The department of Geosciences seeks an administrative assistant to provide full administrative support to eight to ten faculty members and their research groups. This individual will be responsible for duties such (1) managing the purchasing process for lab supplies and equipment; (2) planning and organizing domestic and international travel and processing expense reports; (3) shipment of inbound and outbound equipment and scientific samples; and (4) general administrative support. A cover letter is required. The position reports to the Department Manager and collaborates with other administrative staff in the department.
Responsibilities
Purchasing
Procure equipment, supplies, and services required to meet the specialized research needs using purchase orders and purchasing cards
Responsible for purchasing-related activities including requisition approvals within delegated threshold, processing of shopping carts, resolving match exceptions, and PO change requests.
Independently advise and coordinate with faculty and staff regarding purchasing policies and procedures
Onboard new suppliers, including international suppliers when necessary
Correspond with suppliers to request quotes, confirm availability, and arrange for delivery
Submit invoices for payment and resolve any issues
Monthly review and monitoring of open PO encumbrances, ensuring procurement obligations are accurate and that POs are closed out on a timely basis.
Travel & Concur
Organize and arrange domestic and international travel for individual and groups, including international field work teams working in remote areas.
Support traveler safety by ensuring that they have complied with the travel registration policies and that they have access to resources for safe travel such as communication devices.
Manage and process travel and expense reporting via the Concur system - ensure reporting complies with university and government policies; enter expense details, receipts and ensure proper chart strings are used for allocations and document/backups are sufficient and accurate
Reimburse non-Princeton individuals through non-PO payments as needed.
Shipping
Arrange and manage shipments of equipment and scientific samples for research groups, domestically and internationally, including freight shipments when necessary.
Arrange for the importation of scientific samples from international collaborators.
Advise faculty, researchers, and students of policies and processes. Attend training on topics such as export control and the shipment of hazardous materials to keep current with policy changes.
Prepare and obtain import and/or export documentation such as carnet de passage and USDA import permits when needed.
Track shipments in progress and resolve any issues that arise.
Coordinate with the University's custom agents when importing scientific samples or other complicated inbound shipments.
Ensure compliance by closely coordinating with the University's Export Control office and Office of Environmental Health & Safety.
General Administrative Support
Assist the grants manager throughout the sponsored research lifecycle, including the proposal process, the interim financial reports, research results support, and grants closeout process.
Maintain and update faculty biosketches, current and pending support documents, and collaborator information for proposals using ORICD and SciENcv
Assist with the monthly grant reconciliation process and with the final award closeout process.
Plan, schedule and support events such as seminar series and special conferences by reserving space, arranging for catering, handling travel for speakers for attendees, and arranging for A/V services
Update faculty and research group web pages as needed; add events to the department web page
Provide backup assistance to other administrative staff in the department; work collaboratively as a team during peak times.
Qualifications
• 2 to 3 years minimum related experience.
• Intermediate level proficiency with Microsoft Office Suite including Word, Excel, Outlook, and PowerPoint. Working knowledge of Google Docs, Gmail, and other Google products is a plus.
• Strong analytical and problem-solving skills, attention to detail, ability to take initiative and meet firm deadlines.
• Excellent interpersonal and communication skills, work collaboratively as a part of a team, and function in demanding situations is essential.

This position will be the primary staff member responsible for all matters pertaining to undergraduate students' majors and minors, including course work, student progress, junior independent work and senior thesis, and senior comprehensive exams. This position will also manage all graduate administrative processes and procedures for enrolled and prospective students including planning, tracking and and reporting student progress, re-enrollment, admissions, recruitment and interview visits, student orientation, course scheduling, general examination scheduling, final public oral examinations, events and alumni outreach as well as keeping accurate budget records of all graduate-related expenses and funding. Handle all logistics for comprehensive exams/FPOs including contacting faculty and students about their schedules and laying out an optimal schedule

Assist Department Manager/Chair with other projects as assigned

Responsibilities
Purchasing
* Procure equipment, supplies, and services required to meet the specialized research needs using purchase orders and purchasing cards
* Responsible for purchasing-related activities including requisition approvals within delegated threshold, processing of shopping carts, resolving match exceptions, and PO change requests.
* Independently advise and coordinate with faculty and staff regarding purchasing policies and procedures
* Onboard new suppliers, including international suppliers when necessary

The ReCAP facility encompasses eight shelving modules, a cold storage film vault, and a 25,000 square foot processing center. The facility resides on the Forrestal Campus of Princeton University in Plainsboro, NJ, and its current holdings of over 18 million items makes it the largest preservation repository in North America under one roof. ReCAP adds more than 450,000 items annually, and fulfills over 200,000 physical and 20,000 scan requests per year on behalf of, its partners.
Responsibilities
The ReCAP shelving facility assistant will rotate daily among the various tasks listed below:
Accession new items - Unpack delivered material from truck. Assemble and label cardboard book trays. Sort material by library, type and size into appropriate trays. Accession and verify material by scanning barcodes into the shelving facility's inventory management system (IMS). Shelve trayed and non-trayed material in the high-density shelving modules.
Circulate items - Use IMS to process item and scan requests of stored materials. Create work orders, retrieve items using automated lift, sort by library destination and verify material is shipped to the proper location and check it out. Upon return, check material back into facility using the IMS. Scan in items to update status, sort by storage location, and reshelve material using handheld scanners and automated lift.
Document Delivery/EDD fulfillment - Interpret and fulfill document delivery requests after retrieval. Using instructions provided by requestor or library, identify chapter, section or page sequence to be processed. Digitize pages using flatbed, overhead or microfilm scanners. The request is transmitted to the requestor's email address via scan software.
Qualifications
Essential:
High school diploma or GED with 1-3 years of related work experience
General knowledge of basic computer operation and accurate keyboarding skills
Experience should demonstrate good communication, organization, and excellent interpersonal skills
Work history should indicate excellent attendance and punctuality
Ability to work a schedule that may rotate to accommodate work demands
Ability to work independently and in team environments, with rotating tasks
Ability to regularly lift heavy loads of 40 lbs. and up to 60 lbs. on occasion
Ability to perform strenuous and repetitive tasks with care and accuracy
Comfortable occasionally working in cooler temperatures or at heights up to 30 feet
Preferred:
Documented warehouse environment or library experience preferred
Previous automated lift experience preferred
Barcode and/or document scanner experience preferred
*The final candidate will be required to complete a pre-employment physicality assessment and become certified in the proper use of an automated lift.
Hours: Monday - Friday: 7:30 a.m. to 4:00 p.m.

Responsibilities
The Department of Athletics is seeking a casual hourly Athletic Fundraising Office Assistant. Reporting to the Senior Associate Director of Athletics for Advancement, the athletic fundraising office assistant will provide administrative support that includes report generation, newsletter templates, event preparation and day-of event staffing support for the Athletics Friends Groups and Princeton Varsity Club, and other duties as assigned.
The assistant will serve as a key support for the entire athletic fundraising office, including primary areas such as communications, events, reporting and stewardship. The assistant will also work with Campus Recreation as a liaison for club sport communications and alumni and donor outreach.
Qualifications
Qualified candidates must possess excellent written, oral and interpersonal communication skills along with discretion, good judgment, and a commitment to keep confidentiality of all data related to Princeton and its alumni and donors.
A Bachelor's degree and two to four years of professional higher education development-related experience is preferred. Ability to work nights and weekends (as needed) is preferred.
