The Crisis and Advocacy (C & A) Operations Assistant is an at-will position that reports to the Chief Crisis Operations Officer (CCOO). This position will provide executive-level support to the Chief Crisis Operations Officer and will represent the CCOO internally and externally as needed. The C & A Operations Assistant also serves as a liaison to the Crisis and Advocacy department heads. This position will provide support services by working closely with the Crisis and Advocacy leadership to identify program needs, assist in problem solving, and lead process improvement projects. The C & A Operations Assistant will work independently on projects, from conception to completion, and will work under pressure at times managing a wide variety of activities and confidential matters with discretion. This position will plan, organize, manage, and perform a variety of business operations and specialized administrative activities including but not limited to coordinating requirements within contracts, handling information requests, managing projects, preparing presentations, scheduling, and data entry. The role requires exercising good judgment in a variety of situations, with strong written and verbal communication, administrative, organizational and people skills, and the ability to balance multiple priorities.
ESSENTIAL JOB FUNCTIONS:
Thoroughly understand CCOO's schedule and diverse responsibilities, and consult on prioritization and scheduling as needed Understand contracts and requirements under the Chief Crisis Operations Officer's departments Complete projects and special assignments by establishing objectives, determining priorities, managing time, gaining cooperation of others, monitoring progress; problem-solving, and adjusting plans Track and organize all communication and project deadlines between the Chief, funders, and applicable vendors Design, compile, distribute and maintain internal program communication including the organization of Microsoft Teams channel files Collaborate with the CCOO to problem-solve process-related issues Oversee Crisis and Advocacy Scheduler Interact with internal staff at all levels and external partners Responsible for all correspondence and coordination of meetings involving the CCOO Prepare and edit correspondence, communications, presentations, and other documents Design and maintain databases that create efficiency and organization Conduct research, collect, and analyze data to prepare reports and documents Manage and maintain executive schedules, appointments, and travel arrangements Arrange and coordinate meetings and events on behalf of the CCOO Record, transcribe and distribute minutes of meetings Monitor, screen, respond to, and distribute incoming communications Answer and manage incoming calls Represent the CCOO at community events and internal meetings Complete all assigned internal and external written and verbal correspondence in a timely manner Possess a working knowledge of Common Ground policies and procedures Comply with all Common Ground policies and procedures
