Summary: + The Medical Records Clerk must maintain a strong patient/customer focus that supports the delivery of the highest quality of care and shares a passion for patient and customer centered care to assist in exceeding patient satisfaction. The primary purpose of the position is to coordinate the medical records process in the practice inclusive of scanning, filing, medical records requests, and patient/customer service. Responsibilities: + Prioritizes and scans all appropriate paper data routinely as they come to the department in to the electronic medical record (EMR).Follows appropriate scanning process as specified by UPHS/Department defined process, ensuring patient is properly identified and document is attached/routed appropriately in the EMR.Confirms the presence of the scanned file in the appropriate place in the EMR system prior to the destruction of the paper copy per department protocol.As appropriate and as per department protocols, responds to requests and questions related to medical records services in an accurate, timely and professional manner.Notifies supervisor of any scanning problems.Sorts, prioritizes, and disperses faxes and mail according to established protocols.Enables communication by answering the phone, providing excellent customer service, and by placing calls to internal and external information sources.Maintains compliance with all federal, state and local regulatory standards and requirements. Education or Equivalent Experience: + H.S. Key Responsibilities: Patient Service: + Anticipate and understand patient needs, manage service recovery efforts, and identify opportunities to enhance the patient experience. + Answer phones promptly, handle patient requests, retrieve voicemails, and take accurate messages, routing them appropriately through the EMR. + Schedule patient appointments by determining the reason for the visit, following established schedules and protocols, and communicating changes and confirmations. + Manage patient arrival and departure activities, including collecting copays, obtaining necessary signatures/forms, updating appointment status in the EMR, and finalizing check-out procedures. + Communicate with patients about flow and wait times, keeping the manager informed of potential issues. + Issue referrals and obtain pre-authorizations as required. Financial: + Maintain up-to-date knowledge of insurance requirements and billing procedures, including managed care plans and copayment/referral requirements. + Validate patient demographic/insurance information and register new patients into the EMR. + Accurately record receipts and participate in end-of-day cash reconciliation. + Resolve work queues and prioritize the recovery of missing charges. + Order office supplies and generate front-end process reports as requested. Other / Regulatory: + Ensure compliance with all applicable federal, state, and local regulatory standards (e.g., TJC, DOH, FDA, HIPAA, HCFA, DPW, LCGME, SCGME). + Be flexible and readily adopt new processes and engage in practice operation changes. The Perinatal Evaluation and Treatment Unit (PETU) is a Level III, tertiary care facility located on the third floor of the Preston Building, which provides the following services: - Triage, evaluation and treatment of pregnancy complications occurring from 13 to 42 weeks of gestation - Antenatal testing including biophysical profile (BPP), non-stress test (NST), amniotic fluid volume indexing (AFI), and ultrasound - Evaluation and treatment of preeclampsia occurring after discharge from postpartum, within the first two weeks following delivery.
