studio equipment for lesson facilitation Qualifications · Strong communication skills with the ability to present information clearly and engage learners in virtual settings. · Exceptionally organized and detail-oriented, demonstrating strong self-management in fulfilling job responsibilities. · Proficient with Microsoft 365 and common virtual meeting platforms (Zoom, Teams). · Ability to follow processes accurately and maintain detailed documentation. · Shows initiative by volunteering for tasks, assisting others, and seeking additional ways to contribute. · Strong leadership skills with the ability to guide, train, and support peers. · Effective problem-solver who can troubleshoot issues quickly during live lessons. · Excellent interpersonal skills and the ability to work both independently and in a team environment. Experience / Education Grand Canyon University is committed to a student-first policy. All applicants must meet the following requirements: · Enrolled as a full-time GCU student in a bachelor's or master's degree program. · Maintain a minimum of 2.0 GPA (Bachelor's) or 3.0 GPA (Master's). · Maintain good academic and financial standing with the university (SAP). · Must be eligible for student employment for the duration of the role. Compliance & Documentation Ensure all required documents (background checks, certifications, immunizations, etc.) are completed. Prepare externship packets and maintain accurate student files. Track credentialing and programmatic licensure data. Enter and verify employment data in Campus Nexus. Data Management & Reporting Maintain accurate records of employer and externship site engagement. Generate reports to monitor placements and track performance against goals. Log all communications with students, graduates, and externship sites. Minimum Qualifications Associate's Degree preferred. Excellent verbal and written communication skills. Two (2) years of recruitment/staffing experience. Computer and word processing skills. Any equivalent combination of training, education, or experience that meets the minimum qualifications.
