Duties/Responsibilities Office Management Serve as primary contact for property management and all building-related vendors. Administration Coordination Set up and maintain project documentation in ProjectSight, including contracts, submittals, RFIs, PCOs, and change orders. Maintain organized digital and hard-copy filing systems for all project documentation. Ensure data alignment between ProjectSight and Foundation for budgets and executed documents. Manage the submission, tracking, and receipt of submittals, RFIs, transmittals, and related logs. Support project setup, billing, insurance certificates, meeting minutes, and correspondence. Oversee project closeout, including O&M manuals, warranties, attic stock, and as-built documentation. Assist with training coordination, attendance tracking. Manage ProjectSight permissions and collaborate with IT and project partners (e.g., general contractors) to maintain proper system access. Coordinate with Prefab and Warehouse teams on material deliveries, staging, and logistics. Required Skills/Abilities Strong proficiency in Microsoft Excel, Word, and Outlook. Experience with project management software, preferably ProjectSight. Excellent organizational and multitasking abilities. Strong written and verbal communication skills. Coordinator provides leadership for all aspects of the Gold 49er Discipleship and mentoring program. This position has two main functions 1. Biblical instruction and Discipleship classes 2. DEFINITION Under general supervision, performs responsible interviewing, monitoring and clerical work in the inmate work furlough, alternative work and related programs; and does related or other work as required in accordance with Rule 3, Section 3, of the Civil Service Rules. TYPICAL DUTIES * Interviews and screens work program applicants; determines initial eligibility following established guidelines; may contact employers, other agencies and others to process applicants and determine eligibility. * Advises applicants of program requirements and procedures; counsels applicants and participants on their rights and responsibilities. * Supervises work program participants; contacts site supervisors to verify participation; conducts site inspections and audits to monitor compliance with the program. * Investigates violations of program regulations and procedures; prepares documents to return to custody participants who fail to comply with program regulations and procedures. * Maintains program records and files; computes and collects fees; issues receipts; maintains statistical and financial records; prepares and types a variety of correspondence, forms, and reports. * Operates a variety of equipment including calculators, typewriters and computer terminals. * Gathers and processes information from a variety of sources; furnishes information to inmates and the public to promote the program. * May act as lead worker over others. MINIMUM QUALIFICATIONS Either: Two years of general clerical experience involving substantial public contact, one year of which must be at a level equivalent to Senior Office Assistant in San Joaquin County service. Or: One year of experience interviewing or processing inmates in a correctional setting, or participants in an alternate work or work furlough program. License: Possession of a valid California driver's license. Bereavement Leave: 3 days of paid leave for the death of qualifying family member, 2 additional days of accrued leave for death of employee's spouse, domestic partner, parent or child. Merit Salary Increase: New employees will receive the starting salary, which is the first step of the salary range. After employees serve 52 weeks (2080 hours) on each step of the range, they are eligible for a merit increase to the next step. Job Sharing: Employees may agree to job-share a position, subject to approval by a Department Head and the Director of Human Resources. Educational Reimbursement Program: Eligible employees may be reimbursed for career-related course work up to a maximum of $850 per fiscal year. Eligible employees enrolled in an approved four (4) year College or University academic program may be reimbursed up to $800 per semester for a maximum of $1600 per fiscal year. Candidates will be notified of the examination date and will be responsible to complete the written exam within a given period of time (typically within five calendar days). Eligible Lists: Candidates who pass the examination will be placed on an eligible list for that classification. Eligible lists are effective for nine months, but may be extended by the Human Resources Director for a period which shall not exceed a total of three years from the date established. Certification/Referral: Names from the eligible list will be referred to the hiring department by the following methods. * Rule of the Rank: The top rank or ranks of eligibles will be referred for hiring interviews. The minimum number of names to be referred will be equal to the number of positions plus nine, or 10% of the eligible list, whichever is higher. When filling nine or more positions in a department at the same time, the top rank or ranks will be referred and the minimum number of names shall be two times the number of positions to be filled or 10% of the eligible list, whichever is higher. This applies only to open competitive recruitments. * Rule of Five: The top five names will be referred for hiring interviews. This applies only to department or countywide promotional examination. Physical Exam: Some classifications require physical examinations. Final appointment cannot be made until the eligible has passed the physical examination. The County pays for physical examinations administered in its medical facilities. Pre-Employment Drug Screening Exam: Some classifications require a new employee successfully pass a pre-employment drug screen as a condition of employment. Final appointment cannot be made until the eligible has passed the drug screen. The County pays for the initial drug screen. Employment of Relatives: Applicants who are relatives of employees in a department within the 3rd degree of relationship, (parent, child, grand parent, grand child or sibling) either by blood or marriage, may not be appointed, promoted, transferred into or within the department when; * They are related to the Appointing Authority or * The employment would result in one of them supervising the work of the other. Transitional housing shall be considered short-term housing in which households receive access to services designed to assist them with securing permanent housing as quickly as possible. The program operates three transitional properties. In addition, the program manages four permanent housing properties, three for adults and one for seniors (55+). Candidates must be willing and able to reside on the premises for the duration of employment. Cost for living quarters which includes a private room, shared kitchen, shared living space, and utilities are all provided. Responsibilities POSITION SUMMARY: The House Leader is responsible for the safety of the property lived-in, urgent maintenance requests, oversight of vendors on site, and maintaining positive relationships with the residents of the property and House Leaders at other property locations.
